System Vision Document
1. Introduction to Project
A project of development of a University enrollment system is proposed for National
University, a leading University in Melbourne. The University offers diploma, undergraduate
and post graduate programs for the student across the globe. The University offers enrollment of
the student in three semesters in a year that starts from February, July and November
respectively. The University had been engaged in manual enrollment system for admission of the
student s in each semester. However, this process has gradually become ineffective and increases
the chances of human error. Therefore, development of an automated enrollment system is
proposed that will handle the entire process of student enrollment into three semesters.
A vision document is prepared for the project that will provide details of the system
capabilities, the business benefits of National University, the resources required for this project
and the stakeholders’ involved in the project of development of a student Enrollment system
(Naedele et al., 2015). The vision document further discusses the major risks associated with the
project and the perceived business benefits. The project details of developing a student
enrollment system are discussed in the following paragraphs.
2. Description of the Problem
A project has been undertaken in order to develop a student enrollment system that can
increase the effectiveness of enrolling a student in a particular program (Achimugu et al., 2014).
The enrollment system is a necessity as National University maintains three different semesters
in a year. Enrollment of students in every quarter by following a manual system is time
consuming and is prone to human errors. The proposed system is expected to solve the problem

of human errors in student enrollment. The system will further be automating the entire
enrollment process thereby reducing human errors.
The manual record keeping process further has a major limitation of effective record
keeping. The record automated system that is proposed for student enrollment will ensure
effective data collection and storage (Wickboldt et al., 2015). These data include personal
information of the students and their preferences. This data can be used by National University to
understand and identify the courses that are in demand, which can further help the University in
improving their business processes.
3. System Capabilities
The system that is being proposed has certain distinct capability and features. This
section of the vision document will identify the major system capabilities. The proposed system
is capable of managing and automating the enrollment process. The system that is being
implemented will enable automated enrollment of the student to the courses that they will prefer.
The system will be designed in such a manner that minimal human labor is required to enroll the
students in a particular course (Kilburn, Kilburn & Cates, 2014). The important system
capabilities of the system proposed in the project are discussed in the paragraphs below-
The proposed system will completely update the manual enrollment process to an
automated one. In the new enrollment system that is being proposed, the basic details of the
students will be asked for in order to register a student with the University. Registration with
these basic details is necessary in order to process with the further stages of registration. Once
the registration is done, the enrollment process will move to step two. The step one is important
to authenticate the basic details of the student prior to the movement in step 2.

The proposed system will enable the student to choose a subject according to their
preferences. Only one of the available major subjects can be chosen by a student. After choosing
the major subject, the system will verify whether the student has made a right choice.
The proposed system is further capable of allowing the student to choose their subject of
preferences and time of the class (Calderón & Ruiz, 2015). The proposed student enrollment
system will be programmed in such a way that a particular class will enroll no more than 40
students. Once the limit of 40 students is reached, the system will not accept any further
enrollment requests. After selection of the class and time, the system will further prompt the
student to verify the details provided before moving onto the payment stage.
The proposed system is capable of allowing secure payment of fees for a particular
course. A student can choose to make use of their cards or account number to make payments.
The proposed system is further capable of improving the business aspects of National University
as the proposed information system will store the detailed preferences of students.
4. Perceived Business Benefits
The system that is proposed has certain business benefits. The perceived benefits of the
system are as follows-
1. The system will be storing the basic details of the student. These details can be mined
to identify the courses that will yield maximum profits to the University.
2. The proposed system will reduce the manual labor thereby saving a considerable
amount of labor cost. This is another significant benefit of the system.

3. The information storage will enable the University to identify the courses which is
getting more preferences from the student. The University can work on improving on those areas
to increase their business profit.
The above three points indicates the perceived business benefit of the system.
5. Resources Required
This section of the vision document identifies the important resources that are required to
implement the proposed system (Schwalbe, 2015). The resources required for this project are as
follows-
1. The software requirement: The development of Student Enrollment software needs the
basic requirement of the software systems.
2. Hardware Requirements: The student enrollment project needs basic hardware
requirements (Kendrick, 2015).
3. Human Resources: The implementation of the Student Enrollment project requires the
need of human resources. A software development team will be appointed to manage the student
enrollment project.
4. Financial Requirement: The entire project will be financed by the National University.
The project is expected to be completed within the budget that will be set by National University.

For successful implementation of a project, it is necessary to identify and manage the

7. Broad Feasibility and Risks
Every new project should undergo a detailed feasibility study so that viability of a project
can be determined. For development of a student enrollment system, a broad feasibility study has
been undertaken. The different aspects of feasibility of a project is indicated in the paragraphs
below-
Economic Feasibility: The project is economically viable as it is funded by National
University. No external funding body is linked with the project. Apart from that, the project will

provide a number of business benefits to the National University, which indicates a positive ROI
to the project. Therefore, it can be said that the project is economically feasible (Popli &
Chauhan, 2014).
Technical Feasibility: The proposed project is technically feasible as the concept of
developing a student enrollment system is not new and a number of Universities have already
implemented similar systems (Lehtinen et al., 2014). Thus, it is expected that the project
proposed by National University is technically feasible as well.
Operational Feasibility: The project is operationally feasible as well as the project is
undertaken by National University and an experienced project team is chosen for implementation
of the project. The project in aimed in increasing the operational efficiency of the enrollment
process that is followed in National University.
Legal Feasibility: There is no legal risks associated with the project mainly because the
project is undertaken by National University for their own use.
Although the project is feasible, the risks in legal, operational, technical and economic
aspects that might arise during the project implementation process are needed to be identified.
These risks are as follows-
1. Operational: Risks in project implementation process. The software might not work as
expected.
2. Technical Risks: Technical failure can considerably delay the software launch date and
can affect the set budget of the project.

3. Legal Risks: The project might involve certain legal risks and the students’ data will be
used to improve the business processes (Verner et al., 2014).
4. Economic Feasibility: The project is undertaken by National University and no other
funding sources are involved with the project that can result in economic risks.
8. Proposed Outcome
The proposed project is expected to be successful. The automated student enrollment
system will help in better management of the enrollment process in the quarterly semesters. The
student enrollment system that will be implemented will help National University in identifying
the courses that has maximum preferences (Fenton & Bieman, 2014). Identification of the same
can help in improving the business of National University. Thus, it can be expected that the
project of implementation of a student enrollment system by National University will be
successful.
