INTRODUCTION
Communication is essential for every organization. Effective communication is the best
key to maintain positive relations with various types of patients in health care sector. Basically,
communication is a process to transfer the information from sender to receiver. Every people
communicate in various way which include non verbal or verbal. Present report is based on the
use and develop systems that promote communication. It also defines the effective
communication which define the appropriate information within the health care sectors. If every
health care use better and effective communication process so that they can easily float their
guidelines and important information in patients (Agrawal, 2012). It also includes supported and
effective communication which is defined by the individuals in organization and particular job
role. Effective implementation of useful strategy also helps in overcoming from the
communication barriers in an appropriate manner. Effective communication system and practice
is also mention in this report which define systematic process in the firm. Present report is also
define the barriers and barriers which create in communication process with in job role.
Implementation strategies ins also mentioned in their reports to overcome from the barriers.
TASK 1
1.1 Range of groups and individuals whose communication needs must be addressed in job role
In National health service (NHS), being the creative supporter, it is more important for
me to communicate properly with my team members and service users which assist in
transferring the information within the people. I communicate with many groups and line staff
so that they can follow effective and right working process in the organization. It is my
responsibility to communicate all the useful information to the staff members which assist in
completing their tasks in an effective member (Aker and Mbiti, 2010). Communicate with all the
directors about any issue is also responsibility of me which can be evolute and resolve by the
senior directors. It is more essential for me that I can communicate easily and effectively with
patients and their families so that they all are aware about the challenging situation. Good and
effective communication skills are more important for me as a leader of health and social care in
order to develop and maintain the positive relation with the clients so that they can define their
holistic needs. Being the creative supporter , I have to build up positive relations among the staff
members and colleagues. My role defines effective communication so that I can interact with

people easily and share all useful information about them easily. My aim is to make sure to form
the best relationship with patients and staff members to achieve higher satisfaction by the clients.
I am having the responsibility of communication with individuals as well as clients so that I
provide best service to fulfil their needs in appropriate manner this will assist for me to build
positive relation with them.
1.2 Effective communication within job role
Effective communication plays a vital role in every job profile which affects the business
process. With the help of best communication process, every person transfers their information
to others and also, shares their experience with others (Berkman, Davis and McCormack, 2010).
In my job role, being the manager, it is more important for me to have good communication
skills which assist in developing positive relations with service users and staff member. I need to
communicate with clients, colleagues and other professionals. I also use various types of
communication forms in my job role so that I can easily understand the needs and wants of
service users. Having better communication skills is important for me which enables me to
maintaining positive relationship at working environment and other professionals so that they
can easily understand about the information This is also define to me as a tools which helps in
sharing information with clients. I also use various communication methods like one to one
communication that is use in may job role in daily basis. I also use non verbal communication
which can be as a email or written way that is assist in me to floating information. By doing
regular meetings I can improve and maintain a strong relationship with my colleagues. This may
help me to build trust. I use text message to contact with the service users. With the help of
verbal communication people transfer their message and information through body language,
facial expression . it is more important to define effective communication and take place.
1.3 Barriers and challenges to communicate within job role
There are various barriers which stop communication process. It is my responsibility to
that any barriers are not create problems in working place which stops the communication
(Bhatia, 2014). Maintaining and building a strong relationship in the working environment is
more important to reduce conflicts that arise in communication process. There are some barriers
as mentioned below which affect the communication:ï‚· Physiological barriers: Illness in health is a big cause which create difficulties in human
body and impact on communication.

ï‚· Psychological barriers: People who having personal problems like worries and
depression which create problem in communication process. These are big challenges for
an individual to transfer their information to others.ï‚· Language and culture difference: Every person are belong from different background
which define various commination way that they use. For example people belong from
different religious so that they use various types of gestures to transferring their
information which create problems in the communication. There are some example which
stop the communication which is linguistic difficulties, poor explanation and
misunderstanding these all are create by the different choice of word which is used by the
person to convey the information by one person to another.
ï‚· Physical barriers: This barrier is related to the environment where we live. It define that
having noise distraction because of incorrect temperature. This is arise problem in
communication process and create obstacles which is not understandable by anyone.
Being the creative supporter, I would like to define effective communication which
maintain positive relationship with service users and colleagues (Blumenthal and Tavenner,
2010). This will helps to me to motivate and encourage their confidence in order to share their
information. I also work with those people who show the respect and it is more important to
maintain the healthy environment in health and social care.
Yes I face all these barriers in my day to day practice. In this I face psychological barriers
because at the time of feeling low then they feel socially isolate and not easily interact with
others. In this context, I evaluate that they face problems in talking others and do not open up
easily. In this I also face language barriers in my daily practice while interacting with foreign and
different culture as well as background clients who does not understanding English properly.
This makes it difficult engaging a service when I am trying to communicate with them as they do
not understand me and it some circumstances I cannot understand them as they do not speak
English. On occasions I have had to use interpreters to communicate with service users to ensure
they receive the support they need.
1.4 Implemented strategies to overcome communication barriers
Being the creative supporter in organization, I am able to determine the service user’s
communication needs. I implemented the strategies to identify the barriers which assist for me to

