INTRODUCTION
Project management can be defined as a process which includes application of
appropriate skills, knowledge, tools and techniques for managing different activities for
attaining all requirements of project planning (Goodman, 2012). The current research
project is based on project which focuses on the management of a music festival on
specific date. Report will focus on the development of project plan including
management of scope, quality and different activities. Study comprises Gantt chart,
Network diagram, Work breakdown structure and risk assessment sheet for managing
and arranging music festival in effective manner.
PART 1: PROJECT PLANNING
1. Project Background
The current project is based on music festival and regarding this project manager
needs to develop a project plan for one day music festival in Local Central Park. Project
manager will play appropriate role in developing a whole project plan. Role of project
manager include appropriate selection of music artist and make arrangement of the 300
audience. Along with this, manager will play significant role in managing all activities of
project planning till 8th April 2016 because music festival will be held on 9rth April 2016.
In addition, manager of project is accountable for allocating role and responsibilities
among different team members (Holzmann, 2013). Appropriate communication and
motivation among team members, management of cost and time are also considered as
major roles of project manager for the current projection.
2. Objectives
Goal:
“To develop a project plan for organizing a music festival on 9th April 2016 in
Local Central Park UK”.
Objectives:
 To develop a project plan including different activities with appropriate duration.
 To manage available time, cost and human resources.
 To estimate appropriate time for completing whole project plan.

 To manage different types of risks associated with the project planning of music
festival.
3. Scope
Scop management can be defined as a process which is required to ensure that
project includes all the activities and work to orginize the music festival sucessfully
(Thun and Hoenig, 2011). Scope management process includes different stages which
are described as under:
3.1 Initiation analysis
It focuses on the relating the whole organization to start the next step phase of
the project. It includes different attributes such as constraints, assumptions, selection
and strategic plan, etc.
 Constraints: Major constraints of the current project include predefined dates for
start and completion, budget and fixed schedules are the major constraints for
this music festival.
 Assumptions: Project manager will have all the resources which are required for
scheduling the current music festival. Along with this, every human resource will
complete their roles and responsibilities non time is also one of the major
assumption of this project (Rejda, 2011).
 Selection: Financial return and perception of the audience by this music festival
is the major selection criteria of this project.
 Strategic plan: Project manager will develop an appropriate strategic plan for
managing all activities of this project on time (Turner, 2014).
3.2 Scope planning
Project manager develops an appropriate statement of the scope management
which will comprise the description of the project, benefits of the music concert and
entire plan for completing this event on time (Martin and Guerin, 2006).
3.3 Scope definition
Scope definition can be presented by the work breakdown structure because it
includes all the major activities and requirements of the music festival planning.

3.4 Scope plan analysis
Analysis of the scope planning can be conducted by determining the work result and
documentation of the whole music festival.
 Scope statement: It will comprise the major outputs and results of the music
festival and all specification of the project plan (Levy, 2009).
 Scope acceptance: Acceptance of the whole plan by the client shows the formal
acceptance of the project plan.
3.5 Scope change control analysis
It helps in determining all factors which can influence the whole project plan and
scope of the music festival.
 Change control system: There are different factors which can influence the
scope management plan which comprise government regulation, technology
changes, availability of materials, etc.
 Performance management: Project manager will analyze the actual
performance of the project on the basis of the final outcomes (Yang, Chen and
Wang, 2012). Along with this, performance of the music festival is also
associated with the completion of every activity on time and budget which will
also help in improving the overall performance of the project plan.
4. Activities and Work Breakdown Structure (WBS)
Project plan of music festival will comprise different activities which will help in
completing whole project in effective manner. It includes selection of the appropriate
music artist, arrangement of resources and proper documentation of the whole project
planning (Walker, 2007). Different activities of the current project are described as

4.2 Work breakdown structure (WBS)
WBS is an important tool in which project manager break the whole project plan
in separate activities. WBS shows relationship between these tasks and activities (Lam,
2014). WBS for the current music festival is given as under:

Critical path analysis helps in determining the longest path for completing the
whole project (Kloppenborg, 2011). Calculated duration by this path is considered as
minimum duration for this project. Critical path for the current project plan is as follows:
2-3-4-5-6-7-9-10-11-12= 2+5+5+4+5+7+7+8+5+2= 50 days
According to the above critical path, project plan for music festival will be
completed in 50 days.
5. Project Quality Plan
Project quality plan can be defined as a specific process which includes different
activities, standards, tools, processes which are necessary to achieve quality in delivery
of the project. For managing quality in this festival manager will assure about the
appropriate arrangement of sitting of 3000 audience (Develop Quality Management
Plan, 2015). Including this, manager of the project will develop specific standards for
maintaining quality such as number of audience, number of financial collection, etc.
these standard helps in determining and assessing quality of the project in effective
manner. Along with this, reducing wastage and appropriate allocation of roles and
responsibilities will also help in improving quality of this project.

PART 2: GANTT CHART
Gantt chart can be defined as tool which shown graphical presentation of every
activity of music festival with starting and ending time. It helps in monitoring regular
progress of the project (Zwikael, 2009). Gnat chart for current project is presented as

PART 3: RISK MANAGEMENT IN PROJECT PLANNING
Risk management can be defined as a process of assessing and managing
different types of risks associated with the project plan of music festival. There are
different tools and techniques which can be used by project manager for identifying,
evaluating and managing risks. These tools include risk management register, risk
matrix, etc. Project manager will use appropriate process for assessing and managing
risk of music festival planning and different stages of this process are risk identification,
quantification, response and monitoring and control, etc. These process has disclosed
different uncertainties which are described as follows:

 Scheduling risk: It is the major risk which is associated with the project
planning. As per this risk project manager can decide the wrong schedule for
different activities of the project (Pinto, 2013). It will affect the start and end date
of each and every task. Therefore, it can delay the whole project and its
outcomes. In the current project planning project manager has used different
tools for scheduling such as Gantt chart, project evaluation and review
techniques. These methods helped in deciding appropriate duration for every
activity of the project. Along with this, it has also helped in developing project
plan of 50 days which has completed on 8th April 2016.
 Estimation risk: It is also related to the estimation of the project completion time.
As per this, wrong estimation of the project can affect the music festival. It can
directly affect the completion time and total duration of project plan. So, for
mitigating the negative impacts of these risks project manager has used the
critical path analysis method which has helped in determining the longest path
and minimum duration for completing the project of music festival (Risk
Management Planning, 2015).
 Resource risk: It is also one of the major risk of this project which can affect the
project planning. Inappropriate allocation of roles and responsibilities and lack of
skills and knowledge among team members can delay their activities which can
affect the whole project planning. So, for mitigating this risk project manager
hired only those personnel which have appropriate skills and capabilities.
Including this, project manager has allocated roles and responsibilities on the
basis of the skills and knowledge of individuals (Burke, 2013).
CONCLUSION
The current research report is concluded that project manager has developed
successful plan for organizing a music festival in local central park UK. This project plan
will be completed in 50 days or 10 weeks. Along with this, project manager has used
different tools and techniques of project management such as Gantt chart, WBS and
critical path analysis for managing different activities of the project on time. Project
planning of the music festival is associated with different types of risks such as
scheduling, estimating and resource related risks. All these uncertainties affect the

appropriate strategies for mitigating all risks associated with this project.
