INTRODUCTION
Event planning is a process of planning an event and determination of activities that will
be carried out while organising event. This involves determination of place, and people who will
be participating in event. This report aims at discussing marketing mix of event and its human
resource requirements and financial details for event that will take place at metro Bar, Luton
Campus, University of Bedfordshire. The planned event is Quiz which will be held at Metro Bar
and entry to quiz will be through tickets. Quiz will be about general knowledge and will include
university students. Considering capacity of Metro Bar only 200 will be allowed for participating
in quiz. This report will involve marketing mix that involves marketing strategies for planed
event and will involve analysing human resource requirements and financial details for event
planned.
MAIN BODY
Marketing Mix
Product- In this product offering is even that is being held at Metro Bar, Luton campus,
University of Bedfordshire. This event is a quiz based event in which participants will have to
answer questions that will be asked in quiz and these questions will be based on general
knowledge and subject specific knowledge of participant. In order to participate in quiz
participants will required to register for quiz and will be charged fee for their participation. In
addition to participants viewers will also be at the quiz and their entry will be based on tickets
(Jaelani, 2017). In relation with participation in quiz this quiz will be held in three rounds and
those who qualify first round of quiz is will participate in 2nd round of quiz and those who qualify
in second round of quiz will participate in third round and winner will be decided in third round
of quiz. Winner of the quiz will be awarded and other than winner certificate of participation will
be given to every participant off quiz. In addition to this second and third winner of quiz will be
provided a specific certificate and also so will be awarded.Viewers will also be provided with
soft drink and snacks during quiz.
Price- The quiz event being organised at Metro Bar, Luton campus, University of Bedfordshire
will charge fee from participants and views will be allowed on the basis of tickets. The recharge

from participants and money that is being collected through tickets will be used to cover cost of
event and additional income through this will be used for donation to local Charity organisation.
Organisation of event incur significant cost and its cost will incur inform of advertising the event
renting facility cost incurred in staff food and beverages. In addition to this event will also give
prices to winner and this cost will also be covered through money collected from fee and prices.
This event will be included in magazine that is published by University of Bedfordshire and
winner will also be covered in article (Rinallo, 2019). This is one of the reason that fee is being
charged from participants because participant who will win quiz get a very big opportunity to be
included in magazine of University. Other than this university of Bedfordshire is one of the
largest higher education institute in country and being included in magazine of university is a
very big achievement for individual. This will also add value in their achievements.
Place- Place for this event is Metro Bar, Luton campus, University of Bedfordshire. Other than
this pre event activities will be done online. This means that registration of quiz will be done
online and through event organiser. Tickets will be sold by both event organisers as well as
online. In order to register or buy ticket through organiser people will require to directly
contacting number through the phone number which will be provided in promotions of event.
Because only students of University of Bedfordshire be allowed to participate in and as well as to
become audience at the event the event is planned to be organised at Metro Bar Luton campus
(Ashe-Edmunds, 2017). This place is perfectly suitable considering the audience for the event
and then this organising event at Metro Bar will also facilitate targeting audience and attracting
them for the event it. Organising an event at Metro Bar will also facilitate it for audience to get to
the place of event without any difficulty.
Promotion- Promotion of event will be done by different medium and because the event is being
planned for students of University of Bedfordshire website of college is best option to
communicate with audience for event. In addition to communicating through website of
University this event will also be promoted by communicating directly to students and this
information will be communicated indirectly by posting it in different social media groups that
students use. In addition to social media group of students social media link of University and
social media link of metro Cafe will also be used to promote event. In addition to this online
Communications the event will also be promoted offline by giving templates to students and

through information Board of University. Information in promotion will include information for
becoming participant as well as information for becoming a viewer of the event. This is aimed at
providing clarity two students and audience so that they can make decision whether they capable
of participating. Selection of different channels has been done to make sure that every student
and potential audience for participant has information about the event being organised (Steve
Milano, 2020). In addition to this some of the volunteers have also been selected who will
communicate information about event to students.

requirement also include people for cleaning venue before and after event. Staff for this event is
working staff of Metro Bar and will be hired for event on the basis of requirement of event.
Process- Process for this event includes process of registration in this once student has registered
for event they will be provided confirmation from event organiser. Another process included in
event is buying and selling ticket (Pulido, 2018). As only 200 people can be there at Metro Bar
tickets will be provided to 180 people because 12 members will participate in quiz and some
other people including organiser and host of event will be there. As the event is a quiz event one
of the key process of this is preparing quiz and its functioning. In addition to this process for
event also include hiring place for event hiring staff and promotion for event.

will create income around £1800 and registration fee from participants is £360. Both these
sources are likely to create a total earning of £2160.
In this break-even point is £1633, this is because this is total estimated expense of the
event and in order to achieve this break-even point organiser will require to sell 128 tickets for
event including registration fee from 12 participants. In addition to this income from this event
will be its profit that will be donated to local charity organisation.

On the basis of above discussion, it can be concluded that effective planning and success
of organisation it is very important that event is effectively planned considering all elements of

that are likely to be considered during marketing of event. Marketing mix facilitates knowledge

evidence and what process are included in successful organisation of event. Later report included
human resource requirements for the event for pre and post event activities. This involved
discussion regarding roles and responsibilities of different staff in relation with event. Later
report involved financial details of the event, including estimated expenditure and income from
the event. In its financial details break-even point was also discussed it is a point where income
covers all expenses of event and additional income is profit generated from the income.
