Email to the College Chief Executive Officer
To: Chief Executive Officer (CEO)
Date: August 8, 2019
SUBJECT: REQUEST FOR THE APPROVAL OF NEW POSITIONS IN THE COMPANY
I would like to write to you this email to inform you about the new changes that are currently
going on in the college and request for your approval. As the college’s CEO, you are privy with
the on-going expansions at the college. For the last one year, we have been establishing a new
campus in which we plan to enroll an additional 300 students. For us to achieve this, the
management has invested lots of finances to fund the new institution to ensure that it has the
state-of-art facilities, and personnel.
Following the expansion, we, as a department, have made decided to create for additional
positions in the college. The proposed positions include the campus principal, deputy principal,
registrar, accountant, librarian, academic officers, researchers, and the head of departments. The
justification for the establishment of these positions is that they are necessary and cannot be done
without. The new campus must have all these professionals because they are the ones who will
be responsible for the day-to-day operations of the teaching, learning, and administrative duties.
The campus principal will be responsible for all the affairs of the new campus (Kang & Shen,
2017). Each of the other departmental heads will be in charge of the running of their respective
departments within the campus. However, all these employees will have to be answerable to the
college administration.

It is my pleasure to request your office to approve these new positions. The decision to create
them was made in line with the college’s Recruitment and Selection Policy and Procedures,
which advocate for fairness, transparency, accountability, and organized hiring and recruitment
process. The creation of these positions relies on your approval (Nielsen, 2015). Your approval
means a lot to us because without it, we might not have the goodwill it takes to expand the
college and equip it with the right and most desired caliber of personnel who recruitment will be
done rightly. Thank you.

To: Human Resources Manager (HRM)
Date: August 8, 2019
Subject: Request of Information for the New Positions
I am writing to you this email to reach out to your office and deliberate over the issue of the
recruitment of the new personnel for the college. As we are aware, King Edward VII College is
currently in an expansion spree. We are opening a new campus which we hope will enable the
college to accomplish its long-term goal of availing high-quality specialized college education
services to everyone within their reach. Following this, a decision has been made to expand the
college’s workforce.
In compliance with the institution’s Recruitment and Selection Policy and Procedures, it has
been agreed that the new positions of the campus principal, deputy principal, registrar,
accountant, librarian, academic officers, researchers, and the head of departments is to be created
for the new campus. These are some of the personnel that must be available for the new campus
to be fully-operational. However, as a concerned stakeholder who is interested in knowing about
all these, I would like to take this opportunity to request your office to equip me with enough,
detailed, and comprehensive information on these personnel.
Kindly, let me know about the job description, duties, and responsibilities, professional,
academic, and experiential qualifications for each of these personnel. Al this information is
important because it will enable us to know more about these staff. It will make us to determine
if the hiring process is, indeed, done in line with the college’s Recruitment and Selection Policy

and Procedures (Roylance, 2016). At the same time, it will make it for us to ascertain if actually
the specified personnel are required in the new campus. Last, but not least, it will enable us to
assess if the recruitment criteria will make it possible for the college to get the right professionals
who will manage the institution, train the learners, create a new content and jealously guard it by
applying the most suitable Intellectual Property rights. Thank you.

Email to the College Administrator
To: College Administrator
Date: August 8, 2019
Subject: Procurement Procedure for the New Campus Equipment
It is my pleasure to write to you this email to give you detailed information on the equipment that
re supposed to be acquired. The new purchases should be done following the expansion exercise
that is currently going on at the college. The establishment of a new college campus has
necessitated the need to acquire new equipment that include the furniture, books, journals, beds,
bedding, generators, buses, stationery, cars, kitchenware, Information and Communication
Technology (ICT) infrastructure like software, desktops, servers, routers, and many others
(Flynn & Davis, 2016).
The new equipment is necessary because they are required for the smooth running of the new
campus. They will help in the discharging of administrative as well as the teaching duties. They
will also help in supporting the provision of all the services that will be rendered in the new
campus. This is a clear justification that the facilities will benefit all the stakeholders including
the administrators, employees and the learners (Monczka, Handfield, Giunipero & Patterson,
2015). Hence, to ensure that the equipment functions well, high-quality, efficient, durable, and
cost-effective ones will be purchased (Roylance, 2016). This will be accomplished through the
application of the King Edward VII College Purchasing Policy and Procedures which emphasize
that the procurement process should be done by following the right procedure that encompasses
accountability and transparency. That is why, apart from recommending the above equipment,
we insist that the purchasing process must strictly comply with the institution’s Purchasing

Policy and Procedures (Honigsbaum, Richards & Ham, 2018). It is the surest way through which

learning. Thank you.
