INTRODUCTION
In present scenario, communication is the most crucial tool in order to exchange any sort
of information in an organization. There are several functions that are being performed by the
management such as organizing, planning controlling etc. In order to conduct all these activities
in effective manner, it is important to manage communication. However, the concept is adopted
by the organizations in order to formulate communication strategies so that requisite information
can be passed on. It leads to provide assistance to the firm to ascertain its predetermined goals
and objectives. The present document is prepared on the given case scenario of Galaxy Foods
which is about to establish in London, UK. Report is going to cover the requisite decisions that
are taken at the time of start ups. In context to this, different internal and external sources of
information is also depicted in the document. This will provide appropriate level of
understanding to the reader about the requirement at the time of start-ups or expansions (Goetsch
and Davis, 2014).
TASK 1

The present report is based on a case study of Galaxy foods where the owner is going to
open its food store. In order to establish this business, the owner needs to analyse the resource
requirement. For the same, there are certain decisions are required to be taken by the owner.
Following are stated below.
Location: In order to initiate the food store, the owner needs to identify the area where he is
going to set up his business. It is necessary for him to find a place which should be convenient
for the consumers. The store should be at crowd market so that customers can reach easily. The
entrepreneur requires to find a place in London which is convenient for the customers (Binder,
2016).
Finance: After analysing the location, financial decision is another crucial decision for the
owner. Here, it is important to identify whether he will use personal funds or borrow amount
from the banks or relatives. The owner need to think from different corners and appropriate
decision should be taken. So that, he can get good return over invested amount.
Target customers: Further, the entrepreneur needs to identify the customers and for the same he
needs to target a particular group of people. In addition to it, he needs to make research on the

needs and demands of the market. So that he can deliver as per the requirements of the
consumers. This will help the management of Galaxy foods to raise its customers at initial level.
Identify niche in the market: This is another the most requisite decision to be taken by the
owner. The entrepreneur requires to identify the areas or needs of the customers that are not
satisfied by any other brand. This will assist the organization to satisfy the needs and demands of
the customers. As a result, the firm will be able to attract large numbers of customers at initial
level. This will provide good amount of return to the owner over the invested amount (Gailloux
and et.al., 2012).
In context to above, the owner of Galaxy foods needs to examine certain information and
knowledge to make decisions in relation to set up the business. Firstly, legal proceeding are
needed to be analysed by him with relation to land and other decision. Furthermore, he needs to
consult with a accountant in order to get knowledge over deductions and taxes. In context to
this,it is necessary for him to identify the policies and procedures for the acquisition of land and
copyright of his brand. This evaluation would remain helpful for the owner to make appropriate
choices and decisions with regard to the start up. In addition to it, the most crucial information
that is required by the owner is buying behaviour of the consumer. It is important for him to
know the income level, taste and preferences, changing needs of customers. So that, he can
analyse the want and demands of customers. The same can be offered by him in an appropriate
manner. This will also help him to identify the needs to essential equipments and machines for
the preparation of food and beverages. With the help of same, he will be able to prepare and
decide effective menu as per the consumer wants. Last but not the least, the owner will be able to
decide and analyse the areas which are most expensive or where the cost of company is incurred
more Broom and et.al., 2014).

The owner of Galaxy foods can adopt various sources of information in order to get
crucial knowledge. Mainly, two sources of information are available for the entrepreneur i.e.
internal and external sources. Whereas, internal sources are those where the information can be
taken from business and external are outside business. The owner can consider different sources
in the firm to gather information. Following are stated below.

Marketing and sales department: Information related with the sales of the organization can be
identified with the help of sales department. By analysing the sales figures the entrepreneur will
be able to decide the production of goods. On other side, marketing department help in getting
the information about the marketing strategies of the company. This will assist the owner to
identify the adopted strategies and plans Hadas and et.al., 2012).
Finance department: The finance department will render the information about the allocation of
financial resources. With the help of this information, the owner will be able to analyse the areas
where the funds can be used and distributed. In addition to it, he will also be able to get the
information about cash flow statements, balance sheets etc. As a result, the actual position fo the

The owner can also adopt the external sources of information which are stated below.

him to identify about the competitors of this industry. In addition to it, the owner will also be
able to identify the current market trends.

other procedures. In addition to it, he can also take information about the tax and deductions.
This will assist him to get good amount of business proceedings. In addition to it, the owner will
be able to find out the pros and cons of the acts done by him. He can remove or eliminate the

Lawyer: This is the another external source of information which can be adopted by the owner.
He can consul a lawyer about the legal proceedings of the business. This will assist him to know

