Task 1: Project status report
1.1 Project integration management
The scenario reflects that in spite of the planning in the project, it is reflected that the
entire project faces a number of scope changes within the project from the starting of the
project. It is analyzed that this generally resulted in several challenges within the project as
the project plan needs to be changed from time to time. In order to resolve this issue, the
project manager must take the responsibility of successfully managing the work of the project
effectively [1]. The project manager must focus on effective steps such that the scope
changes within the project can be effectively managed or handled in the initiation, execution
as well as planning phases of the project.
It is found that in order to deal with the scope changes within the project, it is quite
necessary to understand the changes that are needed within the project in order to ensure that
whether the changes are really needed for the success of the project or the project can be able
to achieve its goals and objectives without that change in the project [4]. It is found that the
after verifying the need of the change within the project, it is quite important to determine
how the change that will be implemented within the project will create impact. If the changes
in the project impact the project negatively then the changes within the project must be
avoided [2]. Thus, it is found that the changes within the scope of the project can be avoided
to some extent if proper review is done on the impact that will occur on the project after the
change will be undertaken. In addition to this, the changes within the project must utilize
proper formal procedure that must include proper decision making procedure that generally
helps the project stakeholders in making proper informed decision.

In addition to this, it is found that scope changes within the project should be avoided as
most of the time changes within the project scope negatively impacts the project and this is
because both the time and budget of the project gets increases. The steps that the project
manager generally follows for avoiding the changes within the project it is very much
necessary to undertake a number of steps [3]. The first and the most important steps are to
document the requirements of the project quite effectively. This step is time-consuming to
record the requirement but it is necessary to know the requirement so that the project
requirements can be prioritized as per the needs as well as demands. After understanding of
the project requirements, it is very much necessary to set up proper change control procedure.
Setting up proper change control procedure reflects proper review as well as approval of the
project changes [12]. The changes that are needed in the project should be reviewed for
analyzing its need and after proper review, approval for the changes in the project is generally
provided.
Thirdly, development of project schedule is helpful in avoiding scope changes. It is found
that by utilizing the requirements for developing proper detailed task lists of the project are
generally needed for delivering the entire project quite successful such that it will be able to
reflect all the needs of the project with proper time when the activities associated with the
project will generally get completed [4]. By using the schedule of the project, the project
manager generally can cross reference against the requirements for making sure that they
have added everything as per the requirement and the project will accomplish its objectives.
After the entire schedule is outlined, the contingency related with the planned project is very
less. In the last step, it is important to verify the scope with the project stakeholders.
Checking the scope helps in providing understanding about the requirements [1]. Meeting

functionality within the information system that is implemented, it is quite necessary to
analyze the need of the functionality and how the addition of a new functionality will create
changes on the scope as well as budget of the project. After analyzing the impact, the changes
will be sent for approval [3]. The steps that are elaborated are quite useful in avoiding the
scope changes within the project and generally help in achieving the goals as well as
objectives of the project quite successfully.
Task 2: Project management plan
2.1 Risk management plan
As per the situation, it is found that there is change within the regulatory that is
creating impact on the wage rates of the project cost and therefore the total budget on the
project generally get enhanced by 15% and additionally this is not accounted for as a risk.
This situation should be handled by the project manager by properly implementing the risk
management plan. It is found that for managing this situation, the most important task that the
project manager needs to undertake is to identify the places where the costs of the project can
generally get reduced [5]. It is found that the technique of cost management is mainly
concerned with the procedure of planning as well as controlling the budget of the entire
project and it must include a number of activities including proper planning, budgeting,
estimating as well as controlling the project cost such that the entire project gets finished
within the approved budget [7]. It is analyzed that cost management mainly covers the entire
project life cycle starting from the initiation phase to the closure phase that further helps in
measuring the actual cost performances.

handled. For properly managing the project within the assigned budget, it is quite important
to create proper planning of the resources, make proper project estimation as well as proper
steps for controlling the cost of the project. Proper planning of the resources is required in
this situation so that the resources of the project get properly managed and the project
manager will generally get idea about the places were the project budget can be reduced.
Once both the resource types as well as quantities of the needed resources are known then
proper estimation about the required budget can be made. Moreover, utilization of proper cost
estimation technique is helpful in predicting the cost in order to perform the different types of
activities of the project quite effectively [6]. In this project, bottom up estimation method
should be used to analyzed the needed budget after the changes within the wages of the
resources has been done. This helps in providing clear overview about the extra amount of
budget that is required to be managed.
After this, cost control procedures must be utilized. Cost control is mainly concerned
with the measurement of project variances from the cost baseline of the project in order to
take proper corrective action for achieving the minimum cost for the project. Proper
procedures are needed to be used for properly monitoring the expenditures as well as
performances against the entire project [11].The different types of changes within the cost
baseline must be recorded and the amount that is needed for the project should be forecasted.
Cost control software tools can also be used for defining the cost control procedures as well
as for keeping the track on the budge expenditure.
The increased budget of the project needs to be effectively controlled by using a
number of steps so that the entire project gets finished within the assigned budget. There are a
number of tips that needs to be followed in order to control the cost of the project

arrange the extra amount that is forecasted to be needed due to changes in the wages of the
staffs. In addition to this, it is found that tracking the cost on weekly basis is necessary for
making sure that the entire cost of the project is on track and it will get completed on time.
One of the most important techniques of controlling cost which can be used within
the present situation is the utilization of earned value management. It is found that the use of
EVM helps in reflecting the variances between the work that is planned and the work tht is
mainly executed. It is found that a proper resource loaded schedule generally helps in
allowing for calculating the cost that is estimated and the cost that is now needed ad also
helps in reflecting the differences [5]. Additionally, it is found that the risk associated with
the financial management that generally arises within the project should be managed by
tracking the expenditure on daily basis. This helps in avoiding extra expenses and leads the
project to complete within the budget that is estimated during the initial project plan
development.
Moreover, review as well as revising the cost as required should be done for handling
the project effectively .Moreover, the concept of risk management should be utilized so that
the risks that occur due to increment within the budget of the project generally get completed
successfully. It is very much advisable to constantly review the cost as well as other types of
financial information that is related with the project [11]. Providing reports on the finance of
the project on regular basis will also keep the project cost on track ad nay changes within the
budget can be identified in the initial stage and thus appropriate actions needs to be taken
order to resolve the issue effectively [12]. It is found that proper management of the project
budget is generally helpful in managing the project within the assigned budget and the
