COIT20254 - Information Systems Project: E-Portfolio on System Design

This document presents an e-portfolio for the COIT20254 Information Systems Project, detailing the project's progression over several weeks. It covers undertaken work, understanding based on artifacts, communication skills, information literacy, technical literacy, and contributions to the project. Week 3:
 Undertaken Work: Project Research
 Understanding on the basis of artefacts: There are many research materials that can be
found on the internet about the traditional system of the medical stores. This is the time to
apply changes according to the new advanced technology which can be managed using
an online system. From my research, it was found that the business of the medical stores
is huge and will grow if it is supported by some advancement technology. I further
researched more on the business aspects and its competitive advantage after the
development of the online system (Shneiderman, 2016). This online system is
pharmaceutical system is the best solution according to the demand and the competition
within the same sector.
 Communication skills and information literacy: I have used research skills which have
produced the business data and market data of the medical store.
 Technical literacy as demonstrated by the collection of items: The tool for the research
that has been used is the web browser and the internet connection. With this, the data
need to be stored in the system in the form of word file.
 Contribution to project: I have undergone the deep research on the business of the
medical sector and how much the business can grow after the deployment of the new
system. Therefore after research of many days, I found that there is a possibility to design
a mobile application platform so that every user can access it on any kind of devices.
With this, I prefer to use the database server system to store the huge data of the users,
patients and staff members. This solution has been proposed by me for the development
pharmaceutical system. After getting a possible solution, I have discussed with my team
members and have provided the idea so that they can analyze it to give their approval.

Week 4
 Undertaken Work: System Requirements
 Understanding on the basis of artefacts: For the development of the pharmaceutical
system, there should be specific solution decided for the system and a design has to be
developed for the system so that it can be implemented. The solution provided by of the
pharmaceutical system which includes a mobile application. The requirements include
the developers of the mobile application, designers of the interface, the design of the
database, testing manager and maintenance engineer. The requirements also include the
use of development software and devices for testing (Le Vie, 2010). The resources are
analyzed on the basis of the results of the meeting conducted with the stakeholders.
 Communication skills and information literacy: For the generation of the requirements
gathering, I planned communication channel as meeting with the stakeholders and later
we discussed and finalized the possible requirements needed for the pharmaceutical
system within the specified budget.
 Technical literacy as demonstrated by the collection of items: The technique that I have
used for the requirement gathering is the critical thinking on the budget and the solution
proposed.
 Contribution to project: I was deployed for many hours in finding the possible
requirements of the proposed solution of the pharmaceutical system. I insisted my team
members and stakeholders get to indulge in a meeting where we can discuss the
requirements within the specified budget given by the client side. I have initiated in the
meeting about the possible requirements according to the given budget. I have followed
the principle of project management methodologies for the requirements gathering. It also
includes some research such that missing of minute things may cause a serious issue in
the development of the project.

Week 5
 Undertaken Work: Discussion on new system design in WBS
 Understanding on the basis of artefacts: WBS is the work breakdown structure which
depicts the task and subtask in the project plan. It is decided mutually by the team
members or the major stakeholders can also be involved in this. The main focus on WBS
is provided by my team member. WBS planned to specify the task and their details
required for the project to be accomplished in a productive way (Hurst, 2018). For the
artefacts, I have used the Gantt Chart to show the evidence of the WBS generated within
the specified duration.
 Communication skills and information literacy: I have used my critical thinking and
decision making skills to specify the task of the WBS and also for the generation of the
subtask which is done through the distribution of the top tasks.
 Technical literacy as demonstrated by the collection of items: The technique which is
used here the project management in which WBS is structured on the basis of the
requirement of the project and how it is going to develop during the process.
 Contribution to project: I had gone through the learning of the project management and
the development of the WBS where the whole process is distributed among the various
stages. I have analyzed all the stages where I learned that the required stages have been
added and every stage must be accomplished within the specified duration. I and my team
members mutually conducted the meeting where I discussed the duration and budget
issues of the WBS.

