Assessment 2
Develop a communication methods report
The communication has to be carried on in a proper way so that all the information is being
properly communicated among all the stakeholders. This s can be done in a proper way by using
a horizontal communication system. This communication system will ensure that all the
employees or the stakeholders are being able to understand the message being communicated
and also being able to revert to the same (Ryan 2019).
The main reason for this meeting or this project is to identify the language barriers or the cultural
barriers that are present between the employees and the ways in which these have led to many
disasters in the workplace. The workplace culture of the company can be enriched by making
sure that all the employees are being able to understand one another and also understand the new
health safety policies that are being introduced in the organization.
The non verbal communication that can be introduced is through emails. This will help the
employees to understand the agenda or the motif for conducting this session or this meeting. All
the employees working in different departments will be able to give their opinions and their
views (McDonald, Charlesworth, and Graham, 2015).
The other method is through verbal communication that is by con ducting of the regular meeting
sessions. The meetings will be conducted both in the form of PI and also GD. Personal interview
and the group discussion sessions will be conducted so that employees are able to understand the
Document Page
9HRM
motifs of their meetings and also talk about their own issues and problems (Becton, Gilstrap and
Forsyth 2017).
The other kind of communication system that can be conducted is via the social networking
system that is through messaging and others. This will enable them to understand some of the
issues of the employees that they may hesitate to share openly. This will enable the managers to
interact with their employees in a proper effective manner and also make sure that there is no
loss of privacy on the part of the employees (Lola and Reyes 2017). This will surely be of a great
help in order to understand the whole matter from the view point of the employees and help them
to solve the different issues. This will be helping the operations manager to make sure that all the
employees are arising by the different new health care and safety policies being introduced
because the employees will be able to discuss all these in a very peaceful manner. There are
some specific environmental factors that must be made sure (Zacher and Steinvik 2015). One of
them is that all the employees are given flexible shift. If the employees get a flexible shift then
they will be able to have a moral well being and will be working in a very peaceful manner.
The employees are to be given a proper health and safety insurance policy so that they are having
a feeling of safety in the organization. They will have to make sure that no cultural barriers are
being faced by the employees. In order to deal with these, all the employees will have to be given
a proper training and development facility so that they are able to overcome all the cultural
barriers.

Email to CEO
To
Respected CEO,
Dear Sir,
This is to notify you that I have gone through your email and have also gone through the
attachment. I would like you to know that as per my knowledge the newly made health and
safety policies seem to be very useful for the organization. This is because of the fact that as per
my research and analysis, the past issues undergoing in this organization is mainly because of the
cultural and the linguistic barriers that have been taking place in the organization. I have come to
know that many of the employees were getting involved in the health hazards as they did not
know about the differences in the religious and the cultural orientation differences that are
existing among the employees belonging from different cultures and religious setup.
I am also very thankful to you as you have taken out time from your busy schedule in order to
see about this matter. The newly developed health and safety policies that have been formulated
by you has been very useful in order to deal with all the issues that are taking place. It is also one
of the very useful means where you said that the operations manager will be completing the
Hazard Register for all identified hazards. I feel that this will be a very useful aspect for me as I
will be able to enlist all the different hazards that are taking place in the organization and also
formulate the different ways in which the same can be solved.
I would also request you to arrange for some good amount of funds and also training and
development facilities that would be helping in making the employees understand the cultural

support. I have gone through all the terms and conditions that have been enlisted in the newly
made health and safety procedure.
This is to notify you that I have gone through all the terms and conditions of the newly made
health and safety policy. This is to ensure that the policies are quite well accepyed by all the
employees and the rest of the managers as well. I have also worked upon making the
presentation in order to make sure that the employees are getting a very clear and well defined
understanding of the different practices that they have to undertake in order to carry on with the
policies and make their workplace a very peaceful place (Buchanan and Oliver 2016).
I would like you to help me get a proper time and a location in order to start the presentation and
also make sure that the employees are contributing in a very positive and also in a very
constructive area. I want you to make some very arrangements so that I can start the presentation
in a proper way and also make sure that I am getting the full attendance and the active
participation in the presentation. However I will not be able to carry on with the presentation
properly without your support. I am requesting you to arrange for some fund and also the

