Unit: 37 Facilities Management
Introduction
Facilities management in the hospitality industry is an essential aspect, which creates
an enjoyable experience for the customers. Managing facilities with the help of glitch-free
equipment help to increase productivity in the workplace and manage the health and safety of
employees and customers properly. Facilities can be managed properly by setting appropriate
standards regarding health and safety and managing change in the organization. This, in turn,
can help to gain sustainability and competitive advantage. In this report, the importance of
best practices, benchmarking and sustainability has been assessed properly along with an
evaluation of the essentiality of people management. A case study of the green key labeled
hotel is also done in this study.
Discussion
LO4. Exploring the needs of sustainability measures, best practices and the impact of
the environment on the hospitality industry
P6. Discussion about the critical success factors for benchmarking facilities
management
Different strategies are there that can help to benchmark facilities management
successfully. As opined by James, Miles, Nelson, Sledge & Colakoglu (2011), these
strategies include measurement of performance, ensuring continuous improvement, cost
centers, managing service levels, proper planning, and others. Organizations focus on KPIs to
measure the performance of their firm. Large hospitality organizations like Marriott may
consider KPI as an important indicator of their performance. On the other hand, Erdem &
Tetik (2013) have mentioned that budget is another appropriate tool that can help
organizations to benchmark facilities management.
Ensuring continuous improvement is another strategy that can help organizations of
the hospitality industry to benchmark facilities management. Firstly, all internal stakeholders

need to provide their best effort to achieve business goals. Management of organizations
makes their staff understand that they need to contribute equally to help in continuous
improvement. According to Kasimu, Zaiton & Hassan (2012), communication is the best tool
that can help to motivate employees to cooperate in ensuring continuous improvement. A
routine must be set for sustaining continuous improvement of organizations' performance.
Utilizing the cost center data is another important success factor in benchmarking the
process of managing facilities in the hospitality industry.
Managing service levels is another appropriate strategy that can help in this regard.
Organizations of hospitality management including Marriott needs to ensure that agreements
of operation level, service management processes and underpinning contracts are appropriate
for satisfying customers. According to Nielsen, Sarasoja & Galamba (2016), measuring
service levels through analyzing feedback of customers is the main key to service level
management. Proper planning is required within the hospitality industry to obtain success in
benchmarking management of facilities. Managers and leaders of organizations need to plan
about the selection and implementation of appropriate methodologies to manage their
physical assets and funds. It is important to adopt technological advancements and hire
people who are technical professionals to ensure sustainable facilities management.
Organizations of the hospitality industry benchmark their facilities management by
completing necessary tasks within minimum time as per their planning. On the other hand,
Tilikidou, Delistavrou & Sapountzis (2014) have mentioned that facility managers need to
understand their responsibility for meeting commitments for benchmarking. Creating
awareness among the internal people regarding the management of facilities can be
considered as another key success factor.
P7. Investigating initiatives and measures of environmental sustainability and their
impact on the direct users and the businesses (D4)

Unit: 37 Facilities Management
Management of the hotel needs to take responsibility and measures to gain
environmental sustainability. This includes a wastewater management system that can help
to increase the satisfaction rate of customers and the community. As opined by Graubner,
Pelzeter & Pohl (2016), conservation of water from kitchen, laundry, and pools can be treated
by using chemicals. Marriott international use installs clean facilities and showerhead to
conserve water. This can help them to gain a better reputation in the business and user
experience can also be increased. Moreover, Tiwari & Panicker (2017) argued that using a
central system regarding air conditioning, lighting systems and others helps a hospitality
firm to conserve energy. This facility can help Marriot to save energy cost and enhance the
guest experience by providing unique facilities. Automated energy management systems help
to fulfill requirements in a hotel and at the same time helps to conserve energy and enable a
firm to gain sustainability.
In contradiction Lee, Hsu, Han & Kim (2010) stated that constructing green
buildings and installing utilities like air purifiers; solar panels can be included in
sustainable facility management strategy. Installing advanced energy systems that consume
renewable energy can help to reduce the expense of the business. Moreover, the satisfaction
rate of customers can also increase to a great level as they will achieve advanced facilities
that are eco-friendly. A major portion of customers wants eco-friendly facilities that do not
contribute to climate change. Recycling is another essential measure that can be taken by
Marriott international hotel. This includes composting programs for food waste, recycling
basic materials like newspapers, containers. Hatjidis & Parker (2018) stated that waste
management helps an organization to reduce environmental pollution and a clean and healthy
environment can be offered to users. Reusing and recycling disposables like paper could help
to save trees. Moreover, Durodola, Ayedun & Akinjare (2011) argued that CSR activities
can be initiated like collecting funds to plant trees and organizing programs to increase

