A conversation of two or more people come together to discuss one or more topics that
are related to formal and professional business purpose called as meeting.
Types of Meeting
Committee meeting- When a group of people of an organization come together to make
conversation on specific topic is known as committee meeting.
Investigating meeting- The entering and exit interviews are normally considered as the
investigating interview (Johnson, 2017. This type of meeting conducted between interviewer and
representatives.
kick off meeting- In this meeting client and working team come together to discuss about the
roles and responsibility of each team member.
Town hall meeting- The general and informal public gathering are normally considered as town
hall meetings.
Work meeting- Board meeting, management meeting, staff meeting and team meetings are
considered as work meetings.
Purposes of meeting- The purpose of meeting is to make conversation or discussion on
particular topic to generate specific output.
Objective of Meeting- The objective of meetings is to make a decision on specific topic in
organization to solve related problems.
Background- The traditional meetings are conducted face to face in board rooms and hotels. In
current time this meeting are also organized through Skype, and video conferencing.
1.2 Members and Participants of meeting
In the professional meetings the people of organization and clients are included to make
discussion over working, processes and product & services of organization. The different
participants of meetings are the chairman of organization, the head of meeting, representative of
clients and organization, representative of government body, delegation of other companies,
organizer of meeting, resource manager and other responsible people are mainly part of
professional meetings. This all people are important part of meeting to make it efficient to
achieve the goal of meeting.

To make a meeting productive and well organized organizer have to reduce the conflicts
and issues during the meeting. This can be achieved by performing different practices during the
meeting.
Depersonalizing- the meeting should be based in the subject not on emotions. By keepin the
meeting stick to plan can minimise the conflict in meetings.
Effective Conflict Techniques- By making points to provide direction to meeting can help people
to stay on topic and goal of meeting.
Remove Threat- By reducing threat of people or authority to provide chance to all participants to
put their point.
By using these methods conflicts and issues can be reduces for professional meeting.
3.3 Effective Meeting and Ways of Improvement
A meeting can be considered as an effective meeting when the whole process of meeting
completed through pre decided procedure and where the participants of meeting are stuck to
subject of topic (Horgan, 2017). This type of meeting can be considered as an effective meeting.
Effective meeting can help the organizer to address proper subject and goal of the meeting.
The different ways to improve the efficiency of meeting can be done by writing the
process of meeting, provide the guideline and structure of meeting to stick to the plan. By
providing proper briefing to the participants a meeting can be made effective.
