1G- SUITE vs. OFFICE 365
The company Honey Waffle with Honey has a current workforce of 12 people and they
are planning to expand their business in the coming days. The clients of this company are mainly
based on South Eastern region of Asia as they function from the Kuala Lumpur area in Malaysia.
To expand the company in the near future, they need to design an excellent communication
strategy for reaching out to the target audience. According to Bakshi (2015), as new media is an
effective form of communication in the contemporary business environment, therefore the owner
of the company has planned to draw a comparison among different forms of social networking
platforms to derive a conclusion on using the most suitable one.
G- Suite and Office 365 are the two most commonly used social networking platforms
used in today’s world. These two office bundles are widely used in the business environment as
they satisfy all the basic needs of the company (Fan, Golder & Muller, 2016). They can be
considered as the most feasible options in terms of both planning and providing multiple scopes
to cater to the needs of one another. This essay will look into an extensive comparison between
G- Suite Business, which gets RM 40 for every user per month and Office 365 Business
Premium, which gets RM 44.60 for every user per month. It can be seen that both these bundles
are in close competition with one another.
Primarily, it can be stated that G- Suite has the best services of Gmail for sending e-
mails and Office 365 has the services of Outlook, with the provision of own custom email
domain address. However, there is a difference in terms of space, where Gmail has 15GB space;
Outlook is restricted to only 5GB space. Both G- Suite and Outlook provides the users with
online and offline version but the offline activities in Outlook are much better than Gmail’s
(Grevet et al., 2014). This is because the offline activities in Outlook are easily accessible
through various browsers such as Google Chrome, Safari and Mozilla Firefox. The disadvantage

on the part of Gmail is that it can be accessed only through Google Chrome. It also restricts the
size of the file sent through email to 25 MB, which is much less in relation to the loads of work
done online in today’s world. If the file size exceeds 25 MB then it needs to be uploaded via
Google Drive and the link can be shared with the recipients. This system is not suitable for the
business of Honey Waffle with Honey as they are planning to expand soon. By applying this
process in their organizational functions, the productivity of the company will be hampered. This
is because the particular company in Kuala Lumpur is in constant requirement of sending and
receiving large music files. They could not use Outlook for that purpose as the storage of the
mailbox is only restricted to 100 GB. On the other hand, Gmail has the provision of unlimited
storage in their mailbox (Muñoz et al., 2015).
Therefore, the owner of the company should think of taking up Gmail against Outlook as
a part of their effective communication strategy. This can be inferred due to the issue of space
that Outlook has in comparison to Gmail. Again, security of data sent via online is an important
factor as it might hamper the relationship between the company and the customers. in this
respect, the newly introduced Confidentiality Mode of Gmail gives them advantage in
comparison to Outlook. The users can manage and control on the sending of their emails and it
can be used effectively while expanding the company (Nagler, Ebner & Schön, 2015).
While comparing between Skype, a product of Office 365 and Hangout, a product of G-
Suite, it can be mentioned that although both these applications offer both voice and video
calling over internet, but G Suite is better than Skype as it has narrowed down its use by using
other G- Suite applications such as Google Calendar. There are demerits of Google Hangout in
terms of file sharing, as it does not allow anything other than images and Google drive files,

which might limit the functioning of the particular company. Skype is better in a way that it
allows sharing of any kind but the size is limited to 300 MB (Seufert et al., 2016).
This company based in Kuala Lumpur excels in music business therefore; they need to
stress more on the storage space and security of the files before any other aspects. Office 365 is
not the correct option n this case as its storage is limited to 1 TB against unlimited cloud storage
of G- Suite. This business has to constantly send, receive and store large files and therefore G-
Suite will probably be the best option for their expansion in the coming days. Their highly-
advance security system or Cutting- edge Cloud Security is successful in preventing the leakage
or intervention with any information sent online. They have achieved 99.978% service level
agreement on 2013 (Sgaras, Kechadi & Le-Khac, 2015). Therefore, it can be better for the
company to incorporate G- Suite in their communication functioning for effective expansion.
These minor disadvantages on the part of Google Hangout can be overlooked if the
company focuses on choosing either Whatsapp or Facebook Messenger for sending files of their
choice and for working mobile and text messaging services. The underlying reason behind
selecting a back- up communication technology is their efficiency in daily communication, cost-
effectiveness, no restriction on sending and receiving files and easy accessibility. According to
Stüber (2017), Whatsapp can be selected as an appropriate strategy because it is widely used in
Kuala Lumpur. Moreover, it is considered more secured as it ensures safe storage of data and
information, which is in contrary to Facebook Messenger. It is user friendly, works smoothly and
connects to more people in a group in comparison to Facebook Messenger. Therefore, G- Suite
and Whatsapp will be perfect for the communication plan of the company.
