<Leon Sandes, Director of Human Resources>
Subject: Requesting copies of my performance reviews from year 2012 to 2017
Dear Mr. Sandes,
I hope you are in good health and shape. I am a dedicated employee of ABC Corporations and
have been serving here for the past ten years, from 2007. I shall express that I am honored to be a
part of this organization and wish to continue further and give my best as I have. Being a
dedicated and motivated employee, I look forward to a fair and regular review of my
performance. I however, never required any copy of any of my reviews as I had full faith in my
abilities.
However, due to unfortunate circumstances, the past few years have not been the best for ABC
Corporations and me, as an employee also suffered, as did many others. I know it is a difficult
task to bring changes into the management to tackle debacles. The commotion resulted in the
sacking of seven managers in the previous five years. It directly meant that my performance had
to be reviewed by managers whom had a span of less than a year in the company. It is in fact
unfortunate that in 2015, a manager who had three weeks experience in the company reviewed
my annual performance.
I am unaware of what reviews I received from him but going by my progress graph, results
indicate that the reviews were not satisfactory. In addition, last year, Mr. David Bates, the then
manager was fired just the day after he wrote my review. Now, as would any employee be, I am

also concerned about my progress in career and in wage. I am wondering if these incoherent
reviews are the reason for my slow progress.
I thus, think that it would be appropriate for me to have a look at my performance reviews, the
last five years in particular. As per company policy, an employee is allowed to ask for copies of
the reviews and therefore, I feel it necessary to ask for the same.
Mr. Sandes, as you would be aware that out of the seven managers who had reviewed me, three
are currently not associated with our company. I have been informed by some of my colleagues
that the Human Resource Department has decided not to issue review copies without the consent
and prior approval of the concerned managers. To go with that, I also do not think it is pertinent
to ask for the copies from my new manager, as I do not wish to make him aware of my concerns
on my performance. This would reflect negatively on him and that would be unsuitable for my
future performance reviews.
I therefore request you to kindly issue me the copies of my performance reviews from 2012 to
2017. As the Director of Human Resources Department, I hope that it is in your power to issue
the performance review copies.
I express my sincere gratitude towards you for investing your valuable time and paying attention
to my request. I look onwards to hearing from you.
Truthfully,
Neil Kirk
