1. Introduction
All-Sports Sports Club is sports club which offers a wide range of sporting activities
for their members. There are a large number of members of the club that take part in the
various types of activities offered by the Sports Club. In addition to the sporting activities the
club also publishes a newsletter for their members. This newsletter also includes various
types of activities for the members. Now the club is facing various type of difficulties
involving the distribution of the newsletter and hence, the president of the club is looking to
implement a new Information system for the club that would maintain the records for the
club efficiently. The main objectives of the system that is to be constructed are reducing the
cost of the organization that is being used for the maintenance of the data for the
organization and also the system is being implemented to increase the efficiency of the
processes that are being followed by the organization.
The report aims at providing all the major information about the system that is to be
implement and provided the various type of analysis that being performed for the
evaluation of the system. This report contains a brief description about the system that is to
be implemented for the All-Sports Sports Club. The report contains the various type of
different analysis of the system implementation. The approach adopted for the
implementation of the system is also provided in this report. The schedule for the
implementation of the system has been defined in the report.

2.1 Existing system of the All-Sports Sports Club
In the present system the Newsletters of the Sports publishes the paper on
Wednesdays and the release covers the information about the reports that have taken place
form Monday to Sunday of the previous week. Now the newsletters are supplied to the
members on their email addresses. However, the people that have not provided an email
address to the Club receive their newsletter in their post boxes in their home. Now the
major problem with this system is that this results in the club losing heavily on the financial
aspects. This is because they the club has to pay for the delivery services of the newsletters
and also the president of the club uses various type of spreadsheets and word processor
programs that incur a lot of cost for the club. The other problems that are being faced by
the system is that the distribution of the newsletters are also not uniform and the various
members miss out on the newsletters.
2.2 The proposed system
The president of the club has proposed an information system for the Club so that
they can maintain the records about the members of the club efficiently. This system would
allow the president to have information about the members with the email addresses. He
would also have information about the members that do not have the email addresses. This
system would also assist in providing the information about the newsletter published by the
club efficiently. This system would include functionalities that feature the advertisers for the
club and the newsletters.

2.3 Selected approach for the system development
For the development of the system the agile methodology is adopted for the club.
The agile methodology involves the repetitive procedure for the system implementation. In
this project the agile model would be utilized as there are requirements for the prototype to
be tested and re-implemented (Turk, France & Rumpe). Although, the time and the cost for
the project are not defined in the agile methodologies, it is a bit different in the present
scenario. In addition to this the user feedbacks can also be useful for the system during
every step of implementation. The cost for the implementation of the project can be
estimated very easily and hence the planning of the project is also very easy as because the
system that is to be implemented is a small project.
3. Systems Requirements
There are two types of requirements for the system. They are Functional
requirements and Non-Functional Requirements.
3.1Functional requirements
The functional requirements for the system are:
The system should provide information about all the members of the club and all
the sports that are being played in the club.
The system should also provide the information about the different newsletters
that are published by the club and also the information about the
advertisements in the article and the advertisers should be provided by the
system.

The list of the members of the club and their email addresses should also be
provided by the system.
The list of all the members without the email address should also be provided
form the system.
The articles that are uploaded by the members should be of a particular type and
the system should not be accepting any other format of file.
3.2Non-Functional Requirements
The Non-Functional Requirements for the system that is to be implemented are:
The system should be reliable enough and provide safety of the data that are
uploaded by the users.
The system should be easily maintainable and the maintainers of the system should
not require putting in much effort and also the cost for the maintenance of the
system should be easy.
The system should provide efficient amount of security for the members as a huge
amount of data about the members would be stored in the system.
The system should be flexible and hence, the system should be easily scalable and
also the system should be compatible on any type of platform.
4. Project Cost Benefit Analysis
The cost benefit analysis is used for the study of economic feasibility of a system. In
the present system the information provided by the organization is that the cost for the
implementation of the system is $60,000. The additional cost for the system involves a cost
of around $26,000 per year and the annual income form the system is about $50,000. From

the cost benefit analysis of the system it is found that the NPV and ROI value for the system
are positive and hence the system would be economically feasible. In system also attains the
breakeven point around three years.

5. Project Schedule
The main goals of the system are to provide the users of the system with efficient
information about the procedures and the help them in increasing the efficiency of their
processes. The main requirement for the system is to provide the president of the club with
the necessary information so that he can monitor the organization efficiently and also a
large amount of cist for the organization would be saved. The project is to be completed
under an assumed budget and also the project should be completed as soon as possible.
Hence the project schedule would be very efficient and it provides us information that the
project is being completed within 150 days.

6. System Information Requirement Investigation Techniques
6.1 Stakeholders Analysis
There are two type stakeholders for the system and they are internal stakeholders
and External Stakeholders.
The internal Stakeholders for the system are (Beringer, Jonas & Kock, 2013):
President of the club: The President of the club is one of the main stakeholders in
this system as this system would help the president to perform his activities
efficiently.
Members of the Club: The members of the club are also very important as they
would be ones would be using the system on first hand basis.
Owner of the Club: the owner of the club provided the requirements for the system
he would be one of the main internal stakeholders of the system.
Staffs at the Club: The staffs of the club are the external stakeholders as they would
not be involved directly with the system, but they would take part in the procedures
of the company.
The external of the system are:
Business analyst: The business analyst would be evaluating the system but would not
be involved directly with the system.
Project Team: The staffs of the project team are to make sure that the project is
completed within the allocated budget and make sure that the project is being
delivered within the aforesaid timeline.

6.2 Investigation Techniques
The investigation Techniques adopted for the system analysis are:
Feedback system: The feedback system for the president is implemented where he
can provide feedback about the usability of the system (Lemmon, 2014).
Query system for the members: The query system is provided for the members to
check if all the members of the system have an email address or not (Soylu et al.,
2016).
7. Reflections and Conclusions
The president of the club wants to implement an Information system for the Club so
that he can handle the information of the system efficiently. The president asked me the
analyst with High Voltage Information services to carry out the analysis of the business and
develop a system. We were provided with the situation where the president was not being
able to track the newsletters and was also unable to monitor the members of the system.
Hence the idea about the designing of the system came up.
For conclusion it can be said that, the system that is to be designed so that the
system can perform the required function of the club. This report provides a brief
description about the system that is to be implemented for the All-Sports Sports Club. The
report contains the various type of analysis of the system implementation. The schedule for
the implementation of the system has been defined in the report. The information about
the approach adopted for the implementation of the system is also provided in this report.
With the implementation of the system the president and the staffs of the system were
benefitted to a huge extent and also a huge amount of cost for the system was also saved.
