INTRODUCTION
Leader is a soul of an organization. They have major responsibilities to make their
organization the best and stands ahead form every competitor. They assign work to their
subordinates, which perform tasks to achieve company’s goal and objectives. Leader is someone
who direct, guide, coordinate, give instructions to individual as well as group of individuals.
They develop efficient strategies through which company can achieve desired success. Without
their effective coordination with employees, company cannot stand in the market as well as
cannot achieve its set goals. United Parcel Service (UPS) is a multinational package delivery
company and also provide solutions for supply chain management. It was founded in 1907 in
Seattle, Washington with Its headquarters in Georgia; U.S. its primary business is to provide
parcel service across the world. This assignment will focus on leadership, management and
administrative problem that UPS is encountering. Various activities such as proper recruitment
and selection, implementation of rules and regulations, effective selection process, etc will be
discussed to promote efficient management in the company.
TASK 1
1.1 Documentation to select and recruit a new member of staff
Recruitment is defined as a process of attracting, short listing desired candidates towards
specific job post available in the company where as selection is interviewing and evaluating best
candidates for that job from pool of applicants. Human resource department is mainly involved
in this process of recruiting and hiring best talent for company. Recruitment is considered as
positive process as it attract number of candidates whereas selection is a negative process as it
hire only some candidates. HR first list down all specification which is required to fulfill the
position of job and then they start their hiring process according to that. They require some
documents to support their process of recruitment and selection. The documents are mentioned
below; it is for financial head for UPS Company.

1.2 Impact of legal, regulatory and ethical considerations to the recruitment and selection process
Recruitment is considered as the key to success for any organization. With support of
talented and motivated staff, it ensures timely completion of all set goals and objectives.
Organization has to very careful and strict towards their recruitment and selection procedures as
this will ensure company success. Managers should ensure whether their procedure is following
all criteria and is legal or not. This process should be conducted in ethical manner and should be
according to legal framework of company. This allows preventing all type of biasness and wrong
selection of candidates. United Parcel Service needs to generate effective recruitment and
selection procedures, as they are not effective in this. They need to hire potential candidates
which can overcome their losses. While hiring candidates, it’s important for company to make a
good impression in front of them so as to hire them. This will help company to hire sufficient
candidates.
Legal and regulatory considerations involve all laws which are related to recruitment and
selection of employees. There are some acts which are framed by UK government to ensure legal
operation of work. One of the legal acts is Equity Act, this act was enacted on 1st October 2010
and helps to protect people from discrimination in terms of age, disability, race, religion, belief,
maternity, etc. in the workplace. It replaces other acts such as Racial Discrimination Act 1970,
Sex Determination Act 1975, Employment Equality Regulation 2013, etc.
1.3 Evidence yourself that you are taking part in the selection process
As I am the part of human resource department and I am responsible to carry out
recruitment and selection process for company. This is an important function of HR department
as it is mainly involved in this. Selection is a process through which particular job position is
filled by suitable candidates. Different responsibilities of human resource department in selection
process are:
Selection of recruitment and selection panel: This is duty of HR department to first select
the judgment panel as they will be hiring candidates. Panel should be effective in hiring and
selecting procedures. They should treat every individual fairly and provide equal chances to
everyone coming to them.

Recruitment and selection methods: The main duty of HR department to generate
appropriate recruitment and selection methods that needs to be conducted by staff. This
method should be efficient in performance and cost effective to company.
Time and venue: Time and venue should be decided by HR team so as to timely conduct
selection process.
Short-listing: It is most important and tough task done by HR team. They short list
desirable candidates and select which have high skills to perform that particular job. They
match specification of individual with the job position and hire according to that.
1.4 Evaluate your own contribution to the selection process in the UPS company.
As an employee of HR team, I was the one who was involved in recruitment and
selection procedures. My contribution was to attract candidates and short listing desired
individuals. In UPS Company, I was mainly dealing with hiring procedures and have to
formulate effective methods to hire best quality of candidates which can make company
successful. I have to make attractive advertisement and promote my company in front of
applicants. After attracting pool of applicants, I have to inform all my managers about
individuals which are interested to join the company. Managers go through selection process and
then they provide me with the list that is suitable for job. From that list I have to select best
candidate for job. This was my contribution in selection process in UPS Company.

2.1 Explain the skills and attributes needed for leadership
Manager of an organization is not easy and when the company is so popular, then it
becomes a tough task to maintain company’s position in market. For effective management of all
activities and people employing in UPS, manager has to be proficient enough in all areas and
should be multi talented. He should have knowledge about everything only then he will be able
to guide their sub ordinates. He is only responsible for making strategies through which company
can achieve their objectives. If manger is not efficient, then he might not able to guide their
members and may result to negative performance of the team as well as organization. Manager
should know how to lead their people as well as their company. There are many theories that
discuss about leadership in UPS and are mentioned below:

