OBJECTIVE AND BACKGROUND
a) Description of communication audit process
A Communication audit process is carried out on organizations for the purpose of evaluating and
assessing the effectiveness of communication tools and channels used both internally and
externally through this process strengths and shortcomings of the communication channels and
tools are identified and recommendations are given.an effective communication is crucial to the
success of the organization in the target market dominance. There are four steps for completion
of the audit process they include;
i. The communication has to identify the communications channels that an organization
currently uses
ii. Data gathering is conducted through interviews of all audiences such as employees and
also the management teams
iii. The data collected is now evaluated and assessed, key patterns are identified while
drawing a report on the same.
iv. Strength and weakness are identified and solutions for amending the shortcomings are
identified.

a) Specific purpose
The memo’s specific purpose is to highlight the weakness found in an audit done on our
company and implement the recommendations given by the audit report for the sole purpose of
improving our communication channels
b) General purpose
the general purpose of this memo is to demonstrate the benefits of each employee complying
with the new communication changes that will be implemented while focusing on the qualitative
and quantitate significance of a communication audit process
PROBLEMS
a) Employees are not always choosing the appropriate means of communication
(traditional or digital) for the context and the audience-regardless of being a
technology-centered firm, it has come to our attention that some employees are not
technologically conversant with our communication tools that make it harder or
confusing for them to choose appropriate means of communication. Suitable
communication methods will help in conveying our image to our objective and
forthcoming consumers productively. This would enable them to settle on critical
decisions on our products
b) The internal organizational communication network is limited and partial, with some
groups being left out. The management is responsible for ensuring every employee in
each department is linked to the combination network. In spite of this, an efficient
communication network that is not limited to specific groups has quantitative and

qualitative importance to our company. increase revenue generation and sales could be a
decent effect in our associations because of a working environment that is conducive to
all and interaction with each other is not only possible but grievances can be directed to
the top management level
c) Inter-organizational meetings are ineffective-this could be a consequence of the initial
highlighted problems that cause miscommunication or hampering the flow of ideas in
meetings, hence they become ineffective .However effective meetings are essential in
achieving our intended targets, tackling of the issue pertaining to our products and
services is easily handled in such meetings
ACTION STEPS TO SOLVE THE PROBLEMS
a) Employees are not always choosing the appropriate means of communication
(traditional or digital) for the context and the audience-establishment of employee
training and education programs will come in handy giving them that ability and
knowledge in choosing the appropriate communication channels for the appropriate
audience eradicating any mistakes that may have occurred in the past
b) The internal organizational communication network is limited and partial, with some
groups being left out. -the management team will have to increase the network presence
in that every department is linked to all departments and reduce any biases that may have
been in existence This will be supported by the training and education program that will
be initiated in the firm.
c) Inter-organizational meetings are ineffective- These meetings are crucial to the success
of implementations of models that will lead to increase quality products and services

offered by our company. Effectiveness in such meetings will originate from efficiency in
interdepartmental communication and flow of ideas.
CLOSING
This memo is a consequence of a communication audit that was done on our company, Data
solutions. Its core purpose was to determine the effectiveness of our communication tools within
and outside our organization. However, the audit was able to identify a few shortcomings may
have directly or indirectly reduced our productivity. Solutions have been illustrated and should
be implemented as soon as possible.it is. It’s important for every employee to comply with this
memo since it will eradicate the shortcomings identified through the audit conducted. It will
increase interdepartmental communication that will increase the flow of ideas and information
regardless of the organization structure. This creates a conducive working environment for all
employees that will lead to the growth of our organizations.
