INTRODUCTION
Project management refers to the process in order to leading the team to achieve
specific goals and meet success at a particular time. It is the application of knowledge,
skills, tools and techniques for project activities as per project requirements. It concerns
with an activity to manage allotted projects within the team. Each project has specific
plan, budget, time, deliverables and tasks. A project may be involve teams which are
exist from different departments of organisation who are come together to accomplish a
target and goals. It is different from managing daily business activities, it involves
creativity and innovation to do new work packages and tasks. It has various stages such
as initiating the project, planning, execution, monitoring and closing with specific
objective (Joslin and Müller, 2015). This essay covers topic such as work breakdown
structure, network diagram and Gantt chart importance in planning, managing and
controlling activities and fulfill requirements of clients.

SECTION 4
Managing and controlling activities by work down structure, network diagram and Gaant
chart:
Work breakdown structure refers to a tool that has utilizes for project activities, as
it is a important document in project management. A work breakdown considers
deliverable oriented breakdown of any project into smaller parts. It provides necessary
framework for cost estimation and providing guidance for development and
controlling activities. It is organised for primary project products rather than produce the
products. A well designed WBS makes easy for manager to assign each activity to one
and another. It helps in cross check matrix for measuring functional requirements to
high level and low level created documents. It is about managers plan their activities
more efficiently (Meredith, Shafer and Mantel Jr, 2017). A project is bounded in fixed
time and cost. The project manager require to plan for the schedule, fixed cost and
functions completeness of the project. The WBS helps makes in planning consistent
6

and provides effectiveness for project execution. In this hospital project, the main
purpose of WBS is to reduce complications with dividing tasks. It is important for project
manager to oversee activities more efficiently than the complexity. Task must be clear,
precise and measurable, thus WBS helps managers to planning, managing and
controlling things according to requirement of clients.
Divided work into smaller part will help management team in order to oversee
activities which are done during the project completion. That helps in effective and
efficient working so that this can fulfill clients needs for hospital. As what client wants in
this project, distribution of work make easier for control different activities as a whole.
Because WBS tasks are measurable, project manager can assign cost of each task
effectively, as this helps manager to distribute budget. As WBS has clearly defined
limits, it helps in determining how advance the project is done by checking finished the
task. It helps define scope is completing work without carrying extra work. The project
management assign task responsibility to others and they are responsible for
completing the full objective of the project in timely manner (Radujković and Sjekavica,
2017). Under this, it helps project manager to keep work according to plan as they have
ability to oversee project in parts that can help to achieve clients requirements. As it
helps in planning how to distribute task into different part and after planning managing it
and if there are any critical situation then manage it.
Network diagram is a presentation of computer or telecommunication network
that makes root or path for interaction in the project. it describes the way in which
information flows with a network. A network diagram shows various purposes, in this
project it shows planning for structure of hospital, coordinating updates on existing
structure, reporting network problems, keep tracking of components, selling proposal to
financial shareholders and proposing high level infrastructure. It helps in assessing,
managing and controlling performance of project as client required. It helps in time
management, as it shows how project activities are interrelated with each other from the
starting to ending of project. In this hospital project the diagram will help to project
manager and team members for planning, organising and controlling as it is a snapshot
of all project activities.

It shows that all activities which has been done in project are interrelated so
work done in that manner so it will easy to meet with client needs. So in this project
team know about sequence of activities, in certain point of time team knows what they
have done, the remaining activities and interdependences of task in reference to client
project. In order to complete the project on time, manager makes schedule for project
that remind team to done work in proper time. As in hospital project client requirement in
certain time so project management need to schedule according to it. As it shows the
critical path of doing things that helps managers to do things, managing and controlling
project activities. It helps in done things according to the client, managing and
controlling activities in each path of project execution. A good network diagram refers to
clear and concise graph representation of a project. As it helps manager and team
member for visualize all the activities that has to be completing during the project time.
The best way for ignoring poor planning by managers is to creating network diagram. In
this diagram which is made by mangers boxes and nodes represents the trivialities and
arrows shows the relationship between those activities that makes easier for managers
and team for connecting all the things (Todorović and et. al., 2015).
Gantt chart refers to one of project management tool, it is the most popular and
useful ways to showing tasks against the time. On the left side of chart it shows
activities along with the time, in this each activity represented by a bar that reflects the
end date and start date. It is important for useful planning and scheduling projects and
helps to assess how long time a project should take, resources which are needed to
done activities and plan the order in which task is done. Also helps in managing the
independences between the tasks. In this hospital project managers prepares a chart
from the beginning of the project, that leads how activities going and how much time
each activity takes that are dependent on each other. It shows managers beginning date
and finish date of project through horizontal bar graphs. It helps team to monitor the
progress of the project and to set priorities. It is not necessary that giving chart is actual
outline of the project because it is crucial to compare the actual and projected progress.
It helps managers to evaluate the performance and time boundation for each activity
that work is going on, on time or not.

In this project it helps project management team that who is going to complete
different activities and how this relates to the entire project (Walker, 2015). It helps in
advance resource planning and managers to visualize their resource capacity. It
provides a reason for why the chart is too important. It helps management team for
planning, managing and controlling the activities which it can fulfill needs of client what
they want in this hospital project. Gantt chart is basically used to present the project in
visual way that show timeline of each project in chart where it operate through different
software and helps the company to represent its project to its client in more professional
way. For the project like hospital Gantt chart will help in telling what will happen and how
thing will work and also states what work is due, who will perform the task. Gantt chart
will give clear view of project and easy to map complex project also. It also show
beginning and end dates of project and clearly define them.
CONCLUSION
From the above report it has been concluded that project management is a
process of managing tasks or project at a given period of time. It is different from
managing daily activities, it is about a specific task which ends after the completion of it
and involves creativity and innovation to complete the project. Project management
team uses various techniques for assessing, managing and controlling its activities that
are work breakdown structure, network diagram and Gantt chart. These all activities
helps to done project and managers to meet clients requirements.
