Dear Chris,
This is to inform you that there are no needs to get worried since our organization will be able to
provide you with the project on time. We are completely are of your urgency to receive the tank
within 3 weeks. The delivery of the tank is highly essential since your company needs to receive
4 million litres of Aviation furl from the rescheduled shipment. We are also aware o the fact that
any backup tank will be unavailable to for another 12 weeks and as a result failure in delivering
the tank within 3 weak will result in a loss of revenue of 2 million dollars. As you have been
informed, our institution has faced an issue for which the scenario of not being able to deliver the
project within the stipulated deadline has appeared. As per our previous master schedule, we had
planned to work on the tank in another 5 days. According to our estimation, the project would
have been completed within the next 10 days. However, the problem of time management
occurred when the project got delayed for 10 days due to the fault discovered in other tanks at
the site. Due to this huge delay, we were initially afraid that we will not be able to complete the
task within the deadline. However, we have rescheduled our plan to deliver your tank within the
deadline. In this letter, we are informing you about our new schedule that has the capability to
assure you that your tank will be delivered within the stipulated time.

Step 1: Considering the fact that the project has already got delayed due to the above-mentioned
factors, we have reworked on our schedule to make a new project plan. To minimize the time
required, we have focused on the high-value activities. In order to complete the task within the
time, it is highly crucial to resist the temptation to clear smaller and unimportant temptations
first. Hence we will start with the tasks that are most important when it comes to construction of
the tank.
Step 2: Considering the fact it is highly crucial to minimize interruption of any type in order to
handle the already delayed project, we have instructed our employees as well as co-coordinators
to ensure no other project is taken within the stipulated time so that the staffs can concentrate on
the above-mentioned project.
Step 3: Usually, our employees are used to multitask on several projects in order to manage the
deadline and enhance the productivity of the organization. However, since we are working on
your project which needs to be delivered on an emergency basis, we have informed our
employees to concentrate on the above-mentioned project only. Concentrating on your project
will ensure the enhancement of quality of the project.
Step 4: Finally, in order to complete the project within time, we have employed additional
employs by paying them an extra salary.
Hence it is a commitment from our side that no issues will be faced by you regarding the
delivery of the tank.