It can be recommended to the owner about the adoption of external sources of
information. The business is newly established so he has to consider the external sources of
information. He can prefer internet to get appropriate information about the acquisition of land

owners. It is also recommended that, the owner should prefer to consult lawyer and consultants.
Internet information is safe and reliable but the owner can be not fully reliable to the information
gathered form internet. In addition to it, the entrepreneur can take information form government
officials as they will provide detailed information about the acquisitions and legal proceedings.
The owner can also prefer trade grouping in order to get knowledge about the market.
Trade groupings are the group of establishments who are operating their business in same
industry. With the help of them, the owner will be able to identify the real position of the market
and the changing needs of the customers. It will assist him to decided the food items that are
demand more and less On that basis, the menu cards of the stores can be prepared. In addition to
this, the owner will be able to provide quality food to the customers by knowing the quality
standards.

The decision making of the owner of galaxy foods can be affected by certain stakeholders
at the time of setting start up. The stakeholders are the crucial part of the business where they are
directly or indirectly interested in the operations of the company. The list of stakeholders are
given below.
Government: The policies framed by the government may affect the business decisions of the
Galaxy foods. For an instance, the land acquired by the owner may comes under unauthorised
land where construction is not allowed. If the owner purchases such land then he will not be able
to construct building. This will affect the busies of Galaxy foods.
Suppliers: This is the another stakeholder from which the business decision may get affected.
For an instance, the suppliers of of Galaxy foods are new for the first time it may happen that the
quality of raw material is not as the amount paid. This can affect the overall production of this

requisite stakeholders with the use of appropriate communication method. This will assist the
owner to get permission for the land, business etc. However, the list of stakeholders are given
below with the appropriate communication method.
Government: the management of Galaxy Foods needs to communicate with the government
official about the permissions. However, the entrepreneur can adopt formal letters including the
subject and time for meeting. At the time of meeting, formal communication will be done with
government officials (Radulescu and et.al., 2013).
Lawyers: The management of stated firm can verbally communicate with the lawyer by
considering the informal communication. This process will help him to make good professional
relations with the lawyers.
Suppliers: In order to communicate with supplier, the owner can adopt informal and verbal
communication. It will assist them to better discuss about the required raw material with

Employees: communication with employees will be done with the help of verbal and formal

and conduct surveys. This will assist him to gather good amount of primary data which can be
useful for the owner (Williams, 2016).

In order to make a final plan, all the stakeholders and decisions are considered. So that
further it can be implemented with the use of resources and tools. The owner aims as expanding
his business with the changing time. For the same, it will be required to keep improving the
business performance with the consideration of effective tools and strategies. The manager can
adopt some strategies for future improvements in the process are given below.
Marketing: For future improvements the owner can adopt marketing process which will help the
food store to enhance the value of its products. This process will assist the owner to bring
innovation in the process. In addition to this, the process of marketing will help the owner to
raise its sales (Williams, 2016).
Merger and acquisitions: This is another technique that can be implemented by the owner.
Here, the entrepreneur can merge its operations with bigger restaurant or hotel. Or it can acquire

The manager of Galaxy Foods has decided to diversity and expand its business. For the
same, the manager needs to communicate with different stakeholders in order to inform them
about the expansion with the use of requisite communication model. As per the case study, it can
be depicted that the firm has adopted two way communication. This style will remain helpful for
the company to exchange information and messages in an effective manner. In case of two way
communication, the receiver has an opportunity to give his opinions in the form of feedbacks.
However, the ideas of both the parties will be exchanged which leads to get clear understanding
of message form both the parties. This will also assist the staff members to overcome with the
issues of communication barriers. With the help of this method, the staff has done well
discussion and the manager has decided to purchase the established cafe. The top level
management of this store wants to deliver this message to different stakeholders (Hadas and
et.al., 2012).
The management of this store has adopted two way communication to pass on the
expansion information with different stakeholders. In order to pass on this information to the
internal staff, a circular will be prepared which will be circulated to the staff. So that, if the
employees have any issue with the expansion then it can be discussed with the higher
management. In context to this, the manger needs to pass on this information to the external
stakeholders. Here, the organization can adopt two way communication so that requisite
information can be exchanged (Gailloux and et.al., 2012).

