Consultative process with stakeholders
Data entry officer
The communication made between data entry officer regarding the problems faced by them
to record the entries of orders through computers. Data entry officer elaborate the lag in time of
processing the system which is becoming slower due to bulk of entries and records.
Manufacturing supervisor
Manufacturing team form the products by getting list on their screens. Team members get
the job list on their screens. Supervisor told that the manufacturing team members remain idle
due to not having the job list on screen even after having all the resources for manufacturing of
goods and services.
CEO
CEO said that the reports are not being provided on daily and weekly basis due to
backlog in the order process. As per CEO, current system is little slow and fully written off and
provision for new upgrades are approved.
Sales Manager
Orders are not reaching to the stores and sales managers sometime not be able to get the
list of client for delivery. There is no any direct communication of sales manager with
manufacturing team due to lag in processing time of computers.
CFO
The statement of CFO was concerning in regards of inefficiency of system. CFO have to
generate the monthly activity statement for clients. In the beginning the system used to take 15
minutes to generate the monthly activity statement for client, while it takes 2 hours for the same
process. System is five years old till now and CFO urged to CEO for the last two years to
upgrade the old system and might get tax benefits for it. CFO communicated with CEO that
Skillage I.T. solutions is best option to upgrade the system and explain the tax benefits further.

Current architecture
The system has a capacity of PIII 933 MHz 1GB ram 100 GB HDD and contains
management server, app server, web server, SQL database server and e-mail server.

Proposed architecture
It contains new network infrastructure with disaster recovery plan, isolation of line of
business (LOB), Upgraded software to latest Microsoft SQL server version. The system will also
protect the operating system form malware and will upgrade the communication system,
software with application suite.
Communication of roles and responsibilities among team members
Project Manager – Weixuan Jiang: Activity planning, cost estimation, scheduling the
activity plans, documentations and Report to the CEO and CFO for each activity and monitoring
the actions of team members.
Project Sponsor – Sandra Wordsworth: Negotiating the project funding with the senior
authorities. Guiding the project empowerment with formulating strategies.
User/Functional Representative – Joseph Hill: Communicating with clients, getting the
feedbacks, explaining the processing of placing order of products and services.
Management of resources and scheduling
It is expected that the cost of the entire project will be up to $155000. Training programs
management to ensure smooth transition to the new system (Niazi and et. al., 2016). The LOB
program requires new SQL server that uses a software developer and a data base programmer on
contract to assist with the process.
Proper utilisation of resources
Allocation of resources would be categorised among labour, material, LAN cost, server
upgrade cost, payment to engineering team and server maintenance cost, food and lodging cost

It is analysed that large productivity slumps in the workforce. The system is suffering from
overload of backlog information and data of clients. Order process of 5% get down by 5%.
Manufacturing stream is reduced by 10% since last year. Order efficiency get reduced by 15%
and the lag in process time get increased from 3 to 5 minutes. Revenues get down by 10% since
last year. there are mainly six steps are provided in this process as;

members. Team leaders are required to adhere the protocol and rostered staff members to make
them more efficient and skilled. Project manager must keep monitoring the process of self and
external check of deliverables.

It is required to have the components related to LOB software as additional cabinets,
mother board, ram capacity, data storage. Back up of skilled and expert staff members for LOB
software
Communication subject to analysing, creating and building the project
The estimated build period with implementation was recorded as 180 days. This projection is
based upon the similar project. An evaluation check is requiring after commencing the system
with in the organisation (Inthasut and Aswakul, 2014).
IT support plan and follow up activities
Planning: Training programs for understanding the SQL and ERP system is required to
categorised. The duration of time must be short to maintain the understanding level. Regular
testing and MCQs must be provided properly. Ability to lead the program in right direction.
