Task1:
During the evaluation and reflection module you will get comfortable with the idea of learning
through reflection and various intelligent models that can be valuable while considering your
learning. To show this capacity I have approached to display an intelligent report in my portfolio.
In this archive, I will discover a few rules which can assist me with composing this report. The
task 1a demonstrates reflection of one week whereas task 1b explains reflective final summative
report of 10 weeks.
Task 1a: Reflection on a one week event

Introduction:
In this module I will use the knowledge of the PPDI (Project Design and Implementation) as a
part of this reflection. Evaluation of Gibb’s reflection model is also done here. The outline of the
report includes why the elements of the reform process of project design, project development
and project implementation is so important. Various input, output and enablers are also involved.
Before going through the details of the report I would like to generalize the report by telling the
main guidelines I have used for reflection of one week here.
I am reflecting on PPDI module and the reflection I had while going through the first
week of analyzing this module.
This event is significant for me because in case of any project initiation and
development, PPDI module is very necessary.
I am using Gibb’s reflection cycle for this module analysis which is important in order
to know what am I doing with respect to the project and further learn from my

experiences for the betterment of this project. This model helps to learn from the
situations we experience regularly.
While planning the project the first thing I went through was to plan system development cycle.
For that, I went through some stages where I need to understand what the problem is, then make
decisions according to the problem. Further I designed some solutions for the recognized
problems, implement its solutions and then finally went through the testing, maintenance and
evaluating process. This is how the method of developing the system was used. Whenever we
design a project and follow the PPDI module for its implementation, we always execute these
steps. And we configure each step every time we go through this flow. This is done in order to
avoid the latter problems and include the changes at the time of flow study (Borelli et al. 2017).
One of the primary aims of reflection model of PPDI implementation is that people get a proper
analysis how to plan and design their project and follow a cycle. In this study Gibb’s reflection
cycle is used. This reflection cycle is taken into consideration so that the people know what
exactly they are doing and how they could do things better next time in future. This kind of
model helps us when we learn from the situations we experience regularly.
In this conduct, we will go through some steps like:
Description of project according to Gibb’s reflective Cycle:
Research project: Before planning any system, we need to understand properly the exact nature
of the problem we are working on. This includes identifying the key elements of the problem and
redefining it accordingly. Sometimes I even have to go through the preliminary investigation
where I have to determine whether I can solve the problem with some minor adjustments or I
need to have a whole new system. In order to promote proper understanding of the work, I
gathered some data in order to assess the feasibility. This data can be collected by using various
methods that can be interviews or surveys. It totally depends on the kind of project we have.
While I was collecting the data I have to be well aware of the reliability, validity and bias of the
data I am using (White, 2016). I have to analyze the data properly and find if there is any need of
the new system. For this I have to generate a requirement report which outlines the objectives

and aims of the new system and defines how the new system can solve the problem which the
old one cannot. In case the preliminary investigation recommends any further examination, I
have to develop a proper project plan. This plan organizes the project by specifying four things:
Who
What
How
When
For this, I need to identify all the tasks and who is responsible for these tasks. I also need to
understand if I need any IT or timeframe for the completion of the task. I also have to make use
of Gantt chart at this stage for analysis because these charts quickly analyze the requirements of
the project and completion times can also be assigned easily using these charts. Using this
requirement report and understanding the scope of the problem, I have to develop a potential
solution. This scope of the problems many times put constraints on the new system. Therefore, I
have to work on feasibility study to analyze the constraints and thus make recommendations
accordingly (Watts et al. 2016). All this process does not help to find the detailed solutions to the
problem. This feasibility study includes many key criteria:
Economy
Technical
Time/schedule
People/organizational
Evaluation of the project according to Gibb’s reflection cycle:
The problem concerns when we have to implement a whole new system. This requires training
and conversion. Conversion method involves changing to the new system from the old one. I
have to find the actual method and how to choose it totally depends upon the characteristics of
the new system and nature of the work I have. Four main methods of conversion can be used (Ul
Musavir et al.2017)

