Executive Summary
This report is about the Eat Organic Food organization which is a farm and owned by Ian
Jones. This organization produces organic vegetables and fruits. Ian Jones is a farmer who
made a farm in his backyard because he loves to do farming and he never uses any chemical
for growing the vegetables. A new system is being developed for this farm and the customers
which make the EOF system online for selling and buying vegetables. In this report, all the
use cases and ERD will be defined according to the requirements and actors in the EOF
organization.

Activity 1 – Business Information
Summary
Eat Organic Food is a farm which produces organically certified foods. Ian Jones is the owner
of the company and his wife Ruth helps him to run the farm smoothly. Their scale of
production has grown in recent years with the increase in customers and their demands. Ian
has great farming knowledge as he was raised on the farm itself and this knowledge comes in
handy to grow rich quality products. Customers of Eat Organic Food get the stuff from Ian’s
farm itself and they place their orders on phone one day before. It gets difficult for the
customers to order products on the phone as it is a tedious job on both ends moreover, the
customer does not have any details about the availability of products and has to inquire about
it every time they place an order. Ruth handles all the aspects of dealing with customers
while Ian manages production & harvesting. Customers can also place an order for their
weekly box of produce which they can get from the farm itself. Ian & Ruth have also hired
some people to help them with different areas of the farm produce and its management in
order to maintain smooth functioning. The farm also produces fruits along with vegetables
but not on a very large scale. The farm is having some issues with the management of orders
and hopes to fix these issues with the help of an IT consultant. This organization has a wide
scope because of the quality of fruits and vegetables but due to less management, all the
customers cannot get the fresh vegetables so a new system should be designed for solving all
the problems.

Areas of the organization under study
Eat Organic Food has been facing some problems with their orders, delivery, accounts,
customer management system, etc. and needs some kind of web application service which
will enable customers to place orders online. It will also serve as a platform with which the
organization will be able to update the customers about product availability and other
relevant information. In order to develop an information system suitable for Eat Organic
Food, the following areas need to be studied and business functions for them need to be
implemented:
1. Production: Currently all the production related information is handled by Ian alone
as he has all the knowledge related to farming. With the proposed information system,
detailed steps about the production of good quality organic products can be made
available to the staff members. For this to be made possible the production in Eat
Organic Food needs to be studied.
2. Ordering & Delivery: The proposed system will enable the customers to place orders
through a web-based application and will make the management of orders easier.
Currently, the orders are taken on the phone which makes it very difficult to keep a
track of all the orders and makes the overall process slow. The new system will make
it easier to get the address and other customer details in order to make delivery of
products faster and easier.
3. Transaction management: The information system will keep a track of the payments
made by the customer and there will not be any need to maintain a separate log for
payments. Managing the payment information manually like it is being done currently
is very difficult and hence there is a need for a system which will automate this
process. It will provide complete payment details about the payment mode, time of
payment, etc.

Functions which may be provided with the information system
Customer reviews: The system can provide the customers a review/feedback area
where they could provide their valuable feedback about the services of Eat Organic
Foods which could give Ian and Ruth an idea of areas where they need to improve.
This will enable the development of a service which will suit best to their customers.
Order tracking: The information system could provide complete order tracking
details to the customer. Details like when will the order be reached, who will be
delivering the order and other such relevant details could be provided to the customer
to improve their experience.
Product request: The customers could also be provided with a feature to request for
unavailable products. This would help the farm owners with data about products
which are bought the most and then can thus alter the production rate on that basis.
Data analysis tools: On the basis of what customer are buying and requesting, the
system could provide a complete analysis of what Ian and Ruth should produce in
order to achieve higher sales (Skrypnikov, et-al, 2015).

Problem statement
Eat organic food is an organic farming products company which currently takes orders
through phone and the customers come to pick up their orders themselves. The company has
expanded recently on account of the rich quality products it provides to its customers and is
facing some issues with managing the workflow now. It is getting difficult to take, manage
and keep track of orders at both ends and the organization requires an IT solution to help
them with their problem.
System Requirements
To implement the system a host will be required which will store the data on a cloud server.
These types of servers can be rented and the system can be hosted online. In order to make
use of the information system, a tablet or a smartphone may be used. A desktop or a laptop
can also be used as the system will be dynamic and could be used on any platform.

Business opportunity and benefits
The information system will enable the customers to order their products without having to
call Eat organic foods and have a long chat with them. The system would display information
about the available products and the order will reach straight to Ruth and her assistants.
Account section can also be easily managed as the system will keep a track of all the
payments. Ian can make use of this system to keep his staff updated with the production
techniques and they can get knowledge about organic cultivation processes right from the
system itself. This system will open a whole new range of opportunities for Eat organic food
in terms of business and customer reach (Hady Pranoto, 2015).