overcome from the problems which is arise in communication (Boulos and et.al., 2011). There
are some plans which are helpful to overcome the communication barriers:
ï‚· Work with other professionals assist me to identify the barriers and make unique plans
which define the individual’s care needs in an appropriate manner. In order to meet the
clients needs, it defines some example such as speech therapists, translators, opticians
audiologists these are effective process to provide quality service to the patients in order
to identify the individuals needs.
ï‚· Speak carefully and clearly it is more important to overcome from the communication
barriers.
ï‚· Effective and best environment is also encourage the communication (Brodie,
Mylopoulos and Schmidt, 2012). It should not be too noisy, and maintain correct
temperature which helps in transferring accurate information from others.
ï‚· Staff training is more important which aids in using communication tools in order to meet
the service user’s needs. All these strategies are more important to maintain a positive
environment at workplace. I also evaluate these strategies in working process which
assist me in identifying the clients needs.
In above mentioned barriers I ensure that I listen and interact with service users and also provide
them better information regarding all the problems which was facing by the clients. I ensure that
I listen attentively to service users and try to communicate with them where I can and I involve
interpreters when I need to.
1.5 Different means of communication to meet different needs in job role
Being the creative supporter, I need to use various forms of communication which assist
for everyone to use it effectively. There are many ways to transfer the information effectively.
there are different forms to define various means of communication:ï‚· Verbal communication: Sometime this form of communication create complication
because many words having different means within various culture and generation
(Buabeng-Andoh, 2012). it is oral communication process to transfer the information to
other people. So that it is more important to the manager to choose effective words to
ensure that we can use jargon which is more effective to the staff in understanding. It is
more important to listen as well as speak. As a creative supporter I needs to use my
communication style which is depend on me that who I am communication with. For

example: health professionals, staff member and service users. According to these I need
to adopt my communication which is able to understandable by them.
ï‚· Written communication: In this communication process, information is transferred
through written reports, note taking and emails. It is an important process as it is very
clear and easily understandable by others. According to me, I use this communication in
my job role because it make clear meaning of important message and transfer clear
information. That type of way communication are effective because it define quick
response which helpful in modifying their information while it is wrong.
ï‚·ï‚· Non-verbal communication: In this communication, facial expression, eye contact,
gestures, position and moments are involved (Chu, Hwang and Tsai, 2010). It is also a
part of communication because our face expression define emotion without speaking. So
that we can easily judge the other people. Eye contact is the way that is also used in the
communication process which defines confidence level and willingness of people. On the
other hand, body language also plays an important role which defines about the service
users that how they are feeling. These are important to maintain good communication
with others so that they can easily transfer their message.
ï‚· Paralinguistic communication: This type communication related to the rhythm tone of
voice. In this communication it include yawning, signing, laughing and tutting. This type
of communication give effective clue that what an individual is feeling (Culnan, McHugh
and Zubillaga, 2010). In this process we understand their feeling and deal with them
effectively.
All these communication having different process which is used by the person to
transferring their information.
Along with this, I use verbal communication in my job position in which I communicate with the
services users face to face. For communicating with professionals I used phone calls and also
send emails to interact with them effectively. It is more formal method for communicate with
serious as well as professionals. At the time of communicating with the public in which I used
face to face which include body language , speech and many more to communicate with larger
number of people.

2.1 Way in which effectiveness of communication system and practice is monitored
Effective communication is important for every organization and also plays a vital role in
managing the situation. Being the creative supporter, I evaluate my own communication which
put a huge impact on others. One of the best ways of communication with other people is to stop
talking and start listening which helps in understanding the needs and what they want from me.
This is not only hearing but also understanding that what is said to me and also understanding
that what the reason behind their needs. Effective communication defines the best process which
is followed by every staff member in an organization. Every employee of the firm has an email
account to communicate with every other person. According to me, this strategy is more
effective in transferring the useful information to others. It is appropriate for every person who
pass the massage to individuals. Staff members also take notes of useful information so that they
are able to pass to the other staff which assist for the other employees to followed up. A call
logging system is also effective to record information which is related to any social workers. In
order to communicate with clients, the company provide and give appropriate information which
understand by them. I also communicate with service users so that they can easily understand
the specific language . These are system define positive impact or negative impact (Kwon, Wen,
2010). Some time this communication is not understand by the clients so that they can not able to
follow the system in communicating process. But other hand some time it is more effective to the
clients to understand the language and also define the positive impact in the working
environment.
2.2 Evaluation of the effectiveness of existing communication system and practices
The effective communication system taking place in the organization and working
environment. As a creative supporter i also define effective communication within staff member
and working environment. in my job role I believe in that my communication system is very
effective which create positive impact on others while communicating. According to me every
staff member are able to send emails to transfer information in order to make communication
process with each others (Levinson, Lesser and Epstein, 2010). The organization is also use call
service which proves that they provide 24 hour care service to the staff and clients. Other hand
the call logging system is also take place in an organization which is used by the staff member to

