PART 1: PROJECT PLANNING
1. Project Background
A one day music festival is to be held by UK promoter in Central Park. The music
festival will be held on Saturday 9 April 2006. In this musical festival, several musical event will
be organized such as Rock and Music concert, dance face off, uses of different musical
equipment etc. It is 10 week project. In this festival, various internal and domestic music and
dance artists will be performed in the event. In this event, I am acting as project manager (Bryde,
2003). As a project manager, I am responsible for handling all the activities related to project
management such as resource management, financial planning, human resource management etc.
It is my responsibility for managing various task and activities of event with an best possible
manner that plays important role for success of event.
2. Objectives
2.1 Overall goal:
The primary objective of the music festival is to provide an platform to new emerging
domestic and international music artists through which they can express their art to large number
number of music lowers through these musicians are able to promote their art in all over the
world.
2.2 Objectives:
A list of specific objectives of the project is mentioned below:
To facilitate best experience to artists associated with different part of world
To ensure safety of visitors
To manage the whole event with unique theme
To carry out proper scheduling of different musical events
To enhance appearance of musical event
3. Scope
Scope Management contains a systematic processes which is required to ensure success
of project as per the objectives of project (Craighead and Meredith, 2008). Furthermore, it helps
managers in evaluation of various facts and figures which are playing important role for success
of musical festivals.

Constraints: In the present project of musical event, project manager considers various
constraints and barriers that could hamper the performance and efficiency of project. The
major constraints include improper scheduling of different musical events, improper
security arrangements, technology related issues, delays in project schedule etc (Revilla,
2006). All these factors are considered as major constraints during the managing the
project of musical festivals.
Assumptions: Project manager has to manage different activities of project management
on the basis of certain assumptions. In the context of musical festivals, some certain
assumptions are considered by project manager while handling of different tasks such as
expected number of visitors, number of events, estimation of cost of project etc
(Kousholt, 2007).
Selection: For managing different activities with an appropriate manner, project uses
different plans for identification and selection of resources as per goals of project.
Strategic plan: In this context of musical festival, a systematic strategies plant would be
found very helpful in which project management team carries out an estimation of
different resources and schedule of activities. This approach has found very effective for
ensuring success of project.
3.2 Scope change control analysis Change control system: For the musical festival, a set of alternative strategies is
considered by project team for managing such issues that have not been predicted by
project team. It is also considered change control system for musical festival. Performance management: In this section, project team has developed some standards
that will be used to analysis performance of event (Newbold and et. al. 2009). For the
musical festival, number of participant, number of visitors, views of visitors will be
considered as performance management tools.
3.3 Scope plan analysis Scope statement: As per the views of project manager, this musical festival will
significantly attract large number of listeners and there have been various appropriate
measures are taken by project manager for handling any kind of misconduct during the
festival.

Scope acceptance: As per the above scope, the project plan which is determined by
project manager is acceptable for the musical event (Dey, Clegg and Bennett, 2010). This
is because project manager has considered all elements as per the requirement of musical
project.

5. Project Quality Plan
For managing project quality, project manager has developed an appropriate quality plan.
As per the project quality plan, project manager of music festival uses different quality standards,
views of visitors to check quality (Sommerville, 2011). In addition to that project manager has
developed an appropriate quality management plan by using different quality management
tactics such as total quality management and quality circle etc.

As per the above gantt chart, it can be stated that the project plan will be started from 28th
January 2016 and will be finished 8th April 2015. Furthermore, it has been analyzed that activity
(E) Establishment of contract with different suppliers, activity (H) Conducting decorations and
musical arrangement and activity(I) Pratice & Development of schedule of events have
considered as most important crucial activities for managing the projects of music festival
(Wallnau and Gravetter, 2009). As per the above chart, it has found that project manager should
have to pay extra attention on these activities. The above gantt chart is developed for 10 weeks in
which project manager has considered 5 working days in one week. In addition to that 2 public
holidays such as 25th March 2016 (Good Friday) and 28th March 2016 (Easter Monday) have
excluded.

