Warsaw Polish Army Stadium: Event Management for MTV's Back to School

This project details an event management plan for an MTV Back to School event at the Warsaw Polish Army Stadium, targeting an audience of 25,000-27,000 guests.  We have chosen the Warsaw polish army stadium for
the event 'Back to School', where people will
showcase various dynamics of the school (Patzer,
Góralska and Winkowska, 2015).
 People will get a chance to showcase their talent in front of the target audience.
 Event will include music, dance, and drama.
 Why choose Warsaw polish army stadium?
 The size of the stadium is sufficient enough to do this theme based show.
 The most important thing is the roof which can be open or close whenever we want.
 The arena of the space and the way it builds reflect positive energy to the audience
(Swarbrooke and Page, 2012).

 Catering- - It involves menu selection, service style, alcohol management, and
catering operations. Caterers' involvement with the event management team is very
important to conduct a good event (Robertson, Hutton, and Brown, 2018).
 The theme is ‘Back to school' and it is important that the food served in this event
is relevant to the theme. Caterer share responsible for food and beverages.
 The guest is between 24-26 years old which means they will prefer high-quality
food and cocktail to enjoy the event.
 Vegan health drinks will also be on the list because different categories of people
will attend this event (Filimonau and Corradini, 2019).
 It will be served on a plate which has cartoons and arts to give them nostalgia
about their primary school.
Service style
 It is decided by the types of being served to the guests.
 Buffet service is ideal for this event as food will be arranged in a buffet line.
 There are a variety of food items and options available for the guests.

 It will be arranged in order for the guests.
 Creative character in plates and utensils gives nostalgia to them about their
primary school and memories.
 Alcohol management is important in any event as excessive consumption of
alcohol can be dangerous.
 A good amount of monitoring can help in proper event planning.
 Planning, policies, and procedures are adopted for alcohol management in an
event.
 It will be good to allow 2 glasses of alcohol to everyone and do not exceed that.
 Catering operation is a complex job because it involves a lot of tasks starting
from a selection of menu, making food, serving it to the guests, theme-based
program.

 Environment- The environment of this stadium is refreshing and decor & furnishings can
help the event to stand out.
 The stadium has a good sitting capacity, and the stadium is considered best for a football
match in Poland.
 Furnishings helps the environment to set the theme and decorations.
 An excellent light setting needs to be installed during the operation process.
 For food, dimmer light can be used for people to relax and feel at ease.
 The decor of the event is remembered by people because it leaves a lasting impression on
their minds. Back to school shows with no decor can be boring.

designing the layout.

will be used during dinner time.
 Soft music along with light will be played
simultaneously in the dinner table.
 It includes proper planning of the event
starting from lighting to visual presentation
(Brown and Hamer’s Grit, 2014).

the event. Music used for performance
and audio sound for the guest invitation
play a major role (Wang et.al., 2019).

 Visual presentation of the show is
important. Either it will give a bad
impression or good impression to the
audience.

 Special effects enhance the overall
performance. Laser lighting, fire effects,
colorful lighting, and smoke effects will
enhance the overall show.

 People will perform from time to time showcasing school

 To give them nostalgia about their school life, a play will be
held where the different situations of school life will be
shown.
 The event will be surrounded by a good sound system to
acknowledge the guest and announce their performance.