knowledge about pollution and recycling among communities. This can help this hospitality
organization to build a proper brand image among customers and thus competitive advantage
can be gained. Developing these measures can help to develop a facility management strategy
successfully.
M6. Assessment of the negative and positive effect of initiatives and measures of
environmental sustainability employed in managing facilities
Sustainable initiatives and different measures of environmental sustainability can
have both negative and positive effects. Negative effects implications include lack of
participation to stakeholders like employees. As stated by Lee & Song (2016), the often
community shows less participation to implement measures like recycling and recusing. In
addition, fund drainage is another essential negative implication that can occur while
employing facilities. Different facilities like the installation of solar panels, air purifiers, and
others involve a large amount of money, which can cause a shortage of resources in other
essential projects of the organization.
Positive impacts include improving the image of the organization among target
customers. Installing advanced facilities that help to gain environmental sustainability draws
the attention of customers as they prefer those products that are eco-friendly. Another
essential positive impact is less contribution to carbon emission and preserving
biodiversity (Priyangika, Perera & Wickremanayake Karunaratne, 2019). Installing a central
system of air conditioner and air purifier can help this hotel to reduce carbon emission. CSR
activities arranged by the hotel can help to reduce the harmful impacts of soil erosion and
provide flood protection. Moreover, conservation of water can help to recharge the
groundwater and thus community can get benefitted.

P8. HR management issues that need to be considered while developing a strategic plan
of a company for managing facilities
There are some human resource issues that can affect the process of implementing
strategic planning. As stated by Hsiao, Chuang, Kuo & Yu (2014), lack of internal business
communication may prevent employees to work as one team and this issue needs to be
considered while creating the strategic plan in organizations of the hospitality industry. It
must be assured that employees understand their obligations. The reluctance of employees
to work hard is another issue that needs to be considered in this regard. It can be said that the
management of Marriott needs to engage their staff in the process of strategic planning to
mitigate this issue. Ineffective leadership is another issue that must be considered while
developing strategic planning (Tiwari & Panicker, 2017). It can affect the performance of
employees in case of implementation of the strategic plan. Hence, it is important to improve
the quality of management and leadership before strategic planning. Leaders must be able to
motivate employees to get their cooperation. Additionally, they need to convince employees
to become flexible to changes for helping the organization to ensure continuous growth. On
the other hand, they need to consider the ability, talent, and experience of employees while
creating a strategic plan. Lack of skilled employees may prevent organizations from
achieving their goals. Focusing on training and development is the most appropriate process
to deal with this human resource issue. However, Lee et al. (2010) have mentioned that
organizations of the hospitality industry hire skilled employees to deal with this issue as well.
P9. Evaluation of the impact of managing change on the strategic development for
managing facilities
While conducting strategic development for managing facilities, change management
needs to be applied. Change management has different impacts on the strategic development
that can help to improve the process of facility development. As opined by Durodola et al.

9
Unit: 37 Facilities Management
(2011), conflicts can be resolved properly through change management that occurs during
any development projects. During the process of facility development, conflicts may arise
between project team members, which can be solved successfully through the help of change
management steps. Solving conflicts can help to avoid delays in the facilities management
process. On the other hand, communication of changes is another essential impact of change
management on strategic development. After installing different advanced and sustainable
facilities, it is essential to communicate those changes to the stakeholders. This includes
employees, suppliers, target consumers, and others. This can help them to understand the
benefits of those changes. Effective communication between the management of the
organization and different stakeholders can help to smooth the change process. Different
stakeholders can build a shared understanding of the change properly. Hence, facility
management can be done without any resistance from the community or employees.
Strategic development can bring a sudden change in an organization, which can deteriorate
the work environment. As mentioned by Priyangika et al. (2019), organizational change can
lead to job uncertainty and ambiguity, which deteriorates the climate of the workplace.
Management of the change properly can help to keep the work environment intact and the
loyalty of employees can be gained. On the other hand, managing change can help to
facilitate strategic development by increasing collaboration. Proper change management
implementation help to improve organizational behavior and a collaborative environment is
established. This helps to bring all changes regarding facilities management. In addition,
different change processes can be done in a systematic way. If change management is not
implemented, then different activities during strategic development can be impacted. For
example, employees with a lack of expertise in facilities management will conduct errors,
which can impact on the whole developmental process. Change management helps to recruit
the right people for the right purpose.

