3LEADING LEAN PROJECT PPMP 20009
Introduction
In this particular project, a house builder wants to construct a house for his clients. The
client estimated AUD$500,000 as a budget (Leite, Bateman & Radnor, 2020). They are looking
for building a new home within the next twelve hours. It helps to satisfy his or her clients within
the estimated budget and timeline.
In this report, the efficiency and effectiveness of a project are reviewed and it is used to
monitor and control various purposes (Ojha et al, 2020). This report also discusses the seven
quality control tools and an efficient plan for managing the risk. It is used to describe the exact
leadership style for successful project management.
Monitoring and controlling purposes of the project
There various steps for performing the monitoring and controlling of the project. These
are as follows:
Quality control
Before handing over the house to the client, the builder must check the quality of the
house. He also verifies whether the consumer is satisfied with this quality or not. For
measuring the quality of a building, the contractor can check the quality with the help of
various tools and techniques (Pérez-Vallejo & Fernández-Muñoz, 2020). For doing this,
the contractor can check the quality of the soil. It varies from place to place. He should
also check whether the soil can bear the house construction project or not. He also
ensures some safety measures regarding this house building project.

Verification and controlling of the scope
The verification of the scope of this project can be performed with the help of the
quality perform. When the deliverables of the project are accepted by the quality control,
it will be forwarded to the scoping stage (Rybakova, Vinogradova & Sizikova, 2020).
The consumer will verify the scope of whether the deliverables meet the total
requirement. If it is correct at that point then the deliverable will be transferred to the
consumer.
Controlling of schedule and cost
It is an important factor for this type of project. With the help of Earned Value
Management (EVM), he can control the schedule as well as the expenditure of the
project. He already has an idea regarding the Cost Performance Index and the Schedule
Performance Index (Weston, 2020). It is totally based on the overall, result of the CPI and
SPI. With the help of these, a builder can perform and construct various projects
Reporting of performance
As it is a construction project and it is also a large project then it has various types of
stakeholders and the contractor needs to provide the status of the project to the
responsible stakeholders (Tobing, 2020). The contractor needs to update the progress
report of a project and also forecasting the project.
Controlling of risk
In this type of project, the risk is a great factor (Sharma, 2020). The contractor of the
project has not right to say that he can check the risk of the building project at the time

monitoring and controlling phase. He should perform continuous monitoring of risks
from the initiation of the project.
Administrate the procurement
If the builder is taking the subcontracting from any third party, he should monitor
their performance also (Rybakova, Vinogradova & Sizikova, 2020). Based on this,
project fate must be detected. He should take it very seriously. It is also the responsibility
of him to monitor and control the work of various sub-contractors assigned in this
project.
Seven quality tools
For generating the vendor performance data, seven quality tools are very useful. These
are as follows:
Pareto Diagram
Pareto diagram is an utensil that helps to arrange various items. It is performed for
the contribution and identification of the maximum influence. It is used for the SPC as
well as for quality improvement (Pérez-Vallejo & Fernández-Muñoz, 2020). There are
various corrective teams for resolving various issues. Following are steps which are used
to prepare for the Pareto diagram:
From the available data, the calculation is performed based on the individual item
(Pérez-Vallejo & Fernández-Muñoz, 2020).
In this case, all the items are arranged in the descending order for their various
contributions (Ojha et al., 2020). If there is more than one item that contributes
Document Page
6LEADING LEAN PROJECT PPMP 20009
more than one item in a small percentage then they can group them as others. It is
quite obvious that others are contributing more than one items and it is kept at last
position for the others.
These are listed in table format and their contribution is only for absolute
numbers.
After that, X and Y axes are drawn (Leite, Bateman & Radnor, 2020). Many items
are highlighted in the X axis. It has two Y axes. One is used to represent the left
numbers and the other is used to represent the percentage contribution. The scale
of the X-axis is chosen in such a manner that all materials of the project are
included in between two Y axes. Scales of the Y axes are chosen in such a manner
that the entire materials present on the left side and right side engage a similar
height.
After that, bars are drawn which is used to represent various contributions for
every item.
At the end of every item, point plotting for various contributions is performed
(Muo et al., 2020). The easiest procedure of doing this is to draw bars for second
item and for every following material at every normal place in X-axis. This bar is
situated at the top level in the dotted lines. The drawing of second bar is not
normally suggested inside materials.
It is used to provide connectivity to all the points. If there is an extra bar then it
becomes very simple (Kiruthu, Nyaga & Opollo, 2020). The most efficient
procedure is to perform the connection between the diagonals of the bars to the
origin.

