Planning of health and safety events is done in the presence of all group members such as
Cristina, Patricia and Asheena. Along with that, Gintare will also be included in the group
meeting under which they all will come to know regarding issues which are being faced during
management of health and safety event (Adler and Mautes, 2014). For the sake of effective
communication among each team member, different aspects like talk up the event in elevators,
email messages and to set up a table in the cafeteria and leaving some flyers at the front desk are
ensured (Mollica, 2012). It will be effective for each member to communicate their issues and
accordingly, solution can be drawn in accordance with mutual discussion. Here, operation
manager conducts formal and informal meeting for each day where issues raised by all are
recorded (Carman and et.al, 2013). Some of them will be sorted out on the spot and some critical
of them will be taken into consideration.
TASK 4
In order to manage the health and safety event, effective following checklist has been
prepared. The checklist reflects that all team members will ensure effectual management of
event’s responsibilities (Dower, Moore and Langelier, 2013). For this purpose, role of each team
member is clearly decided in advance. As per this, Cristina will play the role as in-charge of staff
management and Asheena will fire assembly point. Furthermore, Gintare will work as in-charge
of ensuring that whether the equipment is working and safe or not and she will also perform the
work related to toilets and lights lifts that whether all are in perfect manner or not (Price, Doucet
and Hall, 2014). Here, all team members will attend the meeting of 10 minutes just to discuss
everything in the light of checklist (Gunn, Menzies and Block, 2014). At the same time, it will be
checked that whether everyone is doing his/her job properly or not. In meeting, issues related to
lack of coordination can be identified which will be resolved by assigning more duties and
implementing strategies to personnel. For example, operation manager or head of team will
regularly message to each team member for better coordination (Jiang, Boutwell and Andres,
2016).
