1. Problem Description
Housing NSW is known for administration of the community housing services in NSW.
A range of services are fulfilled by housing NSW, which incorporates community housing
services, housing for the people of Aboriginal and Torres Strait Islander and people having
special need. The application process for this type of services is quite lengthy and the manual
process is prone to human errors. Housing NSW works with an aim of offering affordable
housing facilities to the individuals in need. The organization envisions to deliver a simple client
experience by making use of modern technology. Therefore, Housing NSW is currently in need
of development of an online application system where the clients will be able to submit the
online application for the services they are seeking. The proposed online application system is
named as “MyHousing”. MyHousing is expected to manage the entire process of application
submission for housing services and is anticipated to improve client satisfaction as well. The
capabilities of this proposed system and the business benefits are discussed in the following
sections. The internal along with the external stakeholders are indicated in the stakeholders map.
The project feasibility and the associated risks of implementation of this system are further
outlined in the system vision document.
2. System Capabilities
The proposed “MyHousing” application is capable of providing a seamless experience to
the clients regarding application process of the required housing assistance. The proposed system
has several capabilities that justifies the implementation of this project. The capabilities are
indicated as follows-

1. The system will allow the clients with an easy access to the application process. This
online platform requires a preliminary registering after which the client can log in to the portal to
view and avail the services offered by Housing NSW. The platform will further offer the clients
to track their application in an effective manner.
2. The system will be able to collect and store all the related information of the clients as
the clients will be uploading the needed data and information in MyHousing. This will make the
process of information management quite easier and effective.
3. MyHousing system will be able to provide an accurate data of the services that
Housing NSW need to provide or the services which are in queue. Tracking the services would
be easier with the implementation of this system. This task is currently implemented by the
administrative staff and is prone to human errors (Alshardan, Goodwin & Rampersad, 2016).
With the employment of the proposed system, it would be easier to keep a track of the number of
services that Housing NSW needs to fulfil.
4. The proposed system can be accessed by a mobile application as well having a
standard internet connection (Dennis, Wixom & Roth, 2018). The system to be implemented is
supported by majority of the digital devices, which include smartphone and tablets.
5. The application process in the system requires the client to upload valid documents
into the system confirming their identity and income. Thus, this application is capable of
validating the identity of the client thus reducing the administrative paper works related to
verification of the identity and the income of the applicant.

The above discussion indicate the key competences of the MyHousing system. The
system is capable of managing all the manual work processes and administrative task associated
with Housing NSW and therefore, execution of this project is justified.
3. Business Benefits
The proposed system will not only enhance the clients’ experience but also will also
provide certain business benefit to Housing NSW. The business benefits that Housing NSW can
realize with the execution of this project are indicated as follows-
1. The system will be capable of increasing the communication efficiency between the
NSW Housing and the client.
2. The application process will be entirely managed by the MyHousing application and
therefore, it will reduce a significant amount of manual labour.
3. All the administrative and the operational staffs will have a current and up to date
information about the clients and the application process of the clients (Coombs, 2015). The
system will provide the managers with an up to date information that will aid the decision
making process.
4. The proposed system will be able to increase the business profit by reducing the human
error and bypassing the manual validation of the income and identity proof of the client.
The above four points indicate the major business benefits that can be realized with the
successful implementation of “MyHousing”. This software system however requires a formal
staff training and acceptance from the end users to realize the above discussed business benefit.

Stakeholders are defined as a person who have an interest in the fruitful implementation
of the system (Eskerod, Huemann & Savage, 2015). In this project the expectations of the
stakeholders are to be met to ensure successful project execution (Eskerod & Vaagaasar, 2014).

The internal, external, operational and executive stakeholders are segregated in the above
demonstrated stakeholder map. The MyHousing project will be planned and executed in
accordance to the expectations of the above identified stakeholders.
5. Project Feasibility and Risk
Prior to the start of the MyHousing project, it is needed to check the feasibility of the
project. The entire system implementation is expected to complete within 6 months of its start.

The entire project will be funded by NSW MyHousing will be supported by some external
sponsors. Therefore, it can be said that the proposed project is feasible economically. The entire
project will be implemented in presence of an experienced software development team (Pritchard
& PMP, 2014). The team has already gone through the specification and has provided a round
estimate of the budget requirements of the project. This indicate that the project is technically
feasible.
The accomplishment of any project is largely reliant on the ability of the project team to
identify, assess and manage the major risks linked with the proposed project (Marcelino-Sádaba
et al., 2014). The critical risks that can impact the project feasibility are indicated in the risk

The above risk register outlines the key risks that can hamper the normal execution of the
MyHousing project. The severity of the risks are asses and the response of each risk is suggested.
These risks are needed to be monitored to ensure that the same does not returns to the project
(Carvalho & Rabechini Junior, 2015). The risk monitoring is an essential step towards
controlling the severity and the impact of any major risk on a project.
