INTRODUCTION
The planning can be defined as the process which involves thinking and organizing
activities that are required to accomplish the desired goals. It is the process of management that I
concerned with defining the objectives of the company so that future direction is provided to it
and the resources and mission is determined so that the targets can be achieved. It is essential to
plan for work as it is regarded as the innovative approach so that the work is accomplished in
organization. The workplace management focuses on optimization of physical environment of
workplace and also focuses on activities of workplace but it is concerned with optimizing and
overseeing environment in which work is to take place (Galli, 2018). This report is based on the
project which is creation of marketing material for the skills for workplace program and
promoting it in the local community and recruiting 4 new applicants to interview and the
assessment process. It will cover critical assessment of project management techniques and tools,
critical analysis of tool and ability to plan and description of organization of work. Further it will
include how plan of project is to be communicated to stakeholders, report on finding of project
together with evaluative and monitoring tools and lastly the reflection o project management
abilities.
MAIN BODY
Critical assessment of project management tools and techniques.
The project management tools are mainly used to assist the individual or the team in the
organization and management of the tasks and projects in an effective manner. It is mainly used
to define workflow and how project will be taken the shape. It provides the ability to the project
manager to establish the hierarchy of the task easily for the efficient and effective completion of
the project. For the present project of marketing the skills for workplace program and
recruitment of applicant for project, the following are the project management techniques and
tools used which are narrated below-
 Setting out aims and objectives of project- The objectives of the project are the
development of project’s procedure for initiating, planning, executing, regulating, closing
and guiding the operations of team so that the agreed goals and objectives are achieved

within the set time, scope, budget and quality. These are mainly prepared so that the end
result of the project can be determined. These must be set in such a way that it is
attainable, specific and time bounded so that it can measured easily at the end of project.
But it may make the project only surrounded by the aims and objectives and rather there
are fewer chances that project will be made, keeping in mind the broad perspective. By
setting the aims and objective for present project of marketing the skills required at
workplace and recruitment, the project can be managed easily as it will help in staying at
one point rather than going on wider view (Luiz and et. al., 2019).
 Listing down desired result- This tool helps in planning the process of project
accordingly as it helps in drawing the desired outcome which are required to be achieved
in order to accomplish whole aim of the project (Kerzner, 2017). For the present project,
the desired outcome may be to find the target audience, searching candidates for
recruitment in workplace program, creating promotional material and communicating the
result to concerned people. These desired result helps in planning for the project so that it
can be managed effectively. By setting the desired result, there may be more ability to
manage the risk as it can be identified beforehand but there may be issues in achieving it
due to non-availability of certain resources to achieve the desired outcome.
 Different ways to measure success of program- It is important to figure out various
methods to measure success of program as it will help in assessing the impact of actions
which are to be taken in order to implement the project (Yan, 2020). This tool can be
used in the present project of promoting the skills for workplace program and recruiting
candidate for it so that the aims of the project can be achieved effectively. The success
can be measured in this project by taking feedback from students who are taking part in
program, satisfaction level of stakeholders and achievement of aims and objectives.
These will help in completion of project on time and within scope. But sometimes the
ways to measure success may not be good enough to help in achieving the desired
outcome which in turn can provide undesired outcome.
Critical analysis of tools and demonstrate ability to plan and also implement the project.
The project on which the report deals is creation of marketing material for the skills for
workplace program and recruiting candidates for interview. There are many tools which may be
used for planning the project which includes the following-

 Gantt Chart- It is the kind of bar chart which illustrates the schedule of the project
wherein the start and the finish dates are illustrated of each of the activity. It is the
graphical tool that shows the tasks or activities which are to be performed against the
time frame. It is also known as the visual representation of project wherein the activities
are broken into smaller task and displayed on chart so that it can be easy to interpret and
understand it (Chatterjee, Hossain and Kar, 2018). For the present project, Gantt chart s
used or planning the project so that the ultimate goal of it can be achieved. The activities
displayed on chart include firstly the creation of team and then setting aims and
objectives of project. Then the task are to be distributed to the members of team and
group meeting is conducted. Then the materials that UWTSD is using and taking
feedback from the old students so that changes can be made accordingly. Then the
promotional materials are prepared and promotion s done. Finally the project is evaluated
at last. This whole process shows the planning of project wherein whole project is broken
into smaller activity so that ultimate goal is achieved.
 Planning for recruitment and promotion of program- In order to promote the program,
various promotional materials are prepared such as posters and flyers so that awareness
can be spread regarding the benefit of program to the local community. The social media
is also used for promoting and creating awareness of advantages of higher education and
the workplace program so that the aims and objectives of program is achieved. Secondly