Trait theory: This theory tells about characteristics of a leader which can be acquired in
life time or might be present from birth time. Examples of some of character are
intelligence, excellence, creativity, etc.
Transactional theory: It mainly focuses on mutual relationship between leaders and their
followers.
Transformational theory: In this theory both leaders and employees help each other to
raise their levels o morality and motivation.
Manager should have effective ability to communicate and influence their employees and
motivate them to perform well. Better performance will lead to company’s growth and success.
2.2 Difference between leadership and management

do not entertain anybody at the time of strategy formulation. This leadership style is
important, when leaders of UPS have to make quick decisions for company and they
don’t have time to take advices from others. Sometime, situation occurs when leaders
have to make tough decision which is necessary for company.
Democratic leadership: In this, leader involves their subordinates in decision making
and work together to achieve company’s objectives. In UPS, leader listens to ideas and
opinions of their employees. As they are bearing losses, in that case they should hire
highly talented people and take their ideas so that they can implement is their strategies.
Laissez – fair leadership: Leader allow employees to take responsibility of making
decisions. In UPS, this style may not work as employees are not have enough experience
about market as well as competitors and they won’t be able to make effective decisions
for company.
Above were some leadership styles which are applied in UPS. Most suitable style for recent
situation of company will be autocratic style and they may also use democratic style, if they
have enough time with strategies.
2.4 Explain ways to motivate staff to achieve objectives
Leaders and managers can motivate and encourage their staff to perform well in their
respective tasks. For motivation, they can give rewards and benefits to best performer. This
will encourage other employees to work hard in their jobs. As UPS is a reputed company, it
is necessary for employees to maintain its position in market and also try to decrease losses
which company is bearing at present. Leaders can involve their employees in decision

With effective team and hard work, company can enhance their growth and achieve desired

It is very important for UPS that their employees work as a team towards completion of
any task; this will ensure achievement of business goals and objectives more effectively.
Team work is necessary as this involves many individuals to come together and work as a
group. This creates a healthy environment within organistaion and also initiate good
communication among employees as well as among superiors. Advantage of team work is
described below:
Team is able to perform more than individual can do alone. This increases efficiency of
company.
When different member applies different skills and talents toward a single task, it makes
it more productive.
Team is made up of various members and when these members come together and
apply different skills to same problem, they generate more effective solutions.
3.2 Demonstrate the importance of working in a team as a leader and member
It is responsibility of a leader to encourage employee to come together and work as a
team. This will increase results of company as well as company will gain more profits. Leader
should assign different responsibilities to members so that they should learn how to handle
different situations. There are two different types of leader, one is autocratic and other one is
democratic leader. Autocratic leader believes in giving orders to their team members. This type
of leaders is not much successful as they don’t listen to anybody. On the other hand, democratic
leader allow everyone to take decisions. This encourages creativity in employees. This leads to
proper achievement of goals and help to resolve any conflict which is arising to company. Some
of the importance of a leader working in a team is as follows:

the help of talented teams, this can be possible. Manager and leaders should be talented enough
to make effective plans so that company can achieve their desired goals and objectives.

which can help to improve company’s situation. Hiring best personnel will not only achieve
tasks but also provide company with fresh and innovative ideas which can increase their market

Monitoring and assessment of work performance is concerned with evaluation of
individuals working in UPS. There are many factors which are monitored and assessed, such as:
Learning needs: It is very necessary for a leader to know learning needs of an individual.
It acts as the factor that is used to assess the performance of employee. Every learner has
variety of skills and wants to learn those skills which are not present in them. Therefore,
manager has to evaluate those learning needs of employees before examining the
performance.
Cultural diversity: UPS is full of employees which are from different culture background
and perform their work in different manner. So it is important for manager to evaluate and
monitor their performance in fair manner.

4.2 Plan to deliver the assessment of the development needs of individuals.
It is necessary to deliver assessment of the development needs of individual at UPS. This
ensures that employee learns after assessment of their performance. Continuous learning and
development is important for employees as to remain ahead in life. This assessment can be
delivered in many ways and some of them are given below:
Motivation: It is a key which encourages employees to do well in their tasks and
produce extraordinary results for company. Managers and leaders motivate their
followers to enhance their will to learn something new. This leads to overall
development of employees also.
Delegation: If managers find out that an employee is performing well, he will try to
delegate more work to that employee. This delegation of work improves the
performance level of employees of UPS. This makes employees to understand their
responsibilities and encourage team work to improve their efficiency of work.
Assessment
It is a planned process which helps to evaluate performance of an individual working in
UPS. This gives the idea of strengths and weakness of that person that can affect the
functioning of organization. Various techniques can be used to evaluate assessment. They are
as follows:
Role play: In this a dummy environment is set up in which employees act according to
the work they have been assigned. This help in determining the skills needed to perform

performance. Both negative and positive feedbacks are crucial for growth of an individual.
Positive feedback motivates and encourages employees to maintain and improve their
performance whereas negative feedback motivates them to improve their functioning so
that they can produce best outputs for UPS.

From above assignment we have concluded that, it is necessary for United Parcel Service
Company to enhance their productivity and functioning t retain their position in the market. As
they are undergoing with some leadership and management issue, they can recruit best
candidates to increase the overall operation of company. For this HR department has to develop
better recruitment and selection procedure to improve the condition of firm. They should also
make strategies to satisfy their stake holders and to make good relationships with them. With
good leadership styles and management processes, leaders and managers can coordinate and
manage their work and employees in efficient manner. Proper strategies can lead to achievement
of desired goals and objectives of company. HR department should develop effective
performance appraisal and performance appraisal systems to motivate and retain talented
employees, so they don’t leave the company. By recruiting best and quality staff, company can
stay ahead form others competitors and achieve desired success.