M4. Evaluating the importance of appropriate training and development in a plan of a
company for managing facilities (D3)
It can be seen that many employees face problem to adopt changes during the process
of facilities management. As opined by James et al (2011), training and career development
program help employees to cope up with the change through increasing skills and
competencies. Training helps in troubleshooting and diagnosing the abilities of employees of
the newly installed advanced systems or facilities. Hence, workplace productivity and
performance gets improved. On the other hand, Hsiao et al. (2014) argued that it helps to
increase coordination between supervisors and employees. A proper training plan helps to
increase the abilities of employees and they are able to coordinate properly with the
managers. Thus, the change advanced facilities are provided to target customers in a proper
way without any sort of miscommunication. Training helps to improve the management
structure and helps employees to gain professional development, which impacts on the
productivity of the organization. Moreover, Nielsen, Sarasoja & Galamba (2016) contradicted
that employees with developed skills help to implement strategic planning of an organization
effectively. Different facility development ideas can be implemented properly with these
skilled set of employees. In addition, a future leader can be gained through training and
professional development that can manage and conduct continuous improvement in facility
management.
M5. Evaluation of the key legislation of health and safety that influences the strategic
development in terms of managing facilities (D3)
While implementing the facility management, certain health and safety measures must
be maintained, which impacts on strategic development. Different health and safety
legislations need to be kept in mind while conducting strategic development (Erdem & Tetik,
2013). This includes policies regarding working hours of employees, exposure from

hazardous substances and others. Moreover, the psychological risks of employees need to be
maintained that are mentioned and governed by the Latvian labor protection law of 2001.
According to this legislation, an employer can be held responsible for the exposure of
employees to any type of physical, chemical or biological risks.
On the other hand, Graubner, Pelzeter & Pohl (2016) contradicted that fire safety law
of Latvia states that any organization needs to be aware of the policies regarding preventive
measures to avoid any fire accident. The hospitality organization needs to install all fire
safety requirements, which can help to avoid any legal issues in the future. All the facilities
need to be installed by consulting with local fire service organizations and according to
policies. Thus, safety to the customers and employees can be provided. In addition, regular
assessments of risks need to be done, which can help to avoid any risks from newly installed
facilities.
Findings from the case study
The Green Key authority has developed a higher standard of environmental needs.
Criteria and explanatory notes created by this authority can decide the eligibility of
organizations to get the Green key certificate (Greenkey.global, 2020). In terms of the
hospitality industry, the green key criteria are applicable to hotels that have more than 15
rooms (Greenkey.global, 2020). The Alt Ottawa Hotel has the Green key certificate and this
certification has helped them to sustain eco-friendly business practices. These criteria for
hotels have 13 categories including environmental management, employee engagement, guest
information, water, and others. The Alt Ottawa Hotel has successfully met 11 of these
criteria. [Refer to appendix] This hotel has taken more sustainable initiatives after getting the
green key certificate. Moreover, they have suppliers who are environmentally conscious. This
aspect has helped this hotel in greening the supply chain. This organization has reduced waste
system by approximately 20% and they have successfully reduced the water consumption by

laundry by 10%. Moreover, this hotel has successfully reduced banquet food waste by 25%.
The green certification has helped them to show the world the proof of their sustainability.
However, they have failed to meet the criteria of energy and indoor environment
(Greenkeyglobal.com, 2020). They need to improve the quality of their internal environment
by maintaining cleanliness and hygiene. The use of energy needs to be limited and
appropriate. This approach may help this organization to ensure less harm to the
environment.
Conclusion
From the above discussion, it can be stated that facilities management is an essential
aspect of the hospitality industry, which helps to obtain sustainability. The process of facility
management can be done through the help of the change management process. This can help
to increase participation and cooperation from employees and a proper schedule can be
framed to bring the change. Management of human resources is an essential part of this
process because different issues like resistance and lack of skills can occur. Legislations
about health and safety must be followed to conduct strategic development regarding facility
management. This can help to improve workplace productivity.