Week 6
 Undertaken Work: Documentation
 Understanding on the basis of artefacts: Documentation of the project is required to
show the progress of the project in form of some format such as word file, Google Drive,
Dropbox, cloud and so on. Documentation helps in getting all the data in details including
the financial aspects and resource liabilities either an online source or offline source
(Westland, 2015). It includes the details of different aspects of a project such as a
stakeholder plan, risk management plan, change management plan, communication plan
and so on.
 Communication skills and information literacy: With this, I learned to improve my
academic skills where document writing are involved in the academic sessions. Here, the
main aspect of documentation also involves the reading skills and ability to evaluate the
project stages.
 Technical literacy as demonstrated by the collection of items: Here skills of the
academic writing have been used to present the documentation of the project. I also
involve the tool of checking the grammar errors help in improving the quality of the
document.
 Contribution to project: My contribution for this stage includes the analysis of the whole
project plan starting from the initial stage and its subtasks to the end subtask of the final
stage. This analysis provides various type of data including the specific requirements for
the project and also the technique by which the demand of the stakeholders can be
fulfilled. I documented the report and my team members also helped in the development
of the documentation of the project.

Week 7
 Undertaken Work: Draft final report- smart technique
 Understanding on the basis of artefacts: This technique helps in deciding the actual
goals and objectives to be achieved by the project. This technique is read as specific,
measurable, attainable, relevant and timely. All these terms are associated with the aim of
setting the goals of a project. It does not specify the goal but also used for the testing of
the performance of the project (Esposito, 2015). I researched and found that it is an
effective tool which is responsible for providing the focus and motivation and makes the
members achieve the decided goals.
 Communication skills and information literacy: I learned this technique from the
internet source and used both of my research skills and critical thinking skills.
 Technical literacy as demonstrated by the collection of items: Tool that has been
selected for visualization of the objectives is SMART technique which decides the
objectives in the ratio of five aspects and they are specific, measurable, attainable,
relevant and timely.
 Contribution to project: Firstly I learned and researched about this topic and then applied
all the aspects of this technique as one by one. The first aspect of being specific helps in
determining the requirement and help in answering the questions of ‘wh’ words. Second
aspect of being measurable includes the knowledge specification that may help in
measuring the performance and the so that the objectives can be fulfilled. The third
aspect is achievable which discusses the good skill required of the team members to
handle the project requirements.

Week 8
 Undertaken Work: Draft final report-Roles and responsibilities
 Understanding on the basis of artefacts: With the involvement of the roles and
responsibilities topic, it is an important part of the project plan where team members are
assigned to their roles according to the skills they have (Bouwmeister, 2017). After this,
they are allocated to the schedule plan on the basis of their responsibilities. This can be
viewed in the Gantt Chart of this project.
 Communication skills and information literacy: In this section, I performed as the team
lead where I have analyzed all the skills of my team members and distributed different
roles to them.
 Technical literacy as demonstrated by the collection of items: The technique that I have
used for the roles and responsibilities is the evaluation of the skills where roles are
assigned to skill basis.
 Contribution to project: I had selected the major roles that will pay the responsibility for
the development of the project and after this; they need to be given their responsibility
according to the schedule plan. I have assigned the responsibility of each team member
where their skills can be used for the effective development of the project and to
complete the task of the project on time. I conduct regular sessions of group discussions
where I collect ideas from different members and analyze it and produce the review on
this so that better idea can be separated for the implementation of the project. It is good to
have better coordination, good skills, and ability to learn quickly and so on. Thereby, I
have assigned roles and responsibilities carefully because any completion of the task
depends on both person and its skills.

Week 9
 Undertaken Work: Draft final report- Proposed Strategic Alignment Plan
 Understanding on the basis of artefacts: The plan for the strategic alignment is a process
which provides the path to give a specific direction to the project so that it can be
accomplished in an effective way. Aligning a project in an effective manner enhances its
outcomes and developing a path having lower cost and time will be preferable as it is
benefitting the organization (Dash, 2016). This also helps in increasing the performance
of the team members with an effective strategy and also can predict the better outcomes
by analyzing the performance of the project plan.
 Communication skills and information literacy: The research on the basis of the
strategic alignment plan has been done in addition to it I also done critical think to
provide the effectiveness of this plan.
 Technical literacy as demonstrated by the collection of items: Here the technique of
aligning a plan is done with the help of planning a strategy which will provide a direction
to the project development. This plan contains the activities such as process, resource,
structure and culture.
 Contribution to project: The part of strategic alignment which provides that a certain
direction to the plan. It also helps in gaining the good efficiency and performance of the
project. The pharmaceutical company needed the online system which involves the
development of the interface and the database. For this, I have evaluated the project on
the basis of a process in which the first stages is the definition of the purpose of the
project. Later I proceeded with the vision and goal of the system which provides the idea

