I would like to begin this response by commending you, Jazzman Taylor, for composing
an exhaustive memo. The memo is, indeed, exhaustive because it presents a comprehensive
discussion on the new internet policy that has been rolled-out by the company. A thorough and
critical analysis of the memo reveals that it has lots of strengths that make it ideal for such a
formal communication process.
The first thing that appealed to me in your memo is that it is formal. It is a standard
memo that was written using the right structure, outline, and format that befits it. It indicates the
originator, recipients, and the subject of discussion. Each of these is conspicuously-present in the
memo for everyone to see. All these are made to be as clear and précis as possible. For example,
apart from indicating the HRM department as the source, the memo categorically-indicates the
new internet user policies as its main subject (Safa, Von Solms & Furnell, 2016). The other thing
that appealed to me in the memo is the precision and clarity with which you addressed your
points. You not only mention the new policy, but give detailed information about it (Jeon &
Hovav, 2015). You clearly state the new policy, its requirements, the dos, don’ts and go ahead to
give its legal justification. All these are explained in a proper manner using a simple, official,
and clear language.
Overall, I like your memo. However, the only recommendation I would lie to give is that
you should ensure that you indicate all the consequences that might be faced by the employees
who violate the new policy. If you do that, your memo will be ideal for making such official
communication.
