Executive Summary
The aim of this report is to examine the strategic areas of how to execute this event. This
report will specifically focus on the alignment between the interest of the event management
company and the interest of the local community. It will also focus on the positive impacts of
the event on the community and the people. Further, it will discuss the possible negative
outcome of the event and how to tackle them. Lastly, it will discuss the rationale behind
considering such a theme and why is it important.

Introduction
Strategic Event management is the art to persuade people to attend the event for
gaining mutual benefit of both the people and the host. As stated in the earlier potion of the
report the theme is Child Abuse.
Alignment between the event and local council strategy
Objectives of a community
 Increasing awareness about the venue, the occasion, traditional beliefs, culture and art
form historical event, theme, specific interest community.
 Building a community with pride and social integrity.
 Validation of the concerned community and related issues.
 Increasing the participant headcount in the community.
 Introduce new ideas which shall have a positive effect on the overall community..
 Increase the awareness about the culture and problems, which are generally
overlooked.
 Educating, training and learning programs.
Alignment of the event with the community
The above stated points are the general objectives of a community. So. To integrate
the members of the community and spread a positive impact on the society, the theme
Child Abuse has been selected. It will fulfill most of the objectives of the community
such as Building a community with pride and social integrity, Increase the awareness
about the culture and problems, which are generally overlooked. On the other hand, it

will also help oin the reduction of negativity among the community. According to
researches, a strong community hosts events at least thrice a year.
Reason for Participation
The target demography as mentioned above focuses mainly on Children because the
theme of the event is based on their education. However, it is to be noted that it is the parents
that should take the initiative because the interest and concern regarding the issue must be
targeted to them. Children will not be able to understand the importance of the event, as they
are too young to understand the concept.
The selected theme of the event i.e. Child Abuse is self-explanatory in nature. Child
abuse is a global issue and may happen to anyone and anytime because individuals with such
tendencies cannot be identified straightaway. So, if the children are explained and taught
beforehand then the themselves can protect themselves.
Importance of the Event and its Positive Impact
This event is based on a social issue i.e. Awareness against Child Abuse. So, the
theme of this event will be highly admired. The event will be divided into sections where the
program will start with a documentary explaining the importance of educating the child about
topics that are generally not discussed at home but are very important. These will include
demonstrations of human body parts where people are not allowed to touch. (Anderson,
Feldman & Bryce, 2018). Importance of complaining immediately when anyone misbehaves
or touches inappropriately. On the other hand, this will help the parents to break the ice with
their children about these topics. As mentioned, the purpose of this event is to reduce the
growing negativity within the community and increase in communal harmony.(Fortson,

Klevens, Merrick, Gilbert & Alexander, 2016) Special guests are also invited to the event
such as business delegates and local stakeholders who may donate significant amounts for the
welfare of the community.
Negative Impact of the Event and how to counter them
The negative effects of the event are as follows:
 Pollution- As the event concerns mass involvement, there shall be many littering and
adverse effects to the environment. As, the chosen venue is a school playground, the
particular place has to undergo a lot of pollution. The greenery itself will be hampered
to some extent.
 Perception- As the theme of the event is concerned with Awareness against child
abuse, which is a serious topic of discussion, people, may have a negative impact that
these topics must not be discussed publicly.
 Price increase for the event- As the event is a long event, which has to be planned
accordingly, and about 6 months before hand. The cost of the total event may rise.
This is solely due to increase in the prices of commodities and price of labor.
 Failing to attract people- One of the major concern for the event is failing to attract
enough people to the event. This is because the theme of the event may not be
perceived positively by everyone and the estimated headcount may fall drastically if
the people in the area do not take the importance of the event very seriously.
 Better alternative investments- The community has to invest a lot of money to
organize this event which is very serious in nature. So, the probability of failure is
very high. Therefore, had the community invested in some safer event such as sports
event or theatre events then the success of the event was guaranteed. But it is to be
noted that if the expected population turns up in the event the revenue will be more
diue to the low cost of these theme based events.

 Inadequate capital- Another negative aspect maybe within time the community may
not be able to pay adequate amounts if the ticket sales and donations do not reach in
time to the event management company.
 Inadequate estimation of costs of event- One of the major problem the community and
the event management company may face is wrong estimation of the cost to be
incurred for the event. If the estimated cost exceeds the real cost then the rest amount
shall be returned to the community fund but if the estimated cost is less than the actual
cost then huge problem may arise.
Probable Solution to the Problem
 Pollution- To tackle the problem of pollution, proper sanitation and awareness
measures are to be taken. Separate Disposal Area and proper instructions are
to be provided in the venue to minimize the amount of pollution, which shall
cause environmental degradation. Moreover, after the event completes, proper
measures have to be taken and people have to employed to clean up the whole
area to restore the greenery of the area like before.
 Perception- To convert the perception of the people, a low cost broadcast
media has to be used to change the perception of the people. The best method
is using the local radio station, which can help to advertise and create the need
for the importance of such events.
 Price increase for the event-To avoid the effect of increase in price of the
event, the price of the tickets must be fixed assuming the inflated prices. On
the other hand, a surplus reserve has to be created from the community end to
ensure smooth flow of the event. On the other hand, advance payments have to
be made to the people involved so that no problems occur in the future.

 Failing to attract people-, this is one of the major problem, which the
community and the event management company may face. Therefore to avoid
such circumstances, proper marketing and advertisement agency has to be
hired to spread awareness. On the other hand, a survey maybe conducted to
make the people realize about the importance of the event in an indirect way.
 Better alternative investments- The community can choose to participate in
alternative events which involves lesser risks but the status of the community
will increase exponentially as this type of events are very rare in nature and of
great social impact.
 Inadequate capital- To cater the problem of inadequate capital local business
persons have to be approached and pursue them to donate money. As
mentioned in Part A online modes of accepting Donations like opening
Patreon account both by the company as well as the community has to be
initiated.
Type of Event and Rationale behind selecting the Theme
The event style shall be a Film Screening and Garden Gathering. The event
venue shall be a lush green arena such as a community garden or school ground to
restore the importance of nature within the members. The center will be the stage
where the screening shall take place explaining the theme of the event.

Conclusion
From the above study, we can conclude that the strategy is the key to success for any
Event. The event is concerned with spreading awareness against child abuse. Therefore, the
expected turnouts in the events is estimated to be huge. The importance of such events are
always high due to the level of education children are going to receive after the event.
Though the success of the events depends on the acceptance ratio of the people, this event
will surely be educational and uplift the status of the community in the country.
