Dear Madam,
At first, I would like to thank you for your time to have the meeting with me. As you have
informed me, an issue has occurred regarding one of the textbooks for the next semester. You
have asked me to conduct a thorough investigation regarding the issues with the new
textbook. I am writing this email to confirm the instructions and requirements that you have
made earlier regarding the investigation.
As we have communicated earlier, you have asked me to have a detailed investigation on the
issues that have surfaced with one of the textbooks for the next semester, and deliver a report
on the investigation to you that explains every details of the issues clearly. As the new
semester starts in four weeks, I have to deliver the report within three weeks so that there
would be enough time to make a decision regarding the issues with the textbook and act on it.
With this report, you aim to reach to a decision that would ensure the department’s money is
being utilized efficiently, as well as the students are being provided with everything that
would help them in the learning process.
On this regard, I am presenting you the plan for the investigation. As per your suggestion, at
first I will talk to the manager of the bookstore Dave Black, and then the administrative
assistant Hector Mead. These two persons will provide me the detailed information on the
issues and the reasons behind it. You also mentioned that the professor of the course that the
textbook is for, Mr. Hoan, could shed light on the issue too. I will talk to him to understand

the significance of the issues. The next step of the investigation will be to meet the related
stakeholders in order to figure out the root of the problems. This will provide a clear idea of
how the issues will affect the students as well as the department in which that textbook is
studied. Combining the details gathered from the management of the bookstore, the
stakeholders and the professor of the department, recommendations will be made that would
help in resolving the issues. Explaining all the issues, the report will further provide an
estimation of the number of books that will be required for the next semester.
I can assure you that the report will contain all the details that you need to comprehend the
situation, and the suggestions will help you in make necessary decisions. As you have
required, this report will be delivered to you within three weeks.
