AI Summary
This report provides a comprehensive analysis of the NewAccess system, an Australian government initiative designed to provide free and accessible mental health services. The report identifies key problems within the existing system, such as the need for patients to repeatedly recount their stories to different professionals, leading to potential inconsistencies in treatment and increased costs. The report proposes a new system with enhanced capabilities, including centralized data storage, improved data transmission, and enhanced training for professionals. This new system aims to reduce data redundancy, improve system performance, and increase efficiency, ultimately benefiting both patients and the Headspace organization by providing better mental health support and reducing operational costs. The report concludes with a justification model, highlighting the suitability of the proposed system for Headspace.

Introduction
The NewAccess is an intervention programmed by Australian government created for providing the

free, accessible services to the person in depression or having anxiety. This NewAccess program is

helped the person’s those who are not retrieving any mental health treatment presently. The

NewAccess have several experienced and trained coach for supporting the people with the anxiety

and depression problem so that they can get well and come to the track again. The NewAccess

program serves the free session up to 6 times to the patients. The session includes review, an

assessment and the subsequent sessions. Patients can easily take appointment by accessing the site

of NewAccess, or through the phone. NewAccess have the focus mainly on the person aged between

17 and 25. The NewAccess system is trialling by the organization Headspace. The patient is clinically

supervised regularly and the outcomes are measured after each session. Some problems are

occurring in the system which is troubling the patients. I am assisted as the system analyst by the

NewAccess to build the appropriate system that could resolve the problem associated with the

system and people can use the services of NewAccess without troubling
(eMHPrac, 2017).
Problem description

There is some problem associated with the NewAccess program. The patient’s needs to tell their

problem and story again and again to the professionals as each time they go for the help and

support they meet a new professional. This creates a huge trouble for the patient as they have to

tell the again they forgot some points while telling their story again and the appropriate treatment

might be lack due to same. Initially when the patients makes appointment he meets the caseworker

of headspace and afterwards patients meets other staff of the headspace hospital
(Bolton Clarke,
2017)
.
Through NewAccess youth might have several problems;

Human resource problem: it is important for headspace to give a proper training to the
employee but it is a difficult task as the headspace have complex equipment’s and tool if

used in wrong manner could affect the patients come for the help.

Financial problem: as the patient’s makes and appointment and make a visit to the hospital
and every time they meet a new professional, this lead to waste of patient money and time

as the patient at long distance needs to travel so long which might cost high and leads to

financial problem.

Technology: the headspace needs good technical equipment’s as they need to enhance their
services and at the same time if the technology is not used in well manner then it will be a

problem too likewise in the NewAccess website there is no feature that can store the youth

story. The technical problem is also there in the NewAccess system (Cromarty, Drummond,

Francis, et.al, 2016).

It is recommended to build the new system that could help the youth to share their story once with

the professionals so that youth do not need to re-tell the story again and again.

Capabilities
The new system build for NewAccess will be capable of various issues and do the following that is;

Gathering and warehousing the collected information about the youth enrolled with the
NewAccess program.

Gathering the youth story and problem and warehousing the story in the NewAccess system
cloud based database that could be accessible to the professionals.

Gathering the information about the professionals and warehousing it so as to help the
youth with their problem.

Transmitting the data collected via phone or Skype or any other source.
Providing the financial benefits as the youth person doesn’t need to visit again and again to
get the help and proper treatment. With new system they will be able to get appropriate

treatment through the website of NewAccess at any location
(eMHPrac, 2017).
It will help in dealing with the human resource problem by providing proper training session
and tutorials to the professionals through the website.

The new system will resolve the technical problem as the new system designed is advanced
and meets all the requirements.

Business benefits

It is predicted that the new designed system of NewAccess will benefit the Headspace business in

following ways;

Data redundancy: the data redundancy will get reduce as the youth have to store their story
once which will reduce the similar data or story. Hence the organisation gets benefits as they

don’t need to store large amount of similar information (
Membride, 2016).
Performance: as the system becomes cloud based it will be easy to store large amount of
data on cloud which will free the system memory hence the system performance will

increase. As the performance increases the organization growth enhances.

Manual efforts: as the youth will write their story on the site it will reduce the efforts of
writing the same story again and again by the employees or professional in the organization

as the story is stored in the cloud database. It will be cost-effective for the organization to

store data on cloud and save large memory cost.

Efficiency: as the manual information is more complex process moving towards the cloud for
information handling will make the system more efficient and flexible therefore benefits the

headspace organization.

User effort: as the youth can store their story on the NewAccess new system they don’t
need to re-tell it to the new professionals they meet, as the information about the youth is

easily accessible by the professionals through new system which will increase the system

access therefore benefiting the organization by increasing their users
(myVMC, 2016).
Maintenance: the information is maintained more rapidly and appropriately by the new
system therefore facilitating new web page development.

Justification
The deployed system of NewAccess is the suitable system for the Headspace as it will benefit the

organization in several manners. Here is the justification model for the deployed NewAccess system.

Conclusion

With the support of the above assessment a problem is understand appropriately for the NewAccess

system which is trialling by the headspace organization. The NewAccess system is the very effective

program for the depressed youth to get them back on the track by providing proper training and

sessions. From the statistics approx. 70 %of the youth have got the benefit from the NewAccess

program and the professionals have helped them to come out from various problems like

relationship problems, career problems, financial problems, educational problems, and other such

problems which have caused the anxiety or depression in the youth. This system is basically built to

assist the youth having mild to moderate anxiety or depression. The project vision document for the

NewAccess contains the problem associated with the system, new system capabilities and its

benefits on the headspace organization. As a system analyst it was my responsibility to deploy the

most appropriate system to resolve the problems mentioned. I have made a recommendation to

design the one new web page that could take the other required information of the users and to

store it in the cloud based database.
