Introduction
In the given case study of CHD, the project used information system in order to track
data effectively. One of the main problems faced by the project is the data which could not be
expanded in the further projects. CHD has introduced a communication plan in order to solve
this problem. This report evaluates the communication plan and suggests a better way to make it
better.
Discussion
Current project communication plan
The team of Country Health Department had developed a particular communication plan.
The communication plan had been used in order to avoid the communication breakdown as well
as ensure that a proper correspondence is present between all the stakeholders involved in the
project [1]. The stakeholders involved in the project, issues faced by them, the messages received
by them and the means of communication are mentioned below. A senior management, client,
sponsor, project team members and other stakeholders face issues in providing continuous data
on project status [1]. The messages that are communicated to them are project status, key
milestones and any relevant issues related to the project. The communication process used in this
case is email, telephone, meeting and teleconferencing. In this communication plan, all the
stakeholders are provided similar details and they face similar issues [2]. The stakeholders
should provide the bit of data that they actually require. The data needed by senior project
manager and data needed by clients are not always similar. So the needed data should be
provided by the organization.

Comparison between current communication plan with sound project management
practices
A sound project practices include every step to be carried out in an efficient manner.
These practices are compared with the current communication plan [3]. The current
communication plan lacks various features. They are as follows
Project organization: In case of a sound project management, plan launches the
project after performing to the analysis of stakeholders as well as defining the
organization project. Some important elements of the project organization are
sponsorship of projects, core team and understanding the other basic stakeholders
[3]. These factors are not followed by the current communication plan.
Defined milestones and life cycle: Organizations should map as well as define
the phases, key milestones, deliverables for every group that is involved in the
project the four phase that should be considered in the project life cycle are
Concept, Plan, Implementation and at last close out of the project [4]. The current
communication plan of the organization does not follow these parts.
Managing project change: Every project plans what needs to be done but not
always it works out according to the plan [4]. The project management is hold
responsible for maintaining a proper balance between discipline and control in
order to manage the basic plan as well as flexibility for adapting the plans that
have been decided to meet expectations of customers [4]. Customers are never
happy with fewer efforts made by the organization and to make the project even
more effective the communication plan need to be free of loopholes [5]. These
efforts are not done by the current communication plan. Some basic points that

are to be included in the current project plan are defining a change in the context
of the particular project, understand the sources and signs should be shown
before new changes, and establish a process in order to manage changes and
measure impacts of the changes.
Measuring performance: The main area that should be kept in notice is
monitoring the performance of the project and identifies the problems faced in
carrying out the activities [6]. The team should be engaged in order to implement
proper actions. Measuring the performance of project includes budget, schedule,
performance of supplier and many more [8]. Track regarding these factors were
not kept.
Closing the project: The project closure is mostly overlooked or mostly
minimized. Most of the project managers start working on a new project just after
a project is over and forget or overlook to close the project properly [8]. The
project activities need to be closed in an effective way.
Recommended communication plan for future project and Justification
The Country Health Department has been developing a huge project that would help the
professionals in detecting the disease of patients quickly. Along with that, his database would
also recommend a valid process in order to fight against the disease. This project needs funding
from external stakeholders in order to make the project implement successfully. The members of
project would also need to stay in continuous contact with the stakeholders in order to know their
requirements and demands. For this particular purpose, Country Health Department had
developed a definite communication plan. In this particular project there are various stakeholders
such as clients, sponsor, and team members of that particular project, sub contractors, employees,

suppliers, government agencies, unions, community and news media. In case if this particular
project, communication is carried out by telephone, emails, teleconferencing and meeting. The
communication has to be carried out effectively because the project needs to be conveyed to
them. The mode of communication as well as when the communication would be carried out
depends on the requirements of the project. A formal communication is carried out among the
stakeholders. Some other stakeholders such as unions, government agencies, community and
news media are not very important for this particular project because it does not provide benefits
to the project. Government agencies are communicated when they want to get informed
regarding a particular set of information. This is because they do not need information regarding
every details and activities carried out by the project. The media is also communicated and
provided the details that they need. This way of communication is perfect because not every
stakeholder or member related to the project requires data regarding the detailed whereabouts of
the project. People belonging to the community and have contribution in the project can be
informed with the help of community meetings. This process of communication would be very
helpful and realistic. It would help the project manager to manage the stakeholders effectively
and he can keep a track regarding the information that has been provided to them.
Conclusion
From the report, it can be concluded that various stakeholders in the project of CHD are
of great importance. The project compares between the sound project management practices and
the present communication plan of the project. It also provides recommendations to improve
their communication plan.
