Executive summary
EZY-Books is a specialized publisher for providing book publication services. The company has
witnessed the complaints given to them by their customer due to the failure of the processing
cycle of orders taking long time spans. The employees of the organization are also facing
challenges with the current network and IT infrastructure system. This include difficulties in
getting information concerning promotions and discounts, they also have problems reaching to
the firm’s information which is locally stored in their laptops.
The organization head have deployed a team of IT expert who are to dispose the current IT and
network infrastructure and formulate a business report that will give the company a proposal of
a system that will improve the company’s effectiveness and efficiency.
The business report prepared contains the network infrastructure that will allow easy
communication of the offices especially between main office located in Sydney and the branch
offices located in Melbourne and Brisbane. Apart from the office communication, it will also
enhance the communication between its customers and office. The objectives of the project are
also stated.

Introduction
The study involves a team of IT expert. Their first assignment is to perfume A study on the
organization activity. The EZY-Books being a publishing firm, information collection and
dissemination is vital. The employees have problems that are associated with the outdated
facilities that provide limited services to the firm. This includes lack of a proper information
storage that forces them to be at a specific location for them to gain access. The paper based
system also makes it difficult for them to work with since it gives them hard time in checking of
records. Customers also find it is hard to order for the books due to lack of an efficient and
effective interface between them and the firm. The method of study was through the
information gathered from the employees and its customers. The information gathered
comprised of the overview of the challenges faced by them in their daily interaction with the
firm activities.
Network Infrastructure
Network convergence and unified communications
It has become suitable for major firm to implement unified communications; this will involve
grouping IP telephony, unified messaging, voice mail, videoconferencing or web conferencing
into one unit. This solution is most suitable for the EZY-Books firm in that it will reduce the
communication among workers in the firm .This will also eliminate long distance
communication cost that is faced by the sales representatives who have to travel around the
country to meet customers.
If the system is implemented correctly, it will increase the speed of communication among
customers and the firm. The unified communication will minimize time spend on hold by letting
the users to reach the right person at the required time through the preferred medium of
connection.
The unified communication network will be very easy to manage since is it a single system; this
will also be cost effective as the firm will only have to deal with a single Internet service Vendor.
LAN types
Each of the offices will have a Local Area Network of Ethernet type. This will involve pairing the
devices with Ethernet cables.

Cabling plan for the head office and branches
Cabling plan for the head office and branches will involve cable types of Cat 6. They have a large
bandwidth of up to 10mbs and high speed. Each office will have a router that contains several
sockets which will supply the network to the office computers.
WAN connection for the head office and branches
The three local networks will be connected to form a Wide Area Network (WAN) for easier
communication among the offices. Packet switching will be used to connect the WAN, being the
most common type it will be easier to implement and also cost friendly to the firm (Welsh,
Culler and Brewer, 2011).

are located as shown above. The server will also be located at the main office other offices will
access information from it.

Network Services
There are several internet services that the firm should provide to its user and also to the
employees. The WWW will allow the firm to advertise or market itself through it; in addition to
that it can also act as a medium for direct online selling of the company’s commodities. This will
reduce the processing time faced by the customers when purchasing the books. It can also be
used as research and development unit, a mode of communication and may lead to
collaboration between companies since it can be easier for them to communicate through the
World Wide Web (Dunne, Williams and Martinez, 2012.).
The importance of email within an organization as a mode of communication is of crucial
importance. The email is the most preferred mode of communication for a business
organization in that, in the cases of reliable network emails are sent and received instantly. It is
not hindered by the distance between the sender and recipient making it faster to
communicate. The emails will also act as a record keeping thus solving the issue of document
misplacement when using the paper based system. In addition to record keeping, it also has a

also a powerful tool to grow the awareness of firm’s brand. This is achieved through social
media’s ability to find the companies audience, creating conversation between users and firm
staff, and also serves as a real time evaluation of the firm’s progress (McKnight, and Baile,
2016).
The implementation of Voice Over Internet Protocol (VIOP) is an added advantage to the
growth of a firm. This involves making communication over internet possible through the use of
IP packets. One of the benefits of VIOP is that it increases flexibility; despite being cost friendly,
it helps the user to integrate programs like email, remote conferencing over the internet using
telephone medium. It also increases the productivity of the organization by enabling the staff to
multitask without disruptions. The extra that cost that as incurred using older communication
channels is channeled to other units. Compared to other forms of previous communication,
VIOP is easier to install, use and maintain. This makes it cost effective as the employees don’t
require much training for them to use the system.

Cloud storage is a service where data is collected maintained and backed up in the internet and
made available to the user over the network (Abu-Libdeh, Princehouse and Weatherspoon,
2010). The key advantages of cloud storage include:
Increases firm’s flexibility- the use of cloud storage will allow the staff members to back up the
data in the Cloud, in turn this will aid in accessing data regardless of their proximity to their
office laptops. This makes it easier for them to work from anywhere.
Cost saving- cloud storage in an organization reduce the cost incurred in other forms of
storage. This will aid the firm to channel the extra capital into other productive units of the
organization (Saravanakumar and SuganthaLakshmi, 2012).
Bandwidth- cloud storage can be used to reduce emailing bandwidth where the recipients are
many. This can be solved by providing web links through emails.

Data recovery- it acts as a backup storage system in case in case of emergency
Usability- most of the cloud storage services are easy to use as they involve utilities like, drag
and drop, which is quite easy to use.
Data processing model
Peer-to-peer (P2P) is a networking model that connects computers and other hardware devices
and allows them to exchange information. It is also referred to an ‘equal client’ where instead
of individual computer getting information from the server, the ‘peer’ device or computer just
swaps the information among each other.
The main prerequisites for a PC to join a peer-to-peer organize are an Internet association and
P2P program. Normal P2P programming programs include Kazaa, Limewire, BearShare,
Morpheus, and Acquisition. These projects interface with a P2P organize, for example,
"Gnutella," which enables the PC to get to a large number of different frameworks on the
system.
When associated with the system, P2P programming enables you to look for documents on
other individuals' PCs and hardware. In the interim, different clients on the system can look for
records on your PC, yet commonly just inside a solitary organizer that you have assigned to
share. P2P organizing makes information sharing simple and helpful (Kamara and Lauter, 2010).
Conclusion and Recommendation
After much study and analysis of the current network it was discovered that the customer and
employees of the firm are not satisfied. With the aim of solving this system, a new network
system was designed to increase efficiency and effectiveness of the firm. This will in turn satisfy
the customers and give the employees an easier experience working within the firm.
It is recommended that the firm should implement the local area network in their head offices
in Sydney and later connect it with the Local Area Networks from their branches in Melbourne
and Brisbane to form the Wide Area Network for ease communication.
The firm should also implement the suggested network infrastructure, internet services, data
processing facilities to achieve its goals towards its customers and staff.