Chart is prepared for explanation and slope of the chart is modified at a similar
point.
Cause and effect diagram
It is an utensil that is used for the systematic relationship between the outcome and
effect. It helps to determine the possible reasons (Sawaean & Ali, 2020). It is not at all
efficient for the proper generation of various ideas regarding the reasons for the various
issues. It is used to represent a structured form. It is also called Ishiwaka Diagram.
Following are the steps to draw cause and effect diagram:
At first, it is to be agreed on the definition of the “Effect” for which reasons
are detected. After that, it is placed inside the dark box on the right-hand side.
Identification of the main groups for reasons (Jahani et al., 2020). It can
be drawn inside the boxes and it is used to connect these with the help
of a large amount of bones to the backbone.
Brainstorm is used to search for some probable reasons and some
subsidiary causes of this house construction projects (Horsfield, 2020).
It must be made sure that the path from the cause to the effect is
correctly drawn. The path will be initiated from the main reason and
end at the effect.
After completion of all the major groups, more brainstorming can
avoided in earlier.
If the diagram is finished then it highlights many importance for the reasons
and shortlisted the main reasons.
Histogram

8LEADING LEAN PROJECT PPMP 20009
Histogram diagrams can be represented as bar charts and it is use to highlight the
various observations and it is used to arrange for the magnitude (Holmgreen, 2020).
These are very popular for examining the patterns of this project.
Control charts
In this type of project, the variable is totally immanent. These variables are due for
two reasons:
Reasons for non-protectable probability
Allocated reasons (can be predicted)
These charts can be separable with the help of assigning reasons. A control chart is
used for the diagnosis and the correction related to the problems of various productions.
It gives various modifications related to the quality of the project and it helps to decrease
the escalations (Harwardt, 2020). It highlights when to leave the procedure alone. Control
charts are of four types- p chart, np chart, c chart and u chart.
Scatter diagrams
At the time of resolving a situation, the builder requires to know the relation between
two variables. A relation may or may not exist between two variables (Gupta et al.,
2020). If there is a relation then it may be positive and negative, may be strong or weak.
A tool that is used to perform these tasks is called the Scatter Diagram.
Graphs

9LEADING LEAN PROJECT PPMP 20009
Different types of graphs are utilised for the pictorial representation of various data of
this house building project (Graham, Nikolova & Sankaran, 2020). It helps the builder to
view very quickly of these data.
Check sheets
Check sheets need to be planned in such a manner that both are relevant as well as
comprehensive of various information. It is used for collecting of data. These are totally
related to the accurate design for collecting the type of data. Check sheets are used for the
gathering of systematic data (Ferrari, 2020). There are many examples of check sheets-
maintenance check sheets, attendance records, production log books and many others.
The collected data with the help of check sheets can be divided meaningfully
Risk management plan
There are many top rated risks for the house building project. These are as follows:
Risks in the procedure of the project management
A resource management of analysis in the form of various types of utensil,
materials, and employees is the initial step of this project (Abas et al., 2020). If the
builder defines the project appropriately then he or she needs to allocate many
responsibilities. He can able set an actual time frame for this project. There are many
obstacles they may occur during the execution of the project.
Financial risks

Budget overrun may be another major risk for this project. It can be a biggest
threat for this project as well as employees associated with the project. This type of
risks is entirely dependent on the actual location of the construction project
(Alshammari, Yahya & Haron, 2020). Following are some potential factors for those
risks.
Tax system of the local authority
Rate of currency
Inflation
Legal risks
Contracts can have some serious issues in case of building construction. For
that reason, the builder needs to provide an extra time for the project and they are
giving some extra effort for doing this.
Safety risks
In this type of project, accidents can be a great factor. Workers may get
affected by the accident at the time of the construction of the house (Amran et al.,
2020). It hampers the smooth execution of the project.
Environmental risk
In this type of project, natural disaster can be big deal (Ferrari, 2020). It
hampers the smooth progress of the project.
When the risk management team is able to determine the severity of the risk then they
will follow some guidelines:
Document Page
11LEADING LEAN PROJECT PPMP 20009
They can detect the kind of issues occurred at the time of building the house.
They can identify who will be affected by this project as well as the impact of the
progress of the project.
They can calculate the number of risks that may highlight if the issue happens.
They can take some steps that need to be applied for resolving the issue.
They can able to calculate the remaining risks.
They can make list of all the outcomes from the risk assessment.
They can implement many contingency plans while the previous plans are not
working.
They can able to review and revise all the required steps in the entire project.
The risk management team performs all these tasks very carefully so that there are some
risks present within this project (Amran et al., 2020). No one can give the consumer a guarantee
that this project will be working successfully and it may have a huge amount of risk. If the
builder gives appropriate planning in the place then this danger is always present. There are some
simple activities which may create major problems.
There are four things that the builder can implement while resolving the risk. These are as
follows:
Avoiding the risk
For avoiding the important risks, the builder can avoid those risks because
these are high rated risks (Graham, Nikolova & Sankaran, 2020). It is very safe
option and it is highly recommended. It happens when the management team thinks
