Business Information Including Organization Chart:
Natural-Lee Short Summary: Right now the expansion and popularity of business is
causing trouble of Phil. The on growing demand of his produce is creating a huge line of
customers who come to take the weekly box. Right the Phil is also having issues with handling
his own works as he is involved in many side tasks. The customer call is increasing and many of
the customers and not even hearing from the organization as keeping tracks of every customer
response is not possible in such large scale. The organization currently handles all the customer
requests, payments, orders and other farming related paper works.

Area of Organization under Study: The main areas of organization that will be handled
by the new information system are as following.

i. Customer Order Receive: In order to make the delivery process quicker, the
organization taken an initiative of writing the list of products a customer usually
buys. This helps the staff to quickly note the order. They also informs the clients
the price of products they want to buy and the total price of the order. The prices
of the products are noted in a note book or some kind of paper. The organization
also give offers to the customers who give same order every time.
ii. Product Management: However, the cost, time and effort for producing that
products and keeping in stock is same as other products. All these products
remain in the inventory for long time and then either dispatched or used as
fertilizer.
iii. Order Pickup: This increased customer base is creating huge problems at the
pick-up area. The congestion is getting worse by every week. The staff at pickup
area is also facing issues with the management of food box for individual
customers
iv. Payment Handling: The payments are tracked by each order. The customer get
their boxes and then make the payment before leaving the premise. None of
payments are tracked at the organization. If a customer payment is missed then
there is now way to find the missing payment. For each payment the cost printed
above the cart is used. The price of the food box depends on the products within
it. The payment is processed after the discount is applied to customers who place
same products every week.

System Vision Document:
High Level Functions: The system functions are the features that processes a user input.
The high-level system functionalities are as following.
i. Data Collection: The customer data is collected through functions like
registration, login and order placement. The staff enter data using their in-house
systems to generate invoice and various reports. The owner mainly generate
reports and has the ultimate power over the system. Owners can input discount,
place order for a customer and do other various administrative tasks on the
system.
ii. Data Storing: The system will have a database management system integrated
with it. The DBMS will be connected to a database which can store the raw data.
Each data will be stored based on the schema it is related to. This way the
organization can have a structured data storage device that can be easily modified
and scaled.
iii. Data Processing: The users do not have any idea about how these processes are
done. The user can only see the outcome of these processes. Taken as an example,
if a user logs into the system then the system will check its login credentials along
with the time and date of login. If the user makes any order during that login
period, the system will also store this. This way the owner can understand how
many times a user place order in comparison with the visit to website.
System Vision Document:
Introduction: The scope of the system is monitoring and controlling customer activities,
handling back office processes of Natural-Lee, checking payment for each order, tracking

production of foods, predicting sale of individual products for each month and generating
reports.
The deliverable of the system is a fully-organized relational database system to support
data storage, a server side processing for maintaining business processes, a user interface for
establishing communication between the user and system, form validation, cyber security,
administrative controls, remote access, printable reports and many more.
Stakeholder Analysis: The customer will choose products and make the orders by
themselves without any assistance of staff. However, the customer can also call the staff and
make them place an order for him/her. This facility will be only available for elderly and
mentally disabled people. The customer representatives will be able to customize the orders once
they have been placed. They will handle the refund and customer satisfactory related terms. The
accounts receivable department will use the system to check payment for each order and generate
invoice for each order. These invoices are sent to warehouse to attaching with the food box.
These two processes are monitored by Windy. She can track each transaction, order and delivery
related data through her system interface. Phil can get reports on sales prediction which can be
beneficial for controlling food production.
System Overview: The system will have real-time data processing capability so that every
user can see quantity of available products and price as soon as any change occurs on the
database. The system will be connected to the local intranet of Natural-Lee so that every device
can access the system without even worrying about internet connection.
System Requirements: The system requirements can be divided into two categories such
as functional and non-functional. The functional requirements of the system are as following.

i. Order Management: The system will allow show every product Natural-Less
sells on the interface. Each product can be individually selected and added to cart.
The cart will be under this function. The customers can change product quantity,
or event remove product from cart. For every product added or removed from
cart, the system will update the cost of order. The cart will show cost for
individual product as well as total cost of order. The cart link installed in every
page will show the total count of different products ordered. After the product
selection is complete the customer confirm order through payment.
ii. Payment: The payment handling will be done by a third party application. The
customer can make payment through cash on delivery, credit card, digital wallets
and few other options. The customer can also save the card details so that every
time order from this system, the card details do not have to be entered again.
Non-functional requirement of the system are as following.
i. Scalability: The organization wants to reduce the cost of system maintenance
while the sales will be low. The owner of the system can reduce the resources of
this system to reduce the cost of operation. The system will be deployed in the
cloud environment installed within the premise of Natural-Lee. This will be good
for the organization in long term as organization is looking forward to use the
system for a long time. In-house systems are very cost effective for long term
plans. The organization will have full control over the system. Moreover, Phil will
not share any organization data with any third party vendor.
ii. Usability: The system will integrate a very effective navigation approach. It will
implement three-click policy so that user can go to desired location within three