Different communication needs are raised with the changing time. As per the case study,
at the time of new business the organization needs to adopt two way communication between top
level management and lower level management. The operations of the company are new just like
the employees. In order to cope up with each other, it is necessary for the firm to take feedbacks
of its employees in order to improve its operations and running of the businesses. But at the time
the company grows and takes strategic decisions. For the same, the policies are needed to be
applied by the top management. In this situation, the firm adopts one way communication where
the rules and policies are imposed by the management which is adopted by the lower staff
(Williams,2016).
Communication process of the company can be enhanced and improved with the help of
employee participation in decision making process. This will assist in enhancing the motivation
level of the subordinates. It will make them feel as a important part of the organization. Sa a
result, the current position of the employees will get improved. It will ultimately help the
organization to hike its profit earning capacity. The business implications can be improver with
the help of certain factors. The organization can implement the management information
software so that the data and information can stored and recorded in an effective manner. This
will help the company special at the time of promotion and marketing. The stored data and
information about the customers will assist the company to use the same for advertising purpose
(Hadas and et.al., 2012).
In context to above, the organization can also adopt online portals for which individual
login id and passwords must be given. This leads to safety of data and information. In addition to
it, a common information can be passed on over portal which will save time and money.
3.4
Being a leader, it is important to improve personal communication skills. There may be
times where various information is needed to be passed on to the staff. Here, it requires goods
communication skills in order to deliver requisite information. Sometimes, I face issues at the
time of communicating with employees and customers. This has affected the my performance in
the organization. I decided to improve this skills by taking corrective measures that are stated
below( Williams,2016).

Seminar and conferences: attending seminar and conferences has helped to become interactive
and communicative with the employees. By attending these classes my knowledge level and
confidence is enhanced This helped me to speak and communicate with the clients and
customers. Earlier, I faced problems while communicating with my senior and junior level. But
attending these sessions has provided assistance to improve my current position.
Reading books and novels: This is another method which I have adapted to improve my current
position. This helped me to enhance my knowledge level which leads to improve my

management in order to manage its operations. The departments are not able to manage the
information in an effective manner. The company does not have personal mail ids through which

adopted the security in terms of cyber security. It can result into leakage of crucial company
information. However, the firm has adopted the MIS software for the storage of data and
information. But the security of software is not strong which can affect the data security in
future. In order to improve the operations and increase the security, the firm requires to form
individual mail ids and passwords. This will assist the organization to send and receive any
information at secured level (Goetsch and Davis, 2014).
As a result, the data and information about the company and customers will remain safe.
The organization needs to make corrective measures to safeguard its information. If the
management of this organization saves data and information with the use of technical process
then the firm requires to adopts corrective measures. They needs to safe this information from
the hackers

In order to collect, formate, store and disseminate the information, it is necessary for the
firm to adopt corrective measures. It is identified that the organization is has a issues with the
cyber security. In order to overcome this problem, the organization requires adopting measures
to enhance the security of data and information. The firm needs to create an online portal through
which the employees and the internal staff should be connected. This will help the organization

employees with the use of common platform. This will improve the communication within the
organization (Williams,2016).
The management can safeguard its data and information with the use of software
updation. This will help in removing viruses from the computer. In addition to it, the firm can
increase its data security with the help of changing passwords time to time. As a result, the
hacker wont be able to hack the data by hacking the company accounts. This procedures will
help the company to safer its personal data. In addition to it, its the due of the firm to save the
shareholder information. In addition to this, the company needs to consult IT professionals they
will provide an appropriate guidance to safeguard the data (Goetsch and Davis, 2014).

Galaxy Foods can improve and implement a strategy to safeguard the company
information. First of all, the firm must maker focus on the use of information by any
unauthorised individual. The organization can use the software that will watch over the acts over
company data security. In addition to it, the firm should adopt the latest version of MIS software
so that it will limit the misuse of data. The company needs to analyse that only IT department
does not needs expertise knowledge but it is necessary for the management to provide knowledge
over security of computer data (Kramer, 2014). It is seen that, the computer security is hard to
safeguard data. But it can be minimised up to some extent. Also, crucial data can be divided on
cloud with a motive to access it from remote areas as well. This will aid the enterpriser in
pickings conclusion specially when they re not present in the office premises. In addition to it,
the organization needs to focus on forming the personal mail ids so that data and information can
be better exchanged between the two parties. The will also assist the employees to be connected
with each other for professional purpose. This will also save the time for conducting meeting and
seminars. With the help of internal portals the staff will be able to communicate with each other.
It will help in removing the gaps between the employees. As a result, the operations of the
company be attained in an effective manner. With the help of two way communication, the

different styles of communication in order to pass on the requisite information to different

has resulted into increasing the investors of this firm. This has enhanced the the productivity and
