INTRODUCTION
Enrolment system is an effective & important system which can be used in the University for
recording enrolment data accurately. It also ensures a good impression of the university on
the new enrolees. This system is helpful when managing the students becomes a difficult task
at the admissions period. The enrolment system is a combination of all the activities related to
the enrolment process. The main aim is to establish a meaningful way for the students as well
as the staff by storing data which will help in further analysis. This overall system will help
decrease the time of the enrolment process by making the process faster.

PROBLEMS IN CURRENT SYSTEM
The current system is based on all manual work. The current enrolment process includes
interviews, discussion & observations which are to be stored manually and it becomes really
difficult to manage all this information. No provision to maintain staff and students’ records.
There is a possibility of the records getting lost in the manual method. Errors might occur
while updating the records. The time & effort required to deal with data and generate reports
manually is very high.
PROPOSED SYSTEM
The main aim of the proposed system is to improve the current system. It aims to overcome
any drawbacks which are in the current system. This proposal includes better security
provision and faster access to the database. It will also be able to maintain a large amount of
data in the database which will be a benefit for the university. The base of this proposed
system is formed by analysing work and effort on various levels of the enrolment process and
effectively making decisions.
SYSTEM CAPABILITIES
This system is fully menu-driven as well as user-friendly. It processes data faster and
efficiently. This system supports data management and has high flexibility. It is secure as
well as provides data on time with accuracy.
STUDENT REGISTRATION
Students are easily able to register to get enrolled in the university. Information
related to students such as name, qualification, mobile & email address can easily be
fetched as inputs from the user and can be stored in the database. In the database, each
record is stored in the tabular format with rows & columns. Once the student’s
registration is successful, he/she will be required to complete the authentication by
confirming through email.
MAJOR SELECTION
After successfully registering the student will be redirected to the first phase of the
enrolment process i.e. the major selection. On the page, the student will be able to
view various major streams & terms which are available and then the student can
choose whatever he/she wants.

COURSE DETAILS
As soon as the student selects the desired major stream, he/she will get redirected to
the course selection page where there will be courses related to the major selected in
the above process. Students will be able to see the number of seats available in a
particular course as only 40 seats is available. A student can choose between 3-4
different courses related to the major. Students will be able to choose time & date for
the particular course according to their wants.
INFORMATION REVIEW
After the student has successfully completed the above three steps then there will be
an information review performed by the system to verify and check for any incorrect
information entered by the student and if present then the student will be asked to
make changes and resubmit.
PAYMENT
After the verification and reviewing are completed, the student will be redirected to
the payment portal. On the payment page, various options will be given such as debit
or master card, or any other designated account number. If the student selects card as
a payment option then he/she will be asked to enter the card number, type, expiry date
and three-digit code. As soon as the payment is completed & successfully verified
then the system will generate a transaction receipt.
INSTRUCTIONS
In the end, necessary instructions will be provided to the student about the starting
date of the academic session, library, orientation, and department wise locations.
BUSINESS CAPABILITIES
The proposed system will be very beneficial for the university in the monetary terms. The
registration of students will help generate lots of information which will be stored in the
database. Hence, saving lots of effort and time. This will make the overall enrolment process
easier by connecting all the different sections of the university together. For future
improvements much functionality can be added such as most enrolled course, most liked
course or major etc. So, saving lots of effort as well as funds with the help of this project.
RESOURCES REQUIRED
There are various resources which will be required to successfully implement the project.

Figure 1: Stakeholder Map
INTERNAL
The stakeholders who are working in the university comes under internal stakeholders. These
are the stakeholders who work on the system daily. This system will be able to help students
in providing them with everything in a single place. It will make the life of students really
easy as there won’t be any offline based physical problems. The students can use this system
as they want. Dean will be a major stakeholder as dean has the authority to approve a
particular project. Faculty’s effort will also get reduced. Every information about the students
will be available to them on the system.
EXTERNAL
The stakeholders who are working outside the university and are not a daily user of the
system comes under external stakeholders. They might not be from the university but they are
the creator of the whole project. The project manager is responsible to manage every aspect
of the project until it is ready to be launched. The development team is responsible for the
design, development and testing of the project from scratch. The bank is also included in
stakeholders as it will be making a profit from the system as the registrations in the university
increases. Workers are the ones who are responsible to take care of any requirements needed
by the building team and also maintenance comes under workers department.
FEASIBILITY
Feasibility includes ability measuring and the chances of successfully completing a project
with all the related factors. This section also includes some risks which might occur in the
project building stage.

TECHNICAL FEASIBILITY
The built of the system should be user-friendly as it will help the people who have no idea
how to run applications. Technology should be easy to use. The overall integration of the
system should not be complex otherwise risks will increase.
ECONOMIC FEASIBILITY
It will be a good start for the university in reducing funds as the whole enrolment system will
be automated and no need for more effort and time. The overall payment system will be easy
to use and students will be able to register online on the system.
LEGAL FEASIBILITY
Every information related to the student should be kept secure. Data integrity should be
checked before data being stored in the database. Access should be given to only those who
are authorized to make any changes or view the data present in the database or it will affect
the privacy of the student’s data.
OPERATIONAL FEASIBILITY
The user interface should be designed in a way that it is easily usable by the students. An
option for the students to ask any queries related to the registration or the enrolment process
should be there. The users will accept this system as it is online and easy to use. But there are
people who still prefer offline over online, so offline process should also be kept in case any
student not able to access the system online.
RISKS
The database of the system which contains sensitive information can be modified if
authorization is not properly set. So, only authorized users should be able to modify or
view the data.
Payment portal can be attacked so to prevent it, the firewall must be used.
System server should not go down and should be kept online 24/7.
The data present in the database is very crucial for the university so data replications
should be performed to make copies of the information stored.

OUTCOMES
This system will make the overall enrolment process easier and it will benefit the students as
well as the university. The outcome of the project will be as follows:
Students will be able to register themselves in the system.
They will be provided with various major streams and courses with seat availability.
Students will be verified and their entered information will be checked thoroughly and
then they will be given access to the payment portal.
The payment portal is safe and secure. Students will be able to pay with different
types of payment methods and at the end, a transaction receipt will be generated.
Students can view the timetable, course details and timings on the system.
Faculty will also be able to use the system to track student information.
