APPROVAL TO JOIN APPROPRIATE PROJECT
From:....
To...(official email id of Mr Walker)
Subject: Request for approval to join projects other than Project Awe
Dear Dr Walker,
I take this opportunity to thank you for recognising my talent and nominating me as a
member of Team Project Awe. I really appreciate your thoughts towards me though I am
leaving in a few months’ time. I also take this opportunity to express my gratitude giving me
the opportunity to work with Jobsco Limited. I have learnt a lot while working with my
seniors and juniors. I would like convey my due respect for your for the leadership and
guidance you have always given me. My current boss, Mr .... has also been instrumental in
giving my future a great push. I would like to attract your kind attention towards a number of
facts regarding Project Awe. Sir, I have been involved with Project Awe in the past and have
had a fair share of experience of working in it. The activities of Project Awe are unrelated to
my domain and would in no way, contribute towards the development of my career in future.
The team members of the team lack coordination among themselves and the project lack
streamlining nature, which is required for the project to meet with success. The members lack
coordination while working on the project and conflicts impair the productivity of the project.
I would still readily follow your orders if you insist on my joining Project Awe. However, I
would like to make a suggestion which I consider as Best Alternative to a Negotiated
Agreement (BATNA).
Sir, there are two other projects going on in M/s Jobsco Limited one of which is
Project Upgrade under the leadership of my present boss, Mr ..... I have been reporting to
Mr..., my present boss for almost a decade. We share a great professional relationship and

rapport with each other. There exists a commendable level of understanding between us and
that enables us to collaborate better. Mr ... is aware about my strengths and weaknesses, my
skills, areas of expertise and capability of taking challenges. Similarly, I am well aware about
his expectations from me as my reporting manager. As a result, I look forward to join Project
Upgrade, which is under the leadership of Mr.... I would like to point that compared to
working in Project Awe, working on Project Upgrade has the potential to contribute to my
experience and career growth. The employees working on Project Upgrade are highly skilled
and share a great level of cooperation among them. The project experience very low level of
conflict due to this high level of understanding. The leader of the project team Mr..., my
current boss is a very leader and ensures almost no conflict within the team. He in order to
avoid conflicts of opinions among the team members provides the Best Alternative to a
Negotiated Agreement. He follows focus negotiation strategy where he allows his
subordinates to choose their responsibility according to their expertise and experiences. This
encourages a sense of responsibility among them. They are able to take up responsibilities in
areas where they can perform the best. This result minimises the chances of conflicts among
them. This motivates them to perform efficiently which contributes towards high
performance of the team. Another conflict management strategy Mr...uses to avoid conflict
within his team to the extent possible is target negotiation. He allows his subordinates to
decide the targets who would achieve during a given time period, after the minimum target
predetermined by him. The followers then have to declare the target set by them for
themselves in writing. The departmental head then after the expiry of the period, for which
the target is set, compares the target achieved against the target set before to judge the
performance of the employees. Since the employees themselves set the target, there remains
little chance of conflicts. Mr ...., my current boss and the project manager of the project,
Project Upgrade, fixes the minimum targets of the employees based on their experience,

skills, educational qualification and competencies. This ensures a parity between the aptitude
of the employees and their targets. Mr... ensures that senior employees with years of
experiences fix higher targets for themselves compared to the junior employees. This factor
motivates the employees to achieve higher targets. These two conflict management methods
help the project manager of Project Upgrade to control conflict between his subordinates and
himself. The leadership quality and the efficient conflict management tactics of Mr...
contribute towards the high performance of Project Upgrade. I can also point out that Project
Upgrade would become one of the most sought after projects and its products would be in
high demand in the market. Keeping the above discussion in light, it is my earnest request to
your good self to allow me to join Project Upgrade.
I would highly obliged if you honour my humble plea.
Regards,
