INTRODUCTION
It is important to have effective communication skills for an organisation to interact with
its employees and consumers. Present report analyses the principles and purposes that Human
Resource Director of independent London sports and leisure centre business i.e. Sport Love
needs to consider in a communication strategy. It will also explain the general characteristics that
participants need to have to be effective listeners and speakers during meetings. Along with this,
own strengths and weaknesses in terms of communicating will be given here.
LITERATURE REVIEW
As per Darics, Human Resource Director of Sport Love needs to have an effective
communication strategy in order to increase the efficiency of communication. Below explained
are the key points discussing the purposes and principles explained by Darics needed to be
considered while creating an effective communication strategy.
Theme 1: Principles (exploring the major principles required for effective communication)
Knowing the audience: It is important that one should consider knowing the audience before
communicating with them. If one is not aware of what kind of audience he or she is talking to
then it might create communication gaps, less understanding of the subject, etc. to the team.
Sport Love's human resource director should make its employees aware of how they should
understand and determine their audience before communicating with them. It will help them to
fill the communication gap and make the listener understand whatever they want to convey to
them.
Knowing the topic: Human Resource Director of Sport Love needs to ensure that its employees
are aware of the topic before communicating with their team members. Being aware of the topic
will ensure that one is aware and knows precisely what he is talking about. Along with that, it
will make sure for the listener what the speaker is going to talk about. He/she is not going to be
in a disarray while the speaker is conveying his thoughts (Darics, 2015). It will create an
effective cooperation and an ease of understanding between the listener and the speaker.
Theme 2: Purpose (exploring the major purposes to increase communication)
Determining the impact: One should be able to determine the impact he/she wants to create on
the audience or the listener. The director of Sport Love can make sure that its employees are

being taught with necessary skills of communication from which they are able to understand the
type of impact they want to create on their audience (Chaudhri, 2016). This will ensure that the
organisation is retaining an environment where each and every of its stakeholders are able to
make their listener understand the message they want to convey.
The usage of necessary tactics: The usage of necessary tactics will allow the communicator to
convey his message with showcasing a good intention and respect to the listener. Tactics such as
a good body language, maintaining the eye contact, necessary gestures will help both of the
speaker and the listener to convey and understand their thoughts and messages easily. The
Human Resource director of Sport Love can provide necessary coaching and training to its
employees in developing these necessary communication tactics.
Theme 3: Characteristics of a good listener (explains how one's listening ability should be)
Being focused on speaker: As per Thomas, it has been observed that projects and meetings have
small distractions that can lessen the listener's attention span. For example, a vibrating phone can
make the listener attention divert from the speaker towards the mobile phone and can make him
miss an important point. It is important that the speaker puts his entire focus on the listener and
avoids any of the distractions (Thomas and Stephens, 2015). To do this, a listener can make sure
that he is maintaining the necessary eye contact towards the speaker and also that he is
demonstrating the necessary attentiveness towards him.
Keeping an open mind: Preconceived notions, ego and bias can prevent the listeners from
understanding the speaker point of view. A listener can keep these notions and bias aside in order
to increase his ability to understand the speaker well during the meeting.
Asking for clarification by rephrasing: It is important for the listener to ask questions when
something said by the speaker is not clear to him. It will clear out the unnecessary confusion and
will help the listener to focus on the speaker again.
Observing the body language: As per Stephens, a listener should be focused on the speaker's
body language as well. One should pay attention to the speaker's hand gestures and postures and
determine the said emotions and their emphasis(Thomas and Stephens, 2015). It is important to
sunderstand the speaker's empathic gestures to understand the points made by him. Along with it,
it will help the listener to focus his attention on the speaker.

by the Human Resource Director to their employees in order to improve their communication
skills.
Confidence: As per Lucas and Rawlins, a speaker needs to be confident. The attribute of
confidence will make the speaker look more attractive, knowledgeable, intelligent and accurate.
The speaker can practice the presentation before. Practising will help him to gain good

good confidence will allow the speaker to make his audience understand things better and clear.
Introspection and self-awareness: The speaker should hold necessary self-awareness and
introspection towards his innate nature. This will help him understand at what places he is
lacking the desired skills. Self-awareness will make the speaker more confident and aware of his
performance skills.
Engagement with the audience: The speaker should be able to generate the necessary
engagement with its audience. If done well, it can create a good impression on the audience. The
necessary engagement can bring the listener and the speaker closer towards sending and
receiving the thoughts or ideas conveyed.
Command on the language: A speaker to create the necessary impact on its audience should
hold good communication skills and a better command on his language. He should also speak in
a certain way where the audience of all age groups understand the ideas conveyed. He should
also be able to learn and understand the audience perceptions towards his spoken ideas or
thoughts. This is going to allow the speaker to evaluate the pros and cons of his speech and will
help him to improve himself the very next time he is performing.
The above points explore what effective characteristic the employees of Sport Love can
develop in order to become better listeners and speakers during meetings and projects.
ANALYSIS AND DISCUSSION
It has been observed that the employees of Sport Love need to acquire a good amount of
listening and speaking skills in order to improve their overall communication. The organisation
is facing communication gaps because English is not their first language. It makes them suffer
from understanding a foreign language with an ease. Along with it, its employees tend to work in

three different shifts which makes if hard for the organisational director to make a plan to teach
them with the necessary skills and techniques in order to improve their communication.
The evaluation of own oral and written communication strengths and weaknesses in a
business context
Strengths of Oral Communication
I have observed that I am much more confident while speaking in front of a group of
people and have seen that my interaction with a group is very stronger.
I have a better understanding of needs and wants of audience and their communication
skills which make it easy for me to convey my ideas to them.
My voice is loud and clear which makes it able for me to communicate to a number of
people easily and make them understand the desired ideas and thoughts (Ha and Riffe,
2015).
I make use of a good body language while speaking to my audience which keep them
clear about my particular emphasis and emotions.
Weaknesses of Oral Communication
I am not comfortable in speaking for longer durations. It makes it difficult for me to
speak for more than 15 minutes at a time. I have to take a long back to regain my voice
and strength to speak.
I fumble a lot while I try to put emphasis on certain words and sentences. This makes me
lose my confidence while speaking in front of a large audience and makes me nervous.
I am not able to retain large amount of information at a time. I have to make notes of the
necessary points which I need to elaborate to the audience and have to speak accordingly.
Strengths of Written Communication
I have better command on my grammar which makes it easy for me to put my thoughts
on paper.
I read a lot, which makes it easy for me to understand and determine my thoughts well
and easy and put in my writing (Cardon and Marshall, 2015).
Weaknesses of Written Communication

I am not able to write short sentences while putting my thoughts on the paper.
It is difficult for me to write large topics at once.
CONCLUSION
From the above report it can be seen as Sport Love's Human Resource director need to
implement a number of strategies to make it employee base skilled in effective communication.
The report has identified the weaknesses of organisations employees that makes them suffer
from having good communication skills. Along with it, various measures to improve their
communication has also been explored in the report. The characteristic required to improve the
organisation's employees listening and speaking abilities and what important measure the Human
Resource director should undertake is also analyses in the report. These all measures alone can
help in improving the Sport Love's employee’s communication abilities.
