Project background
The main aim of the project is to enhance the IT system within the ABC organization for
the purpose of enhancing the business functionality. The basic features that are going to be
developed within the IT system are to ensure that the organization is able to handle the products
successfully to their respective customers. The main focus will be on implementing ERP system
within the ABC organization. The major benefits that are offered with implementation of ERP
system is that it enhances security and regulatory compliance and also ensures that the
productivity of the system is being increased within the organization.
Objectives of the project
The project aim is to implement ERP system within the organization ABC for the
purpose of generating better benefits. Moreover with the help of structured ERP system it
becomes easy to allow the new users for the purpose of improving the business functions. Apart
from this with the help of enterprise resource planning it becomes easy to facilitate the growth of
the organization. Thus it can be stated that with the proper implementation of ERP system it
becomes easy to manage the issues and also offers access towards the real time information. In
addition to this the main objective behind implementing ERP system within the organization is
that it will enhance the productivity by making the process more streamlined and reliable. The
main aim of implementing an ERP system is that it integrates the data and processes together
from different departments. Moreover this has the potential to allow the organization to improve
the products and process the orders quickly. The advantages that are being offered with the ERP
system is that it offers accurate and timely access towards the reliable information system.

Current situation
At present it is being observed that the customer service that is provided by the ABC
organization is not up to the mark and has impacted the overall performance. The organization
has faced serious challenges with managing the database. However the organization has focused
on implementing a new IT system that will enhance the overall performance of the system. The
organization has also lacked in managing the activities and this leads to impacting the
performance. There is a huge need to implement an effective system that will be able to address
all the essential needs of the customer and will be able to withstand the needs of the market. The
main objective behind implementing the ERP system in the current organization is that it is
expected to increase the productivity.
Problem statement
The main problem that arises with the organization is managing customers and increasing
the production. It becomes essential to enhance the business process by implementing effective
IT system that is able to overcome the basic needs of the organization. the problem will get
mitigated with the implementation of effective ERP system so that they can manage the
performance.
Critical assumptions
After analyzing the performance of the business it has been observed that the
organization is facing serious issues with managing the customers. Thus it is expected that with

the implementation of ERP system it becomes easy to manage the productivity. It can be stated
that ERP implementation has the potential to eliminate the redundant processes and the process
gets enhanced with the use of automation. Moreover after analyzing the benefits of ERP system
it can be stated that the organization will be able to enhance the reliability and flexibility. The
main aim behind developing the ERP system within the organization is that it will be able to
provide better benefits towards the customers and will also ensure that the process efficiency has
been increased to a great extent. This will provide better customer services along with better
efficiency.
The major challenge that the current system of ABC organization is facing is related to
the customer service. With the implementation of ERP system it is expected that it will become
easy to provide high customer services with the help of enterprise processing system. This will
ensure that the sales and customer service people are able to interact effectively with the
customers and are able to improve the relationship between the customers and organization.
Apart from the enhancement in customer service it can be stated that the data reliability will also
increase with the use of ERP system as the data can be accessed from different location and can
include proper tablets and smart phones. ERP system has the ability to advance the data accuracy
and consistency within the organization.
Analysis of options and recommendation
The analysis of implementing ERP system is that it provides better performance
throughout the organization and also enhances the performances. ERP implementation also
ensures that the user is able to provide proper data that can provide an additional security with
the help of firewalls and built-in protection resources.

In order to enhance the performance it becomes essential to implement ERP successfully
in way that it can provide maximum benefits towards the organization. the basic
recommendation that can be provided towards the organization for the purpose of enhancing the
business activities includes:
 Documenting all the basic requirements and focusing on overcoming the existing points
so that all basic requirements can be fulfilled successfully.
 In addition to this it also becomes essential to implement strong internal project
management that will be able to enhance the performance effectively within the
organization.
 Needs to implement proper customization offer so that it can enhance the performance of
the organization.
 There is a huge need to ensure that the implemented ERP system is being tested properly
before the implementation.
Project requirements
The basic requirements that are associated with implementation of ERP system is that it
must be able to provide better support towards the organization and will be able to provide a
streamlined process towards the organization. With the implementation of ERP system it has
been observed that the performance of payroll increases within the organization and the budget
can be maintained successfully. After this the main requirement is the management of human
capital. There is a need to have automated human capital management system that is able to
provide valuable solutions for the purpose of managing the data and productivity. The main
reason behind automating the human capital management is that it reduces the chances of human

error. ERP has the ability to manage the manufacturing process and also ensures that it has the
ability to save time and can maximize the performance of staffs by distributing the works
efficiently. The requirements specification needed to be done at early stage so that it can manage
the performance successfully.
Estimated budget and financial analysis
In order to implement an ERP system within the ABC organization it becomes essential
to identify the budget successfully. The budget of the implementation varies depending up on the
time of organization, size and the location. However as the organization performs the technical
work it can be stated that the business will get executed within $140,000 for the purpose of
implementing the software. There are some other costs that are included while implementing the
system that includes the database management system cost, the cost associated with
infrastructure, implementation services from the VAR or CSP and the recurrent costs. The ERP
software cost varies depending upon the number of users and the location.
Scheduling the estimate and potential risks
In order to execute the project there is a need to have 3 months time. The main phases
that are going to be included at the time of ERP implementation are planning phase, initiation
phase, execution phase, deigning of the ERP system, implementation phase, closure and signing
off phase. The scheduling process will enhance the performance and will ensure that the project
is being executed within the expected time and budget.
The potential risks that are likely to arise with the implementation of ERP system within
the organization are as follows:

 Failure due to improper deigning of the business process can impact the performance of
the organization.
 Lack of support from the management team towards the designing team can hamper the
implementation process.
 Insufficient skill will impact the performance of the implemented ERP that will lead to
hamper the overall performance.
 Lack of recruitment and retaining qualified system can hamper the production
 Lack of integration will lead to hamper the productivity rate
 Poor technology planning can hamper the performance the system
 Insufficient internal expertise