Direct: If I am using direct method conversion, I have to make immediate changes to the
new system. This although involves minimal cost but is not entertained because it
doesn’t involve proper tests and trainings.
Parallel: In case of this conversion old and new system have to work together, which
means more work but it has a safety net. The users can also troubleshoot the difficulties
in this case.
Phased: In case of using this method I have to gradually implement the new system. I
will introduce the modules and as the modules are successful, more of them are
implemented. This might confuse the people sometimes.
Pilot: This method focuses on implementing the entire system at certain locations only.
If the scheme is found to be successful, it is implemented everywhere.
I need to analyze which of the above method I have to choose in case of project development. It
differs from one project to another. In that case I use some diagrammatic tools like context
diagrams, data flow diagrams and system flowcharts. With context diagrams I define the whole
system as a set of input and output. For example, I will make context diagram for a system in
order to find a book in the library. I use data flow diagram in order to define the system in more
detail. Then further I use system flowchart in order to describe the flow of the data and the
sequence of how the whole system works. I also describe the use of hardware and the processes
in the flowchart (Rasnacis and Berzisa, 2017).
Gibb’s reflective model is useful because it helped people to think about the experiences they
have for an event and on the basis of that cycle they can make changes. Furthermore, this process
is very clear and precise that helps us to allow analysis, description or any kind of evaluation of
the experiences we have. In this way we can examine our practice. This kind of learning also
makes us assure that there are solutions to any sort of problems. And in case solution to the
current model is not justified, we can switch to a new model with all the analysis.
The initial reaction to the program is little difficult because a lot of experiments and analysis has
to be made. I even had to go through some Gantt charts and flow diagrams. But in the long run,
this method is very effective as it recovers the flaws we had on the already implemented projects.
It helped me to learn from my experiences and thus, create changes in the model with proper

analysis which comes with proper practical implementation and is not just a theoretical concept.
It helped me to give a proper structure to my experiences (Husebo et al. 2015).
Conclusion
Analyzing PPDI with the implementation of Gibb’s reflective Cycle helped me to improve my
skills and knowledge. This is because I could use my practical experience and learn from my
mistakes for the betterment of my project. Use of reflective model helped me to be more precise
and accurate and also taught me how I can make changes to the present model by analyzing the
drawbacks and studying it in details. Furthermore, the changes in the project reflected its long
term goals and helped me to think about how to deal with the situations, so that I can understand
what I did and know where I need to improve. Using reflective model created a sense of
accomplishment of the task. I could work on improving the quality and quantity of service I am
delivering with the completion of the project development and implementation. This knowledge
can thus change my practice as I will always go through the project monitoring phase to see
whether I can make any changes that prove better for the development of the project

In this section I will discuss about the knowledge and experience I have gained through the
learning of PPDI model. Importance of reflection will also be taken into consideration. Gibb’s
reflective model which is applied here will also be elaborated.
Why learning through Reflection is important?
As training professionals as well as learners, reflection is used as a development tool. The
science behind reflection is convincing. We know naturally that we learn by involvement and
furthermore that we gain from our mistakes. However, research is progressively revealing to us
that without the procedure of effectively contemplating those encounters, and interrogating
ourselves regarding what they mean, realizing doesn't generally occur. What gets us for a fact to
comprehension is reflection. With the guide of a straightforward inquiry like 'what did I do well
in that circumstance?', 'what might I be able to do another way', we can make little yet combined
strides to improving (Potter, 2015).
Reflection additionally gives further learning by taking a look at circumstances through an
alternate focus and by looking into the inquiries that challenge one's suspicions about the world
around you. We always tend to concentrate on the negative. An activity in reflection or self-
appraisal gives an organized and safe approach to consider the positivity. Self-assessment can
prove to be very powerful and effective way for learners to structure their activities they carry
out. At a more generalized level, if we make logs and keep a record of our activities it will help
us more to get a clarification of what has actually happened and can understand their own
interpretations to the work and providing meaning to the process (Sekarwinahyu et al. 2019).
Progressive Principle: reflections help to analyze the work and thus make small changes which
lead to small wins. This is known as progressive principle. When people make progress in some
meaningful work, it boosts up their motivation for work. These small achievements are as
important as the big ones for any project.

