Organization Investigation:
Background Information of Natural-Lee:
Natural Lee is a produces products based on permaculture principles and grows its
products on biodynamic soils. Natural Lee produces products like vegetables, fruit and nuts,
honey, decorative plants and eggs. All of these products are organically certified. Kevin Lee is
the owner of the business. The organization was not a commercial establishment, later due to
increase of demand in local area, Natural Lee became a commercial business. Lee hired Southern
Cross University’s Plant Science students to help build a property where organic products can be
grown. The number of customers are increasing each day. In order to make this organization
possible, Kevin gave up his job as electrician. Natural Lee sells its products in a shop established
in the premise. Customers of Natural Lee have to visit the shop to pick up their products.

Area of Organization under Study:
Product Sale: Kevin and Betty wants the system to handle the sale of the product. The
conventional way of customer purchasing product from Natural Lee is not able to handle
increasing customer base. The organization is experiencing delays and errors in order placement.
Currently the organization is accepting order over the phone. In order to save time, the regular
customers who buy same products only have to tell their name and phone number. A list is
already generated so that representatives do not have to wait for the customer to tell what they
want. The issues is happening when customers want to change their daily purchase patterns. For
customers who buy different products most of the time, the time taken to record there is high.
Often the representatives forget to add few products to the list.
Payment: The organization is also having issues in tracking payment related data for
each order. The customers can choose between full payment, partial payment and no payment
until pickup. Maintaining data of payment is becoming a complex work due to error prone
human intervention. Even in calculating the total payment for each pickup order is not always
right. The payment process of the organization needs to be upgraded and made automatic.
Stock Management: The system will collect and process data on inventory. The
organization needs information on what products are sold most and which products never sold.
The patterns must be based on quarterly. The organization want accurate data on how much
products are stored in inventory for sales so that it can control the sales.
Delivery: The organization wants to introduce delivery of order to the customer houses.
This can improve the exposure of business more. This way organization can have more data on
which areas, far from store, is making good amount of orders. This way Kevin will have better
idea of where a new store can be opened.

System Investigation:
Functions of Information System:
Customer Relationship Management: The system will be selling orders to the customer
and store all the order related information. The system will generate patterns for each customer
buying. This way Natural Lee will have a better information on customer demand. The
organization will generate offers based on customer loyalty and profit made from each one.
Online Payment: The customer can make payment for each order during placing order.
This payment will be done online. If the customer did make full payment during order
placement, then rest of the due can be cleared at the time of pickup or home delivery. All the
payment related data will be stored in the database.
Delivery Management: The system will control the delivery of the orders. For order
marked as deliver to home will have a delivery personnel assigned. This delivery man will have
an interface on the phone where all the details of current order to be delivered will be shown.
The due payment can also be collected from customer through this system.
Inventory Management: The system will collect and process data on inventory. The
organization needs information on what products are sold most and which products never sold.
The patterns must be based on quarterly. The organization want accurate data on how much
products are stored in inventory for sales so that it can control the sales.
System Vision Document:
System Overview: The proposed system would be a cloud based centralized system. The
system will be a web based one. Both the staff and customers will same system. One database

will record all the desired information. The system will have different interfaces for different
user types.
Deliverables: The deliverable of the system are as following. A fully functional system
that can handle client side processes. A centralized database to store data. A sub-system to track
inventory. A delivery sub-system to manage order deliveries.
Scope: The primary scope of the system is customer order management. The system
should also take payment from the customers. It will collect and process inventory data to show
right amount of stocks available.
Functional Requirements:
i. The system must have a way to authenticate and authorize users. The
authentication allows only the right person access the system functionalities. The
authorization checks whether the function requested by user is allowed for
him/her.
ii. The data storing is also an important functional requirement. The customer, order,
products and sales related data will be stored in the database. The system can
record, fetch, process, modify and delete those data using DBMS integrated into
the system.
iii. Customer order management is the biggest functional requirement. The system
should be able to record order against a specific user and process payment
regarding that order.

i. The system should be secure enough to make the payment processes unaffected
by any cyber security threat. The system should be able to withdraw most popular
online or offline security threats.
ii. The system should have a clear and easy to navigate interface. As soon as users
will learn how to use the system, they will start getting more efficient and
effective. Good interfaces will attract more customer.
iii. The system have to be up and running all the day. The maintenance works can be
carried out in the mid night.
Barriers: The primary barrier will be technology itself. The farm is not a big one to use
high end technology. However, increasing customer base needs something efficient and
effective. Choosing wrong technology may cause waste of finance or lead to project failure. The
second barrier is the staff not having any idea of how to use an IS at job.
Acceptance Criteria: The system should be accepting customer orders based on stock
presence at inventory. The system can accept payment from the customers. It can produce reports
on inventory, sales and customers. It can track delivery of orders.
