Explaining CMMS and TPM in maintenance management
CMMS stands for computerized maintenance management software, is a software
package that stores and carries data regarding the organization’s maintenance operations. The
major objective of CMMS software is to ensure the effectiveness of maintenance workers and
to help the management in making better operational decisions. However, a computer
software cannot complete the tasks of a skilled technician but the software ensures that all the
tasks are prioritized systematically and all the company has all the necessary resources like
raw materials, labour and inventory to complete the assigned work effectively and efficiently
(Pai and et.al., 2018).CMMS also helps the organization in increasing the productivity of its
workers, improving the life of equipment and better inventory management through optimum
utilization of resources.
TPM also known as total productive maintenance is a system of maintaining and
improving the production capacity, quality system of machines and employees through
supporting processes. TPM is of great value and its main objective is to improves the core
business processes. The production system ensures that there is minimum wastage during the
production process, good quality goods are manufactured, quick production at a reduced cost
of operations. TPM focuses on increasing the overall equipment effectiveness of plant
equipment so that the production capacity increases and the company achieves economies of
scale which further helps in increasing profits adequately. The major pillars of TPM are
autonomous maintenance, planned maintenance, training and education, quality maintenance
and safety health environment (Jain, Singh and Bhatti, 2018). Along with increasing the scale
of production, TPM also emphasizes towards the improving of employees’ working
conditions and provide them motivation so that they can achieve job satisfaction and work
with increased concentration.
Advantages and disadvantages of CMMS
Advantages of CMMS are as follows:
Adequate planning and scheduling of preventive maintenance: CMMS software
automatically schedules the inspections and maintenance to prevent the occurrence of
future problems relating to expensive repairs. Advance scheduling also helps the
companies from incurring extra costs and helps in smooth working of the business.
Managing the work orders efficiently: The software helps in improving the workflow
and efficiency by allowing the assigning and closing of orders quickly and easily.

field and also capture the history associated with the pieces of equipment.
Eliminating paperwork: The software reduces the use of paperwork by automatically

information on their computer and mobile devices. Thus, it saves time and effort for
the organization.
Increasing productivity: The major objective of CMMS software is to improve the
productivity of the operations of company through providing real time information,
checking inventory and reducing the journey time. The software also provides
technicians and workers with details about their upcoming tasks and the tools required
to complete that so that they can be collected systematically without any delays.
Disadvantages of CMMS:
Used by trained professional only: The major drawback of CMMS is that it can be
used only by trained individuals which means that it is of no or very little use for new
personnel and in order to make them learn the software, it is important for the
management to provide them training in all areas of maintenance. Moreover, training
of CMMS to unexperienced workers would require a lot of time of professionals
which is not always possible.
Maintenance is based on conditions: The maintenance schedules can be inaccurate
unless the CMMS software takes the conditions, reliability and predictability into
account (Poór, Šimon and Karková, 2016). Therefore, the management needs to
account for various conditions before ensuring the software’s maintenance schedules.
Increased focus on computing skills: The focus is often given to computing skills
during the use of Computerized maintenance management software but the
management personnel does not understand the use of stored data in the near future.
Therefore, increased focus on the software creates problems for the company relating
to the storage and use of data.

Integration of CMMS and TPM help an organization succeed
Through planned maintenance and quality management, CMMS can be integrated
with TPM and it will help the organization in achieving its goals and objectives effectively
and efficiently because the software will ensure that the tasks are achieved adequately with
the use of proper resources, labour and inventory. CMMS also helps with administrative and
office TPM through document and inventory management.
Pillars of TPM are:
1. Autonomous maintenance: It includes the shift in responsibility for basic maintenance like
inspection, cleaning and lubrication. The main objective of this system is to detect faults,
equipment downtime and to ensure better participation of employees.
CMMS can help in better autonomous maintenance through activity logging that involves the
challenge of getting machine to perform the operations. CMMS also uses work order
management to report the faults in machine and replace them quickly so that the workers can
start working systematically.
2. Maintenance Improvement: Maintenance improvement is concerned with determining
which assets to be placed in a planned manner. It further helps the organization in deciding
the equipment and then adding others as timely progress.

repair and maintenance which will increase the productivity and reduce the ideal time to
minimum.

activities they need to follow to perform the repairs systematically and in the fastest manner
possible.
