EXECUTIVE SUMMARY
Business Communication can be defined as a process in which information is shared with
people who are outside or within the organization. There are different types of tools which are
helpful in conducting business communication effective which includes tools like emails, video
conferences, cell phones, etc. The present report is about different case scenarios in which use of
diverse tools for business communication has been conducted. This includes use of emails,
letters etc. for providing effective information and knowing customer’s complains. Every
organization around the world face different types of issues. It is very important for the firm to
understand the issues and take proper steps so that problems can be solved. This task is on
Gareth Ltd. which is facing issues like improper communication, no reward system, etc. In order
to solve the issue it is important to adopt strategies like managing conflicts, adopting flexible
working policies, relationship management, etc. This way firm will be able to solve their issues
effectively. It can be concluded that firm should use strategies with the help of which conflicts
can be solved and proper coordination can be maintained.
INTRODUCTION
Gareth Ltd. is firm which is facing many problems with respect to workers engagement.
It is a small size company that employees around 60 employees: in the company, the staff are
experiencing high employee turnover and low productivity. Also, staff moral has dropped
rapidly. Within this company there was a survey conducted which stated that about 75% of
employees were not adequate in communication with upper management, lack of knowledge for
what the organization stands for and also felt demotivated which is 40% of workers. They felt
managers were controlling and they were not giving them the freedom to do their jobs. 30% of
employees feet the company did not offer job training and career opportunities which led to non
progression.
Finally, 60% of employees complained that stress play a big role which is affecting their
work and family life. In this work place 70% of the staff were women with kids. Staffs in Gareth
Ltd. want the company to have a flexible working policy and management need to resolve all the
issues and increase their efficiency.

There are many organizations like Pegasus, Reassured, Maxus Communications UK, ID
Medical Group and Covea Insurance which are the best small scale companies which one can
work with (Top 20 small scale businesses, 2014). Even these firms have different types of
problems which they face but they make use of different strategies and approaches with the help
of which they overcome their issues or problems. One of the main benefit which small scale get
when compared with big companies is that in small firms they can make use of the strategies
effectively and it will be properly adopted by entire business operation which works within the
organization. Following are the key areas which are been focused by these five small scale
companies which will help Gareth Ltd. to solve their problems:
Flexible working policies: All the above given five companies provide their workers with
flexible working opportunities. This is very helpful in providing satisfaction and in balancing the
work by employees effectively. It also helps workers in managing their personal and professional
work properly. This types of policy reduce stress and help the employees to put on their efforts in
achieving their goals and objectives. In accordance with the case, Gareth Ltd. do not have such
policies because of which employees are stressed and they do not find enough time to spend
enough time with their family. In this context, female employees who work in cited firm are also
facing problems as they are not getting enough time to manage personal and professional work.
In order to solve their issue Gareth Ltd. should follow flexible working policy so that this
problem can be solved effectively.
Managing conflicts: In order to improve the efficiency of work and to lead the organization
achieve their goals, it is very important to resolve conflicts. Firms like Maxus Communications
UK and ID Medical Group aim at understanding the issue and make appropriate solution in
solving them. This helps them to develop a friendly environment in which employees share their
issues and problems effectively. In this context, management takes proper steps with the help of
which conflicts are solved. In accordance with the case, within Gareth Ltd. is facing conflicts and
it has affected the performance level. In order to solve their issue, firm should follow a
systematic process with the help of which conflicts can be solved. With this respect, organization
should be able to analyse the situation and make proper decision in resolving the conflicts . This
will help in developing coordination, understanding and performance level will also increase.