convey their important message to others. It is also a way to communicate with other effectively.
It is enable by the staff member whoo are having log and other staff member can trace all the call
and define that what is discussed in order to identify the issues. It is more effective to evaluate
and resolve the issue which arise in communication process. Effective communication is also
define the hand book which is maintain by the member of staff who all are filled. Which is very
useful to maintain the records about information of staff. In organization office staff can directly
communicate with manager and ask their queries about the problems in communication
process so that the manager can check quickly and resolve it effectively in working environment.
I know about communication working with the clients as well as service users effectively in
order to resolve their issues. It lead in removing all the barriers in order to maintain positive
relationship with the services users.
2.3 Improvements to communication system and practices to address shortcomings
Improvements to communication system is important to define shortcoming. In
organization the staff member who is on call they has right to access to laptop which define all
the software that are available in working environment. The staff member who use call they all
are have rights to having log books and also log into the communication which is assist to me to
trace all the records. Is any case of issue I can easily understand all the obstacles which is arise in
communication process and then easily deal with it and resolve effectively. On other hand
another practice is also implemented in firm working environment (Lin and Lu, 2011). This
process assist in recording all the incidents which are kept on the specific file. These are define
positive impact because all information is easily formulated in the working environment which
can available electronically. In this log book every call is recorded and traced which kept the
evidence in any issues. As a creative supporter I feel that current environment is define issue
regarding the communication process. So that every staff member use appropriate
communication practice which assist to them in transferring correct information to others.
2.4 Implementation of revised communication system and practices
New communication system and practice take place and it is very important to the
implementation of specific practice which effect the communication system in appropriate
manner (Mahajan, 2011). The system and way of these practices are useful for implementing in
firm in a correct manner and maintain the document in company so that they all are aware about
the changes. When all staff members are aware all the procedures and communication system

complying to the policies of firms. It is also essential for the creative supporter to make sure
about the manager that he/she able to monitor in regular basis of policies and procedures. It also
assists in following all the policies and procedures by company in an appropriate manner. As a
creative supporter i also use development system in communication for define effective process
which create positive impact on the staff member. Implementation is more important for the
organization in order to evaluate the conflicts which is arise communication process. It defines
the effective communication system which maintains positive relationship at the working place
so that I can easily understand the service user’s needs. With the help of this I easily evaluate
that all the services uses are satisfied with the services of the company.

3.1 Communication system to promote partnership working
It is very common in the organization to promote partnership working. There are two
coordinators which manage all the activities of firm in order to evaluate the needs of service
users. In is also more important to communicate between partners should be effective so that
they are able to understand about the information which is transfer by the peoples. The
communication system take place in partnership working it is very similar to communicate with
office staff and colleagues. The coll logging process and system is used by the every employee in
organization to communicate with other partners. All staff member are with a telephone and
direct line in the organization so that they are able to communicate effectively and transfer
relevant information to other partners at anytime and convey message. All staff members phone
number are kept on system so that they are not present in the office at time of office. All partners
who work together for common task so that the company seated together so they are easily
communicate with their partners (Biddiss and Irwin, 2010). The organization also allows to the
workers to do all the task as a team so that they are able to attain best results in appropriate time
period. One of the main of partnership working is to provide various answers in order to
maintain the better as well as true partnership with all the partners. It also helps in delivering
quality services to their service users. In this I use various elements to communicate with the
services users such as emails, letters, telephones and many more to interact with professionals. I
also conduct a formal meeting in which I meet them and also communicate face to face in most

effective manner. For communicating with professionals I use letters and telephone for
communicate them. In which I send message by using letters and communicate with them to get
positive response.
3.2 Effectiveness of different communication system for partnership working
Means of communication in partnership define effective end-to-end of the firm. In
communication process there are many advantage and disadvantage of this method. In the first
method of communication is call logging method, which define the effective process when it
used by the staff member in correctly manner. If staff member and partners are inappropriate site
and are than it define effective communication because location is important for these type of
communication. With the help of this communication between partners are every easily and it
also keep track and tasks which is not done by the member. If it process attain effectiveness so
that it enable to maintain good standard at working place. It assist in implementing the best
strategies and policies in correct manner. In organization partners are seated with each other
which is done good communication over them and maintain good relation ship between each
others. It also define that every interaction message passed in straight away and the
conversations also heard able by the partners. Seating with together prove the effective process
which assist in completing the task in a team and get more effectiveness in it. With the helps of
emails, sending out letters and calling via phones is one of the effective and best ways to
communicate with professionals outsider of the company. In this face to face communication is
also an effective in which both parties easily understand what other party saying. For this they
also use body language effectively to interact with each others. The best way to communicate
with outsider professional through letter in which I write my message and send them for getting
their positive response. With the help of this I easily interact with them and convey my message
easily.
3.3 Improvements to communication system for partnership working
All the communication systems implemented in the partnership working are important
and useful in many ways to improved it effectively. In this process, there are also many other
systems and processes which can take place in order to improve the communication within
partners. Using white board as a communication method which is simpler for implementing in
the organization in order to complementing the communication process within partners in
appropriate manner. In this, it is important message or task which is more important to the
