INTRODUCTION
Communication skills are the heart of each and every business. It is the process of
exchanging ideas and information between one person to another (Sender and Receiver). The
role played by communication is vital as without effective communication there is nothing in the
business. Effective communication in the business is very important. There are various types of
communication which are verbal, interpersonal, written and oral communication.
Communication is the essential needs of business as it helps in building effective communication
in each and every department of company. In this present assignment, the models of
communication is discussed.
TASK 1
1. Communication theory and systems used in business.
The theory and models of communication are defined as the theory of communication
which are applied in the business which helps to be understand the process of communication. In
order to understand the basic concept of communication, it is simply a procedure of sending and
receiving or transmitting information from one person to another. In order to make systematic
and proper communication procedures, there are various types of theories or models. These
theories and models of communication makes communication in the simplest and easiest form.
There are various models and theories of communication which is used by several organisations
to promote the skills and traits of communication among all the people of the company.
There are so many benefits of models which make communication in simplest and easiest
way are as follows-
ï‚· They make the communication easier and simplest form.
ï‚· They make the communication clear and understandable.
ï‚· They help in building healthy relationship with employees.
Theories of communication are as discuss below-
1. Schramm's Interactive Model- This the model or theory which given by Wilbur Schramm in
1954 which was the first person to model of mathematical of Shannon and Weaver. He gave
main emphasis on encoding and decoding as activities maintained at the same time by sender and
receiver. He also gave emphasis on two way communication.
He also provided the additional concept of a field of experience which refers to the type of
attitudes which sender and receiver maintains towards each other. He also included feedback in

his model, he stated that there are two types of feedbacks is influenced by direct and indirect
communication. This model will be very beneficial for all business as breaks the complex
communication into the simplest way.
2. Dance Helical Spiral Model- This is the model or theory which is given by Helix in 1967. He
depicts communication as a dynamic process. He stated that communication is developed in an
individual by his birth to existing moment. He also stated that communication is influenced by
the past behaviour which is affects future and present communication. The model of
communication of Helix is always moving forward. The model of communication proposed by
him is flexible process of communication. Businessman can use models of communication to
make there communication more flexible and easier.
2. Methods of communication.
There are so many methods of communication which makes communication more
effective and impressive. There are several methods of communication such as speaking,
listening and reading as all these are standard methods of communication. Further-hence, there
are some methods of communication which are oral written, visual and electronic methods.
Oral communication- This is the easiest way of communication as ideas and information are
shared by mouth or words. Verbal transfer of ideas or information from one person to another is
oral communication. Oral communication can be informal or formal.
Advantages of oral communication are- it can be more personal, it is less time consuming and it
has more flexibility than others communication.
Disadvantages- It is less formal and it has less reliability.
Written Communication- This is the process where communication takes place in written form.
It is written transfer of message. Letters, manual reports, telegrams, bulletins are the examples of
written communication.
Advantages- It covers more suitable for long distance, it covers wide range of area and it is used
as legal evidence of documents.
Disadvantages- it is very time consuming method and in case of urgency it is not useful.
Visual Communication- this is the modern method of communication. In this type of
communication people come in interaction by reading and watching. For example, maps, charts,
posters, signals etc.

Advantages- this is the most effective style of communication, it is easily understood and it is
more reliable.
Disadvantages- no use when there is long distance and reliability is less.
Electronic Method- Today, in the era of modernisation, electronic mode of communication is
more preferable by people. It has wide coverage area. For example- email, messages social
media etc.
Advantages- It educates people, it is very fast way of communication.
Disadvantages- it is costly, it causes health issues.
3. Principles of effective communication.
Principles of planning- these principles states that before conveying any messages or
information to anyone, it should be properly planned.
Principles of simplicity- these principles states that message should be simple and easy.
Making message in more complex way is avoided by this principle.
Barriers of communication.
Lack of attention- It is also the barriers when listeners are not interested in taking interest
and paying attention while someone is talking.
Physical Barriers- This is the barriers which comes during communication like sound,
pitiful lightning, temperatures of environment, old instrument and equipments.

1. Oral Communication.
A small conversation between me and my customers.
Me- Hi Mam...
Customer- Hi...
Me- Mam I am extremely sorry for late delivery of your parcel.
Customer- what do you mean by sorry... I had taken holiday from by job for receiving my parcel.
Me- Mam I agree all your words but Mam because of heavy rain, I was unable to deliver my
parcel. All areas are jam.
Customer- I understand your problems but there are at late night you can deliver my parcel, at
that time, rain has been stop.
Me- Mam again I feel sorry for you. I will promise you, It will never be repeated.