Performance appraisal: There are many methods which are used by different organizations in
order to provide performance appraisals. Various methods through which performance appraisal
can be made are 360 degree appraisals, feedbacks, etc. among these strategies Pegasus and
Reassured adapts 360 degree appraisals as it helps the employees to identify the areas in which
they have to work hard and roles which they perform most efficiently. According to this strategy,
direct feedbacks are collected for peers or subordinates which prove details regarding the
individual performance. In accordance with the case, Gareth Ltd. can make use of this strategy
and could make performance appraisals for their employees. This will also help them to identify
the areas in which workers need to improve or should put more efforts.
Relationship management: For any organization it is important to develop a healthy relationship
so that employees could feel free to work. In this context, firm should organize tours, informal
meetings, picnics, etc. which help in developing relationship with workers. All the five
organization which were stated above aim at maintaining their relationship with their employees.
There are many benefits like it encourages workers and it also motivates them. In addition to
this, it also helps to develop interaction with each other and in knowing other employees more
closely. Similarly, Garth Ltd. should organize picnics, tours, informal meetings, etc. this will
help in develop healthy environment in which workers will get to know each other more closely .
In accordance with the case, firm is facing issues related to inadequate communication from
upper management. With the help of these the issue among top management will be solved and
they will be able to perform their task without any mistakes.
Managing team: When a person is given certain job to perform and same job is provided to a
team, then the team will finish the work on time and that with high quality. In a team there are
different types of employees working together to achieve common goal. People possess different
types of skills, capabilities and working together will help to learn for each other. In addition to
this, employees can also work help other and become their strength and achieve their desired
goals and objectives. Gareth Ltd. should aim to develop different teams who should be given
different task or responsibilities. This will help them attain their objectives effectively. Further,
in develop a team, organization should make sure that take people who have different type of
skills and capabilities as it will be helpful in improving the quality of work.
Development and training: For any organization, it is very essentials to provide their employees
with proper training. As it helps in improving their performance level, skills, knowledge and

accordingly they training and development program should be arranged. In proving training firm
has to spend highly and by identifying the areas in employees lack will be help in saving money.
As the trainers do not need to work on areas in which they have full confidence.
Reward system: Rewards can be determined as the best tool to motivate employees. There are
mainly two types of reward giving which are extrinsic and intrinsic rewards. Reassured, Maxus
Communications UK and Covea Insurance follow rewards system and it helps them to encourage
their employees effectively. In extrinsic rewards organization provide their employees with gifts,
raise in salary, promotion, bonuses, etc. are given to worker which help them in motivating and
in encouraging them. On the other hand, intrinsic reward which help to provide personal
satisfaction. It includes recognitions, trust, giving feedbacks, etc. Both types of rewards are very
helpful and effectively and help the firm to motivate their employees. With respect to the case,
Gareth Ltd. should monitor their employees performance and accordingly they should reward
them which will help them to motivate and in improving their performance level. Cited firm
should use both extrinsic and intrinsic rewards as it will help them in reducing the rate of
demotivated workers.
Communication: In all the 5 small scale organization, they have proper communication and it
helps them in understanding the task and in reducing confusions. In order to perform effectively,
it is important to have proper interaction so that work could be done proper and efficiently.
When a person comes up with any types of idea, then in order to convey it effectively proper
communication is very essential. Only with proper communication, persona will be able to share
his/her idea so that it could be implemented efficiently. In addition to this, in maintaining good

case, Gareth Ltd. is facing serious issue at top management because of in adequate
communication. In this context, organization should aim at improving their communication with
each others so that following departments will be able to follow the given instruction by top

communication among all the level.
CONCLUSION
Employees are the face of the organization and it is important for the firm to make
changes according to the needs and requirements of customers. The issues which are been faced
by the workers should be identified and accordingly proper steps should be taken so that they
will be able to provide better services to customers.
Recommendation
According to the analysis done from the five small scale organization and the for the give
case it has been found that Gareth Ltd. is facing many issues which has to be resolved. For many
firm understanding their employees problem should be the first responsibility and appropriate
decisions should be make in order to overcome them. Following are recommendation done to
Gareth Ltd. with the help of which they will be able to solve their organizational issues:
Fixed time schedule should be developed like 9:00 A.M. To 5:00 P.M. As a result
employees will get ample time to spend with their family.
Management should analyse the situation and make appropriate decision so as to solve
the problem among employees as it will be helpful in improving the performance level.
There are issues among upper management and in order to solve it, firm should have
proper interaction so that they understand the importance of each worker.
There are two types of reward system which are extrinsic and intrinsic rewards, this will
help in encouraging and motivating their employees effectively.
There should be informal meetings like picnics, tours, etc. which will help in knowing
each other more closely and this will also help in increasing coordination among workers.
Employees should be monitored and accordingly areas in which they lack should
identified and then training should be given so that they enhance their skills and
knowledge.
Tools like email, presentations, telephone should be used so that proper communication
will be possible among different departments.