PART 3: RISK MANAGEMENT IN PROJECT PLANNING
Evaluate risks associated with your music festival project planning.
There are wide range of risk evaluated by project manager during project planning of
music festival. In this context, some important kinds of risk are explained below:
Event scheduling: During the event planning process, project manager has evaluated
different kinds risk. In this process, the most important risk is identified associated with
event scheduling. In the music festival, various musical events and performances are
scheduled by project planner. Therefore, project manager has faced problems in
allocation of time period for each performance and determination in number of
performances within a single day event (Sheu, 2005). In this regard, it has been analyzed
that if allocation of time period of each performance is not done properly than all other
performances will be delayed. This is one of the most important risk identified in music
event.
Security related to issues: For the current festival, project manager has evaluated that
more than 3000 visitors will come in festival. Therefore, project manager has addressed
some safety related risk (Arizona, 2008). It is considered as a most crucial task for project
manager for managing different security arrangement.
Communication related issues: Project manager has developed an appropriate team for
managing whole event. But, lack of an efficient communication system could create
problem while managing different activities and events within music festival. The
element could delay whole festival. This is because project will not be able to establish
proper coordination among different performances. Apart from that it has been analyzed
that improper communication among different member of project management will
hamper the overall efficiency of music festival along with transmission of message
among different individuals (Managing Projects. 2015). Further, it has been examined
that lack of coordination would also influence further issues associated with resources
management.
Examining risk assessment and management in WIDER project planning processes.
The process of risk assessment has played important role in identification of such as
element that could hamper the efficiency of music festival Project Risk Management is termed as
a systematic processes for carrying out risk management planning, identification, analysis,

response planning, and controlling risk on a project. The primary goal of project risk
management is to increase the likelihood and impact of positive events along with the reduction
of the impact of negative events during the project (Craighead and Meredith, 2008). Project Risk
identification is the most crucial aspect of Risk Management Planning. In the process risk
identification, project manager is able to determine which risks might affect the project as well as
documents with their characteristics.
In the process of project planning of music festival, project managers carries out risk
assessment for identification of below mentioned risks:
Type of risk Description
Schedule In the process of project planning, project manager makes efforts for
identification of missing important tasks from the schedule (Kousholt,
2007). In addition to that delay in one task leads delays in dependent tasks.
Requirement risk It includes risk related to continuous changes requirements of projects.
This is because requirements are poorly defined. In addition to that some
specified areas of project are considering more time-consuming than
expected and improper knowledge about project requirements also
influences risk in project planning process.
Project
management risk
This kind of risk is evaluated in the project planning process because
project manager of music event has little authority in the organization
structure and can influence decision-making and resources (Sommerville,
2011). Apart from that changes on existing program or priorities has
influenced risk on project management process.
Product/
technology risk
It includes risk related to development of the wrong user interface duing
project planning results in redesign and implementation as well as
development of extra software functions which are not required for project
plan (Revilla, 2006). In addition to that it has been addressed that the
dependency on a technology could increase schedule of project and
improper selection of technologies for project management process also
creates problems.
Human resources In this section, project manager make efforts for selection of appropriate

& contractors risk contractor. This is because some developers may leave the project before it
is finished. In addition that manager also faces problems in hiring process
which takes longer than expected (Dey, Clegg and Bennett, 2010). Apart
from that during the risk assessment process, project manager also
evaluates extra extra time for an individual to learn unfamiliar software
tools, hardware and programming language as per the requirement of
project plan. In the music festival planning, project manager also considers
the risk related to conflicts among team members result in poor
communication, poor designs, interface errors and extra rework.
CONCLUSION
On the basis of above assessment, it can be stated that the approach of project
management has played important role for managing different tasks of music event. This report
has found that gantt chart and critical path method are playing most crucial role for scheduling of
different activities. Furthermore, it has addressed that efficiency of project management process
is greatly depending on risk assessment process.