what to achieve and how to achieve regarding the new system. Later, a strategy has been
developed to present the system to develop the process in that particular path and then
objectives must be defined for the project which is needed to start the project and to
implement the plan.
Week 10
 Undertaken Work: Group meeting
 Understanding on the basis of artefacts: Group Meetings are the essentials of the project
plan where many of the issues get discussed and resolved easily and this improves the
quality of communication between the team members. Sometimes stakeholders are also
involved in the meeting to provide the essential requirements for the project such as any
confusion regarding the project scope and the requirements of the solution developed
(Belcher, 2018).
 Communication skills and information literacy: I have applied critical thinking to the
group meeting and its requirement for the project plan. It helps in several ways by
organization better communication and enhancing the environment of the workplace.
 Technical literacy as demonstrated by the collection of items: The technique that I have
used here is the involvement of meeting session which provides effectiveness in the
project t plan and the development of the project.
 Contribution to project: I have approached different techniques of better communication
such as group discussion, conference, webinar and so on. But the effective solution that I
have found is the meeting sessions and this session helps in the full interaction between
the participants, every idea is being always appreciated and noted down so that it might
be the best solution or can be selected as the alternative solution for the project
requirements. I have also conducted several meeting session to contact with the clients
and the user to know the demand and to get feedback in terms of the available design in

the market having the same theme of pharmaceutical system. During the meeting there
will be documentation of many of the ideas and all have to written with the help of note-
making. Thereafter, I also applied different attractive ideas to make the meeting more live
and every can participate actively. This will increase the communication level in between
the various team members.
Week 11
 Undertaken Work: Discussion on presentation in class
 Understanding on the basis of artefacts: This includes the artefacts related to the
presentation that has been conducted in the class. It is related to the good communication
skills which can make the viewer focus on the presentation and also make them put
queries (Weimer, 2013). This helps in the increase of the interpersonal skills and how
also states how to become interactive during presenting any topic.
 Communication skills and information literacy: Here the communication skills of both
side has been noticed which includes the interaction of the student and the concentration
of the viewer and ability to question the topic that is represented.
 Technical literacy as demonstrated by the collection of items: Presentation is the basic
tool to represent the information related to any topic in fewer words and time so that it
can save much time and money. The better option to develop this presentation of the
Microsoft PowerPoint.
 Contribution to project: With my teammates, I presented the presentation at the class and
provided a good representation. This is done because I went through the project very
deeply and gained the knowledge of every part of this project plan. This helped to
analyze the project more deeply and I can also find the possible improvements that can be
made. With this, the different changes that are going to be implemented must be managed

effectively such that there should be no any issues. I have added the final report part
which provided the final full report that states the full documentation of the whole
project. I also researched about the alternative solutions that can be deployed on the place
of active solution. I also analyzed the use of website development instead of application
development. Presentation provided me a good platform to generate learning of the
project to the other students. Because learning with interactive platform helps in better
understanding. With this, I can also explain my new ideas for the solution of the project
to my team members.
Week 12
 Undertaken Work: Team evaluation
 Understanding on the basis of artefacts: During the whole project plan, there are various
activities that have been organized for the teamwork such as meetings, group discussions
and so on (Malek, 2017). Team evaluation also helps in analyzing the skills of the team
member which is the basic requirement such as communication skills, presentation skills,
and teamwork skills.
 Communication skills and information literacy: Here the communication skills is in
focus where how the team lead manage the team members and how the team members
coordinate with each other to achieve the required goals of the project.
 Technical literacy as demonstrated by the collection of items: The Technique used here
is the team management where the skills of the team are evaluated and is evaluated on the
basis of the quality performance.
 Contribution to project: I have conducted a various meeting in the need of solving
various issues and contributed towards the project quality. I also attend the meeting
which was conducted by my team members. The presence at the meeting increases the

skills of being an active participant on the basis of the individual process. I have
documented the meeting session what I have discussed in the meeting and later evaluated
that who are participating actively in the meeting and who have good communication
skills. With this, I came to know that how the team is important for the project and how it
contributes to the project development where different areas of the section are handled on
the basis of the project deliverables. I supported my team members and coordination with
them. I always gave the conflicts fewer priorities so that the workplace will remain in a
professional manner. Team work and its responsibility is high as they were responsible
for conduction of every task and that is why, me my team members are always focused
on this.
