Task 2.01 “To-be” design – activity diagram
To – Be business core process means the business strategy that needs to be undertaken by the
organization. By the term "To - Be" it can be understood that are some changes or new processes
to be included in the core processing of the organization. Following is the strategy that needs to
be adopted by the Cosies Insulation:

The above activity diagram shows how the calling system should be. The term "To Be" can be
explained via the above diagram. The company needs to have a calling service which is not just
supported for the clients but also keeps track of the performance of the employee answering the
call. This can be done by call monitoring by team leads or some other experts. The call received
by the employee will be auto-recorded, the employee will gather the request from the client,

assist him/ her on his/ her own if possible and may also forward the call to the team leader if
he/she is not able to handle the issue on his / her own. The team will then solve the request and
forward the call to the employee (Satzinger, Jackson, and Burd, 2011). Then the employee will
generate a report of the call and also will store the call recording of the same. This can be done
during the call too. This to - be core process can be adapted by the Cosies Insulation in order to
make their assistance and service desk more efficient.

Task 2.02 Organizational change
Comparison between the As-Is and the To–Be diagram:
1. The “As – Is” diagram is explaining about the current working of the organization. The "To –
Be" diagram shows a recommendation of the working should be.
2. The “As – Is” diagram is based on the study on the latest and most effective methods is
undergoing in the organization, Cosies Insulation, but the “To – Be” diagram is more like a
future plan or future strategy that needs to be followed to make the current scenario more
efficient in any way possible.
3. The “As – Is” diagram made in the case is depicting the process of the calling, and how the
executives answer to the queries made by the clients in a detailed manner explaining the various
participants in the processing. The “To – Be” diagram made here is for the same scenario, it is
also dealing with the various stages involved in the calling, responding and solving the client’s
issues. The “To – Be” diagram is not that much detailed but it is enough for anyone to
understand the process.
4. The "As – Is" diagram is a flow diagram i.e., it is dealing with the process in way top-down
manner by traveling from the top "Calling" and the end "Installation of the Insulation system".
Whereas, the “To – Be” diagram is an activity diagram which has explained the calling process
and at the end the task of documenting the call details are explained.
The organizational change:
Before the proposed plan the management of such log and complex was way too difficult and
time-consuming. After the Insulation application, the ease of doing all the basic tasks are now
not in pen and paper but just one - touch away.
Earlier, the management could not track the call records as there was no database of the call
history and the reports, the issue they were having with the sales roles representatives as they
could not track their reports. Now the application has enabled the management to not only view
the reports of each and every necessary process but also track the coverage area and also the
commission deciding reports for the finance department (Satzinger, Jackson, and Burd, 2011).
Earlier the sales representatives used to visit each house and family or individual once for the
time for collecting the specifications and then go back to the calling executives to close the deal.
Now they can just go there and make sure the deal is closed right away.
Earlier the sales representatives had to suffer from the miscommunication happened between the
callers and the families or individuals and they had to offer something to them which they did
not even ask for because the caller went off script. Now they can see the caller report which

would include the recorded call and the specifications needed by the clients and hence close the
deal for both sides (Toolset, and Diff, 2018).
Managing these changes:
The changes introduced in the company are quite effective and manageable. The changes made
are only reducing the efforts and increase efficiency. The application that has been installed
inside the companies structure would require some background developer or a team of them. So,
there is a need for that which the company needs to look for. They can hire new personal for
managing the application.