the planning is to be done for recruiting 4 applicants which shall begin by finding the
target audience firstly and then personal contacts will be used to promote the course.
Then the team work is to be done and materials are to be studied and improvements will
be done by studying it and taking feedback from those people who have finished the
program. This process will help in panning the program so that the aims of the project are
achieved on time and within the scope.
Description of organization of work .
The Network diagram mainly visualizes the logical and sequential relationship between
the tasks in project setting. It represents the chronology of the task and activities so that the
schedule and work sequence is mapped out for project and the progress is tracked on each stage
till the project is completed. The main aim of the network diagram is to illustrate the scope of
project. In order to complete the promotion of skill at workplace program, the network diagram
is being used which shall allow in organizing the whole work and track the element of project so
that its status can be shared with others (Ellyin, 2018).
For the present project, the network diagram is illustrated below which depicts the
activities and the time required to finish it so that whole work is organized in an appropriate
manner. The following are the activities which are organized in chronological manner so that
ultimate objective of program is achieved-

 Attending lectures- This task involves attending the lectures relating to skills required at
workplace program so that the information and knowledge is gained. It shall take 6 days
for completing this activity.
 Creating team- After attending lectures, the teams are to be created as per the common
interest and abilities which shall take 1 day only.
 Setting objectives and aims- When the teams are created, its time to create the main aim
and objectives of the workplace program so that the desired outcome is brought. It will
also take 1 day.
 Task distribution- After above steps, the task are to be distributed in teams so that the
work can be initiated to achieve the aims of programs. It will also take 1 day.
 Study UWTSD materials- In order to complete the task, it is essential to study the
materials so that the guide is given to complete the work or activity (Müller, Drouin and
Sankaran, 2019).
 Feedback- Then feedback is taken from those students who have finished this program so
that necessary changes or improvements can be made in implementing the program in
order to achieve the aims and objectives effectively. It will take 2 days.
 Promotional material- Now the material to promote the programs are to be created
which includes making posters or flyers so that people can get aware of the program. It
will take 3 days to complete this task.
 Contact people- Now promotion is to be done on personal level by contacting the family
and friends so that awareness can be created regarding program. It will take 2 days.
 Promotion- Then promotions are to be done on social media channels and community so
that the workplace program is spread to large people I short span of time through social
media. It will take 5 days to complete the promotional aspect.
 Evaluation- Lastly the evaluation will be done of the project as to the achievement of
goals and objectives of program. It will take 1 single day (Jiang and et. al., 2018).

Benefit of network diagram to organize work
This network diagram has many benefits due to which it is being used in the organization
of work for the workplace program. These includes the following-
 It helps in making the visual representation of the project progress so that the
stakeholders are communicated regarding the progress.
 Secondly it helps in establishment of the workflow of project wherein the whole project
is divided into chronological task so that it becomes easy to manage and complete the
whole project.
 Thirdly, it helps in tracking the dependencies and the potential bottlenecks so that the
immediate changes or improvements can be done where required (Maccarrone and et. al.,
2018).
How project plan is to be communicated to stakeholders and detailed implementation of project
plan.
Stakeholders are the important aspect of the whole project as they are required to be
informed with every minute detail as they have interest in the working of the project. It is
important to communicate the stakeholders with the project plan so that they can make approval
of the same (Tan, Aviso and Foo, 2017). For the present project of promoting skills for
workplace, the stakeholders involved include team member of the workplace program, local