Reflection is a very important part for the development of any professional status. It plays a vital
role of building professionalism and is a key factor in which an individual can develop its careers
and specialism. For rapid and constant development, building professional development and
social position is considered to be very important. Continuous practice of observing,
conceptualizing and analyzing to generate knowledge and insights can enhance the practice of an
individual. Boud characterizes appearance in the learning setting and spotlights on the individual
experience as the object of reflection—as the influence and intellect lead to new understandings.
Boud depicts three principle parts to consider—involvement, reflection and result. The
experience can be a conduct, thoughts or sentiments (Adamson and Dewar, 2015).The reflection
will incorporate coming back to the experience, take care of sentiments that it realized and a re-
assessment of the experience. The result will take a gander at new points of view, changes to
conduct and a use of learning into training. Reflection upgrades self-improvement by prompting
self-awareness. If the focus of reflection is improvement in patient consideration, it extends and
creates clinical information and skills. The procedure backs off movement giving time to process
material of learning and connection to past ideas. It should likewise empower more responsibility
for picking up taking place. Reflection has been figured to advance ideal adequacy and
proficiency in a regularly developing and complex social insurance framework through
professionals examining their own practice. ‘Reflection reminds qualified experts that there is no
closure point to finding out about their ordinary practice' (Baldwin, 2016).
Gibb’s Reflective Cycle:
This model is taken into consideration through the analysis of PPDI module. This model was
published by Professor Graham Gibbs in 1988 book,” Learning by Doing”. This model helps
people to learn from their experiences, especially when there are negative experiences. Gibbs
original model has 6 stages. The stages we have covered are description: where we describe
about the PPDI module, what it is; Evaluation : where we evaluate by using Gantt Charts and
Flow diagrams about the PPDI module followed by Conclusion.

In this part I have described the PPDI model in detail. At this stage I simply wanted to know
what happened and have discussed the conclusions later. Asking some questions to myself
helped me to describe this situation like:
What kind of project it is?
What processes were involved in it?
What procedures can I follow?
What did I observe?
What issues I can address?
Step 2: Evaluation
In this step I looked objectively at the approaches I can make to achieve my targets. I also
evaluated the approaches which didn’t work for me. I asked myself few questions like:
What was positive about this approach?
What all went well?
What went wrong?
What kind of analysis can I make and how?
What did I do to contribute to the situation?
Step 3: Conclusion
Once I have evaluated the situation I can help myself and my team members to draw a
conclusion to what were my observations. I encouraged myself to think about the situation and
whole process again by using the information I have used till now. Then I asked myself
questions like:
How could this be a more positive experience for me?
If I would face the same situation again, what would I do differently?
What skills should I have to deal with such kind of situations?

In this step I thought of some positive actions I can have to deal with the situation positively and
in an effective manner in the future. In this stage I have to come up with my plan so that I can
make changes to the project. Once I have identified all the areas I will work on it and get the
actions committed and agree on a review process again (Mouza et al. 2016).
I chose Gibb’s Reflection Cycle because it is very precise and clear and it allows for
descriptions. It helped me to analyze and evaluate my experience that helped me to make sense
of experiences and also examine my practice (Helyer, 2015).
By applying Gibb’s reflective Cycle to my PPDI module, the main aspects I analyzed were to
plan and manage the project cycle. Each phase of the cycle leads to the next.
The identify stage help to analyze the needs of the project and its problems.
The design phase helps to analyze the actual designing and planning of the project.
The implementation stage focuses on implementing the project. An analysis need to be
made that whether it is a single or multi-year implementation.
The evaluation phase and its result occur at the end; after completion of the project. I
have to determine at this stage whether my objectives and goals of project were achieved
or not. This evaluation phase then helps in persisting the cycle by identifying additional
problems. Thus the cycle begins again.
I have ensured project monitoring through all the stages so that I can make small
adjustments in any phase of the project required; planning, design, implementation or
evaluation. This is done to ensure success of the project.
For the development of the project, I have focused on identifying the long range goals of the
project. The goal of any project should reflect positive changes in the set of conditions desired.
We need to analyze the objectives and goals clearly. The more concise we are with our
objectives, the more clearly we can resolve the problems. I have analyzed SMART objective
strategy in order to analyze the goals of my project. It can be described as:
Specific: In this part I had to be very clear with what I have to do to achieve my goal and identify
the needs required.
Measurable: My objectives included measurable outcomes and changes.

Achievable: Here I have to ensure that my objectives are realistic and achievable.
Relevant: My objectives have to ensure my long-term project goals.
Time-bound: My objectives need to have a time period for its completion.
Conclusion:
Learning through reflection has thus proved to be very useful to me because it helped me to learn
from my everyday experiences thereby developing my skills and reviewing how effective it can
be. If this process is not considered one would just keep on doing the work without even
knowing whether he is doing the right work or how fruitful the work can be if there are some
changes. This process helped me to evaluate the changes I can have and then implement it in the
process so that it is more effective. It helped me to implement my practical experiences and thus
taught me the difference between theoretical concept and practical implementation of a particular
project.
