Importance of Information System Technologies
Since the advent of computers, computer technologies have been used to revolutionize
business operations in all aspects. The development of information systems helped automate many
tasks and data processing activities became faster than ever (Senft, et al., 2016). Management,
communication and data handling activities help businesses plan, strategize and achieve competitive
edge in the market. The fact that technology has proved to be a dynamic aspect of our lives and
largely unpredictable implies that businesses have a huge task to keep their systems updated lest
they risk losing their competitive edge and shares in the market. Additionally, they must pay
attention to data privacy, security and issues that arise with the introduction of information systems.
The purpose of this paper is to present a reflective report of how Derby Coffee can tap on
technology to improve and streamline its operations in such a way that it will maintain its
competitive edge in the market.
Enterprise Resource Planning (ERP) systems is among most popular technologies that help
business organizations to integrate all necessary business functionalities and operations together by
way of a shared database (Samira, et al., 2013). Derby Coffee can customize this software to meet
its specific needs and replace its many databases with just a single one. The production department,
sales and marketing, asset and property management departments and even finance department can
be automated and managed from this one database. Although the initial costs of implementing and
deploying an ERP are relatively high, the benefits associated with such an integration are worth to
pursue. Information regarding clients, suppliers, products and services stored in this system will
make the management operations in the company an easy undertaking. Inventory and assembly
functions can additionally be integrated from all other Derby coffee’s outlets. This way, the
company will achieve a cordinated enterprise-wide operations, rapid real-time data sharing, efficient
inventory control and customizable interfaces besides providing a highly scalable business
technology solution.

Business intelligence, data analytics and big data technology are the most powerful
technologies that are influencing key decision making and strategic planning processes in most
organizations (Kunz, et al., 2016). Conceptualized as a set of information system, business
intelligence will support key decision making processes at Derby Coffee. Any data registered within
the organization will be easily transformed into valuable information thus creating value for the
company (Fabrício & Sady, 2013). Data storage, analysis and data mining tools form the
components of business intelligence that Derby Coffee shall depend on to learn about market
dynamics, their customer preferences, gain and retain its clients’ support base, rebrand itself and
discover important patterns that will put it at the competitive edge in the market.
Implementation of a transaction processing system will ensure effective data collection,
retrieval, and modification of data in the coffee shop. This will improve the flexibility on demand in
understanding the customers’ needs and hence moderation of prices according to customers abilities
to pay. This system will collect accurate and timely transaction data which means increased labor
efficiency (Dunne, et al., 2019). The transaction processing system will be used to manage the
coffee house as it carries out the day to day operations.
A management information system can also be used to provide accurate information as
required by the managers. This information may be of about the staff or the available facilities.
This system analyses and manages operational and strategic activities in the shop. This management
can improve customer services such as hospitality thus improving the overall experiences to both
the customers and staff as well (Laudon & Jane, 2016).
A point of sale system in the Derby Coffee lets them manage all orders and payments by
customers. A customer can access online booking or reservations. It will also be used to manage
billing, table orders and also stock checks. It will also track sales inventory and labor, payroll as
well as useful data for accounting purposes.
Another useful system in Derby coffee will be the property management system. This is a
comprehensive software application used to cover several operational duties at the reception, sales

information and booking.
