Task 1: Develop an organization chart
The business of Diamond video rentals is owned by John Vandrine. The organization
contains around 5000 members and 10,000 videos in stock. The organization have six permanent
staff and around six casual staff. The two most experienced supervisors of the organization are
Deb Papadopoulos and Dawn Schultz. They are among the permanent staff and focuses entirely
on supervising the running of the store. They work alternatively managing the whole shift so that
they can provide better customer services.
Danny Jones, Paul Trang, Mae Willis and Terry De Santo are also permanent staffs.
Their main motive is to prepare the roster for each shift so that they can organize the staffs. On
the other hand Ted Sloan is responsible for accounting and purchasing functions. Mary Johnson
focuses on preparing the rosters and payroll for the staffs. Each member plays a crucial role
within the organization and thus it becomes essential to understand their importance. Accounting
functions are mainly carried out with the help of accounting software package and other
functions are carried out manually. Deb and Dawn work mainly at the counter, handling rentals,
bookings and over dues

Task 2: Determine Client requirements
The major requirements of the new office includes 1 office assistant or customer service
clerk for managing the external activities, 1 manager and 6 sales staff for managing the sales
related activities. In addition the new setup will also include installation of LAN for new office.
The main aim is to ensure that each client is provided with proper support so that they can
achieve better services. In order to meet the client needs the organization has decided to review
the initial budget and the timing for implementing the new ideas. The organization will also
implement an effective hardware setup that can accommodate the needs and will ensure that the
functionality is being enhanced with the implementation of new system. The manager has
requested for implementing Microsoft windows XP professional within the workstation
operating system this will ensure better way of executing the activities. In addition to this the
workstations will be installed with Microsoft office XP and anti-virus for enhancing the services
provided towards the customer. The office will be installed with proper accounting software for
providing better and reliable facilities. The network will include share folders and resources and
will ensure that the internet connection is being successfully shared among the users. Beside this
it becomes essential to develop a system that will be able to meet the basic needs of each
customer. The document will hold the details regarding the number of new users that are going
to interact with the system, the need of proper printing functions and file sharing function.

With the growing population it has been observed that the organization is facing serious
challenges to provide proper services towards the customers. Thus there is a huge need to
implement proper IT solutions that will be able to resolve the challenges. The main problem that
is concerned as important factor by John Vandrine is the decline in the business profit rate. Apart
from this the other problems that are faced by the system includes the excessive time that is
included in answering the queries of the customers and sometimes it has been observed that the
system fails to provide accurate information. Thus there is a huge need to implement measure
that will help in overcoming the above mentioned challenges.

With the growing needs of the customer it becomes essential to implement effective measures
that will help in improving the customer services. There is a huge need to implement automated
services that will be able to meet the customers need. The basic recommendation that will help in
improving the services are as follows:
 Organization need to implement electronic file management
 Determine the needs of storing and analyzing the data and implementing proper measures
that can support effective analysis
 Clients will be provided with online facilities so that they can check the availabilities of
videos
 The organization will implement social networking so that proper management can be

Information gathering technique offers an effective way of managing the data. The main
reason behind using this technique is to ensure that the collected data is able to benefit the
services offered by the organization. The two information gathering planning that is being used
for analyzing the data of Diamond video rental organization are interviews and questionnaires.
Interview is one of the efficient method of analyzing the data. This ensures that all the
concepts are made clearly between the interviewer and interviewee. The main strength of using
interview for information gathering is that it has the ability to collaborate with team members
and ensures that proper communication is maintained with the customers. The main drawback of
this method is that it is very time consuming and analysis takes a lot of efforts and time.
Questionnaire is one of the technique of information gathering that helps in analyzing the
facts deeply. This includes a set of questions that are to be answered by the respondents. The
respondents can be among the staffs or from a group of customers. The main advantages of using
this method is that it becomes easy to evaluate a large number of people. However apart from
this there are several disadvantages that comes along with the use of questionnaire is that the
responses varies widely and this leads to improper analysis of the data.

The methodology that is going to be used for the system development is the traditional
methodology that is waterfall method. The main aim behind using the waterfall SDLC
methodology is that it ensures that all the objectives associated with the system are defined