Prepare the room for the presentation
The presentation will be conducted in the hall or the annual meeting room of the organization.
This will be very useful for understanding if all the employees can be given a proper
accommodation. It will be very useful for checking if all the employees are getting a proper view
of the information that is being represented on the screen. The time of the presentation must be
selected on any off day or on any holidays so that all the employees are able to participate in the
same without missing their normal work schedules or any of their personal work.
I hope that you will be thinking about this matter and also help me with the needed time and the
space for conducting the presentation. As I am the operations manager I will also make sure the

seating arrangement is done in such a way that all the employees are able to get a clear view of
the different slides and the information as they are being displayed on the projector screen.
Write a summary of the meeting
The meeting has been conducted in a proper way because there was an active participation of all
the employees. It is true that different employees are from different and varying cultures in this
organization. However at the same time, efforts were being made to make sure that the
employees are being able to concentrate on all the lectures or the projects that are going on in the
session. However efforts are to be made to understand if the employees are able to narrate the
different workplace hazards that are being faced and the different ways in which they can
overcome the same. There have been some kinds of policies that are really very helpful. For an
instance, there are some new policies that have been made are
Appropriate records of the organisation’s risk management strategy, workplace hazards
and workplace injuries will be accurately maintained at all times.
These records will also encompass minutes from all health and safety meetings, including
the persons responsible for project co-ordination.
This shows that the meeting has really been very useful for all the employees as they have been
able to understand about the intercultural differences and the different ways in which they can
overcome the same. However some employees in the beginning did not like the session as they
could not come to terms with the religious views and the opinions of the other culture. At the
same time, efforts have been made to develop some intercultural sessions that would help them
to understand the differences in the business etiquettes and also the different business manners
that are followed in different cultures. However employees were happy when they realized that

the First Aid Officer will always be contacted when there are any kinds of health issues that are
arising the organization. This has assured a feeling of safety and security to all the people in the
organization. This is useful because the employees who are working in the organization must be
given a friendly environment so that they can work in peace and can also make sure that none of
the employees are getting bullied in any way. This will ensure that all the employees are getting
a proper health insurance and also a proper check up facility. Worksafe commission will also be
made a part of the organization and the employees will be able to work with a feeling of safety
knowing that they will not be left alone in case of any serious injuries.
The employees were also delighted to see that the company was also thinking about the
provisions of work from home facilities. In other words it was good to see that the company was
providing safety to their employees not only in office but also in the home that is on case of the
work from home policy.
Reflect on, and write a summary of, your own performance
I am happy to have taken part in the meeting sessions because this has helped me to focus over
my self-development as well. On the other hand, I have been able to get over my communication
barriers. I have been able to conduct the session by understanding the needs and demands of all
the employees. This has really been very helpful as I could interact with so many employees
coming from varying religious and socio cultural backgrounds. This has been very useful as I
was able to understand about the different ways in which the employees interact and are able to
understand the policies of each other.

I was able to develop a good self confidence and a good problem solving attitude. This has surely
been of a great help as I was able to gain the faith of the employees. They realized that I am
always trying to listen to their issues and make sure that I am also helping them with the solution
measures. I have been able to work over the listening skills and also have been able to develop
my level of concentration. This has been very helpful for me as it helped me to become much
more composed and organized.
Send an email to your team members (your assessor).
To all the team members,
Dear all,
This is to inform that I have gone through the newly made work place safety policies and also
made sure that they are being circulated to all of you. I want to make sure that all of you take part
in the session and also help in making this attempt a success.
I decided to share the motifs of this meeting with you because I had to make sure that all the
employees are getting proper information about the different ways in which they can overcome
the workplace accidents and can help each other to deal with the situation. This will be very
helpful in making the workplace a better place and the employees will be able to work in a
hazard free way both from workplace and from their home as well.