learning authority, community members and the University of Wales Trinity Saint David
(UWTSD). By using the QUAD chart, the stakeholders are to be communicated with necessary
information in respect of project planning.
It is regarded as one of the project planning tool or technique that consist of the
information in respect of project. It include the scope of project which enables the stakeholders
with details of project and include project scoping, desired outcome, stakeholder and their
analysis and the measures of the success (Pryke, 2017). This chart has four quads which include
the following-
 Purpose: It consist of the aim and objective of project and details about why project is
being done, for what and what will be result of it (Drabowski, 2019). For present skill
workplace program, the stakeholder shall be communicated with aims of project which
includes promoting the program and recruiting applicants.
 Customer: It includes the stakeholders who are interested in project. It contains details
about who are involved in project and who will get the benefit out of it (Mijinyawa and
Abdullahi, 2017). In relation to present project, the key people will be listed such as
names of stakeholders like local learning community, team members of program and
UWTSD and the benefit which they will take out of project.
 Desired result- It comprises of the critical success factors or the goals which shall make
the success of project (Isac, Pellerin and Léger, 2020). For current skill workplace
program, the desired outcome is to promote the program and recruit 4 applicants. This
will be communicated to stakeholders.
 Measure of success- It involves the key performance indicators or the standard and
criteria which shall help in measuring the success of project. The tools which will
measure success are included in this (Chen and et. al., 2021). For present program, the
success measuring tools shall include the feedback from students who took part in
program, etc.
For implementing the project, the network diagram is being used which will help in
completing the whole project within the time frame allotted. This will help in implementing the
entire workflow so that the project can be completed on time. It also helps in identifying the

loopholes which may become hurdle in the completion of project but with the help of this timely
improvements are made so that these hurdles are over-come (Robbins, 2019).

In order to implement the project, it is important to have the effective panning for it so
that there is smooth implementation of it. The findings which are drawn from this skill
workplace program include the following-
 Planning- After the successful completion of the project, the foremost thing which was
found that planning is very important in order to make the project successful it helps in
predetermining the activities and task so that they can achieved on time. This was done
by using the tool called QUAD chart as it helps in communicating the plan an purpose of
project in an effective manner (Stern, 2020).
 Recruitment of applicants- From this workplace program, the recruitment of four
applicants was made effectively which contributed in success of the skill workplace
program. This was done by the process of interview as by evaluating the process of
interview, the right applicant were recruited which helped in successful completing of the
project (Hidding and Nicholas, 2017).
 Attracting more people in workplace program- This is one of the main aims of the
11project wherein the promotion was done in order to create the awareness regarding the
higher education and material of UWTSD so that the people are attracted towards the
skill workplace program and this course can be made successful. By using the Gantt
chart, the project aims and objectives were achieved easing and smoothly. With the help
of process evaluation, the program was able to be implemented effectively as it focuses
on operations of program, its implementation and the delivery of service (Momeni,
Yaghoubi and Aliha, 2019).
 Time management- With the help of this project, value of time management is identified
as completing each activity within the allotted time frame is essential as it helps in
managing the time and work. By using the Gantt chart, the time management was done
effectively as it helped in completing the task within time frame so that the ultimate skill

workplace program is done on time and its aims and objectives are accomplished timely
(Rumeser and Emsley, 2018).
Reflection on project management abilities and drawing out recommendation for future.
I feel very happy and glad that I got the opportunity to manage this project. The aims and
objectives of the project were achieved successfully with the help of various tools and techniques
of project management. Initially I was afraid of undertaking this project because I have the fear
of completing this project on time. But I used my time management skills so that I can manage
the activities of project on time and within its scope. Secondly, I found it difficult in managing
the project at initial time but the team work pays off for the hard work which was put on by very
team member as everyone worked with coordinately with each other so that there are less chaos
and confusion. I got the ability to develop the team work skills which is considered as an
important aspect for the professional development. I also got the opportunity to inculcate the
leadership ability and skill in me as I was leading the team which helped me in gaining the
practical experience of leading and directing the team. I used the autocratic style of leadership
but now I realized that I must use the participative leadership style so that the ideas and opinions
can help me making my desired outcome more effective. Participative leadership style is very
essential for the future career development as it helps in welcoming the more ideas which
broadens the scope of thinking, thereby making the work more efficient and productive. But
while undertaking this project, I faced many hurdles which include timely completion of project
but with the help of Gantt chart, I was able to overcome my hurdle. Moreover I also faced the
challenge of making right decision as I lacked the decision making ability but while doing this
project, I was able to inculcate this skills which will help me in my professional and personal
development. Hence, my overall experience of undertaking this project was amazing as I got to
learn a lot from this project and this will help me in my future career development.
Recommendation
It is recommended from this project and experience that one must use the participative
leadership style while working in team so that the morale and motivation level of team members
are enhanced and they can perform effectively. Moreover, it more tools of project management
can be used in this project such as work breakdown structure so that the tasks can be defined
more clearly and properly.
