1. Introduction
This assignment will deal with the enrolment system of the National University and
provide a system vision document, which will enhance the enrolment procedure of the
students. This enrolment system aims to facilitate the students with quick and easy
administrative facilities that could be availed online. This system vision document will be an
inception phase to the design and aspects of the enrolment system. This assignment will deal
with the requirements of the system which is needed for overcoming the manual problems in
the enrolment procedure. The different aspects of a System Vision Document is described in
the assignment which will enhance the enrolment system of the National University of
Melbourne.
2. Descriptive analysis of the System Vision Document
2.1 The problem description
2.1.1 Existing problems in the system
The facilities of administration are now provided to the students of the National
University of Melbourne in a manual manner. These facilities also come with some
drawbacks. These drawbacks include the enrolment queue that a student has to face while
enrolling at the University premises (Edwards & McMillan, 2015). Moreover the time taken
for filling up the admission form as well as making the payments at the accounts department
present at the university premises consumes a lot of time.
2.1.2 The analysis of new system
The university is trying to implement a new system that will enhance the availability
of the administrative facilities to the students (Novikova, Akhmetshin & Martynova, 2017).

The new system will decrease the usage of time that is required to avail the administrative
facilities manually. In this system the students are given free exposure to all the programmes
provided by the university as well as they are provided with the payment facilities online.
2.1.3 The analysis of the subsystems
The system will provide facilities to the management for keeping a track record of the
personal credentials as provided by the student while enrolling. In this system the provided
programmes are also present that are offered by the university (Hussain et al., 2018). The
students have the full access to the programmes and can select the desired classes as well as
the timings for those classes. For the students a separate payment gateway is also provided in
the system which will help the students to avoid the queue for fees payment. This enrolment
system will be a very effective one as all the administrative facilities can be offered to the
students in a single digital platform.
2.2 The system capabilities
The system will be quite capable of facilitating the students with the ease of access of
all the administrative facilities provided by the National University of Melbourne. These
facilities are previously provided manually for which the student has to visit the university
premises and a lot of time is consumed for this (Ahn & McEachin, 2017). The enrolment
system will provide all the details of courses provided by the university and via this system
the students could view all the courses offered as well as the class’s information. The system
may be divided into five parts regarding the structure of the enrolment system. They are
explained below:
The gathering of the credentials: The first step of the system deals with the gathering
of information regarding the basic information of the student that is the student’s name, the
student’s address, the contact number of the student as well as the email-ids in which the

student could be provided with the details of the courses they choose (Goodman, Melkers &
Pallais, 2019). After the details are provided they are verified and then submitted in the
university’s database.
Programme Selection: There are a number of programmes offered by the University of
Melbourne to its students. They include all the major graduate and post-graduate plans in the
fields of arts, science as well as commerce. The student can choose their desired programme
and proceed accordingly for the further enrolment procedure (Tienda & Zhao, 2017). The
term of the exam is to be selected by the individual student according to their enrolment.
Then the selections will be verified with the University’s database as to be assure about the
selections that the student had made.
Selection of class lectures: This step provides the students with all the classes
available in the University for the different programmes offered (Britt, Goon & Timmerman,
2015). This system will provide the students to choose the timings of the class lectures as
there will be a facility that will stop the students from opting the class timing if the class is
full as well as suggesting them with the other lecture timing that are available for the student.
Final Verification: This is the stage in the enrolment system where the students need
to confirm the selections that they made in the previous steps (Karp, 2015). This is said to be
the final step where the student could make changes in the selection they made as after this
step the student will be unable to make any changes from the selected options or credentials.
Payment Section: This is the step of the enrolment system where the students are
provided with the option of making the payments as per their selected criteria of the exams.
The payment gateway is implemented in the enrolment system to ease the students with the
payment of fees for the classes they opted for (Solis, 2017). After the successful payment the
system will auto generate a receipt that will provide the students a track of the successful

transaction. The mode of payment is online and the students will be provided with a variety
of payment gateways.
Final Step: This will be the last step of the enrolment system and this will provide the
students with all the necessary documents that are required (Sutton, 2016). The selections that
are made by the system as well as the transaction receipt are all provided to the student for
confirmation as well as to keeps a track record of the selections that the student made.
2.3 The proposed outcomes and the business benefits
2.3.1 The proposed outcomes
The enrolment structure is provided with the payment gateway online. This gateway
will be very effective in terms of business management from the university’s point of view.
This will enable the system to keep a track record of the payments made to the university
digitally. For this reason the users will be much benefitted with the payment procedure as
well as the organization will also be facilitated for the quick transaction and enhanced mode
of transaction. The end users will also be affected with this enhanced form of the payment
procedure in this enrolment system.
2.3.2 The business benefits
There will be a number of benefits to the business if the proposed enrolment system is
implemented in the business. This system will provide an easier interface to the end users that
is the students will be provided with ease of access with the enrolment system. The business
will provide a proper maintenance regarding the student’s needs. This well-defined structure
of enrolment system will help the business to gain a certain amount of profit as the payment
gateway is well structured.

 The RAM must be of minimum 1GB size.
 The HDD must be of minimum 512GB.
 The processor must be of minimum Intel Dual Core.

2.4.3 The human resources
It is the due responsibility of the management of the National University of
Melbourne to create a separate team who will be dealing with the maintenance of the
enrolment system (Darwish, LaVenia & Polkinghorne, 2018). The data provide to the
students has also to be maintained by this team of human resources. This team will be very
effective in the data analysis and the managing of the data provided by the student.
2.4.4 Financial aspect
The management of the University should be effective for providing the sufficient
financial support for the development as well as the management of the suggested enrolment
system (Apel et al., 2018). This will enhance the system to get upgraded from time to time
and effectively manage it.

related with the risk assessment team or the maintenance team.
