Executive summary
Due to covid-19 pandemic, the state government has made business restrictions on the
company as the businesses has to follow those restrictions and policies seven studio is
following changing COVID-19 restrictions in all three main offices: Melbourne, Sydney and
Brisbane. The company is facing some issues in communication structure as all three offices
tends to operate independently by using various types of communication methods and structure
within the firm resulting in a lack of motivation and poor team synergy. Due to this, the firm is
facing challenges such as reduction in organisational effectiveness. With the help of new
technology and alternative effective methods company can encourage people to do face to face
communication to run business smoothly.

INTRODUCTION
As we all know that communication plays a vital role in the organisation as it can help
the employees and management team of the firm to achieve its organisational goals and
objectives. The present study will be based on a medium size interior design agency named as
studio seven. The agency has three main offices such as Brisbane, Melbourne and Sydney.
Due to covid-19 the agency has had to make some difficult decisions about reducing the
number of working people the company. The purpose of the current report is to employ the
principles of communication in order to develop the strategies and methods which can help to
overcome different challenges and issues faced by firm. While using communication strategies
the company can easily achieve its desired goals and enhance their ability to effectively
communicate with diverse groups.

As the company has three different and main offices in the different locations such as
Brisbane, Sydney and Melbourne, due to covid-19 restrictions made by state government the
firm has to make some difficult decisions about downsizing. It means the firm wants to cut down
the staff members by 20% in the areas such as Sydney and Melbourne. Due to this many
employees and workers were resisting as it can change the organisational structure in the
office.
After the implementation of this policy, the agency studio seven is struggling to work
effectively. As we all know that communication is key to success as it plays a vital role in the
company. With the help of communication system firm will be able to achieve its organisational
goals and exchange important information between departments. Studio seven is facing
communication skills gaps between different department as the three main offices are operating
in totally different working environments (Nordin and Jelani, 2019). Issues such as cultural
differences, communication quality and utilization of communication tools. The firm is also facing
challenges such as lack of motivation and willingness of staff to embrace new technology as an
effective technique to face to face communication. They have less employees in both the
locations, Melbourne and Sydney. As all workers were reporting their general manager, Ms
dawn little, but due to the decisions of downsizing of the workforce and business members in
both the offices the agency has to face communication challenges of operating in the current
pandemic environment. due to this firm needs to do more concentration and focus on getting
workers job done with a limited availability of workforce.

As we all know that communication plays a vital role in the success of any business, so it
is essential for agency to focus on developing and making more efforts to improve effectiveness
via communication system. If company wants to exchange information between different
departments they need to focus on proper communication methods such as active listening and
providing key information to each department of the firm (Suarta and et.al., 2020). The agency
is focusing on using communication methods such as zoom, Microsoft teams and skype. During
covid-19, the company have faced issues such as conflicting between employees as it reduces
organisational effectiveness, the owner of the firm Ms dawn has motivated people to use
various technology such as skype to communicate with each other in order to improve
communication structure. During that time, company was also facing issue, some of the formal
communication between employees is working well but due to lack of willingness of using
technology there were some informal structures that are exchanging wrong information in the
firm. If the agency wants to work effectively then they must focus on appropriate communication
structure in order to improve effectiveness in the firm. If the open communication and open
discussion is encouraged in the company, then team members will be able to achieve their
goals (Intan, Muthalib and Samad, 2021). An effective communication within a team member
can boost the motivation level and engagement of employees. Due to this, employees can work
effectively and feel that they are valued by the firm and well informed of the vision, goals,
objectives, purpose and direction also. With the help of communication structure the firm will be
able to encourage staffs so that they feel more secure within their job roles.

Encourage feedback
It is essential for the company to share vision and mission statement with employees as
it helps the staff members understand that organisational goals are more important and reason
behind taking difficult decisions during different times (Ryan, 2021). For this, it is advisable to
encourage feedback and ask employees about needs and requirements so that they feel
comfortable sharing their experience and concerns. With this communication flow can be easily
improved and enhanced by them.
Promote open communication and ask open ended questions
In order to improve communication and more effective workplace the company needs to
provide training on communication skills (Communication strategies for a more effective work,
2022). It is suggested to encourage participation of employees in speaking focused organisation

and motivate them to ask open ended questions as it can build strong relationship between
employees and employers. The firm needs to invest more in communication training to avoid
any communication gap between department such training on soft skills development, hands on
practice with the active listening skills. By doing so, the firm will be able to create healthy and
positive work environment.
CONCLUSION
To conclude, communication skills is an important factor which must need to take into
consideration while talking about team work. As the company studio seven is facing some
challenges of communication, it is suggested to use appropriate communication strategies such
as feedback and open communication. By evaluating the report, it has been concluded that the
organisation could implement open communication between department to develop a
communication process and motivate people to engage in active listening to motivate each
other for the task. By doing so, they can easily encourage consistent external and internal
communication.
