2PROJECT MANAGEMENT
1. Introduction
The report is based on improving the country public health informatics system. In this paper, the
communication plan engages the project stakeholders to form a collaborative process. Through the
communication plan, the internal as well as external stakeholders involve into the data system’s funding
role [5]. They are involved into the communication plan to avoid failure of the communication in the
project work. In this paper, there is discussion of comparison of assessment of communication plan with
respect to project management practices. The paper provides recommendations on different
communication plan which is required in the project to involve stakeholder from various sectors.
2. Report on the current communication plan
The current communication plan mentioned in the case study ensures to offer applicable
information to the project manager besides key stakeholders on daily basis. In this study, there is
implementation of health informatics system, where communication is required for system
implementation so that each of key project stakeholders can get information related to the project plan
[8]. The project manager said that they have communicated well with the project stakeholders so that
all the project related information is shared among the project team members. The first step to create
the communication plan is identification of who needs to know something related to the development
of public health informatics system. The project team is a core of the communication plan [4]. Through
the communication plan, they require to know what is going on in the project with identification of
project audiences, stakeholders and groups.
In the case study, the project team is developed communication plan besides then used to
evade announcement breakdown. From the communication plan table, it is discussed that the
communication plan helps to provide continuous information on project status. The communication
methods which are used by the stakeholders are email, meeting, telephone and teleconferencing [1].
The key messages to communication are based on plan status besides key project milestones besides
relevant issues related to the development plan. The disadvantage of provided communication plan is
that all the key stakeholders are using same methods of communication for sharing their key messages
while the key messages are also same in case of each individual stakeholder [2]. In the communication
plan, it is mentioned that each of the delays into the project are caused due to project schedule i.e.
timing issues.

results of project evaluation. In order to develop health informatics system, the healthcare organization
is required to prepare a proper communication plan in this case. The plan is required to describe results
how they will communicate and who will communicate to. The communication plan is documented
about what kind of communication the stakeholders required from the project so that they can make
good decisions [3]. Communication technology can provide impact on how to keep people into the loop.
In the project management practice, project communication is important areas where proper

management where the key factors contribute to the project success explained that required
contributor to the project success in IT project management is communication [6]. As per the project
management practice, the team is being responsible to gather business processes along with
information system needs. The project team is closely working with the key stakeholders besides

Message in the communication plan: In the communication plan, effective messaging supports
transparency as well as credibility among the project stakeholders. It provides context in the
implementation phase which is a critical component to clearly provide communication system.
Messaging address why there is required for project changes, what proposed changes are entailed and

Develop communication protocols: This communication protocol creates committee of the
staffs and develops guidelines for email as well as mail communications. It evaluates use of automated
communication system to determine efficiency as well as impact on the customer services. It helps to
improve internal communication.
5. Justification on proposed communication plan recommendation
It is justified that the communication plan helps to reach communication goals so that they can
take project implementation related decisions at right time. Communication strategy is required to
identify as well as support project to achieve expected project outputs. The communication matrix is a
tool which is calculated to identify how the individual is collaborating besides given that outline to
regulate communication goals [7]. This matrix is accessible to the stakeholders and updated through
entire project plan.
6. Conclusion
It is concluded that effective communication plan is required while developing hospital
informatics system will enable to inform as well as build relationships with the stakeholders. It is a two
way process which will enable the stakeholders to communicate with each other’s. The provided
communication plan with respect to project management practice included the employees to supply
ideas for improvement plus get customer’s feedbacks. The communication strategies help to engage
internal and external stakeholders in the communication plan. In order to maximize effectiveness of the
communication strategies, the organization tailors communicational messages plus channels to specific
requirements of audiences. It ensures that barriers to the communication lead to provide effect on the
communication plan. The organization can evaluate the communications strategies to maintain higher
level of customer services.
