INTRODUCTION
Management of project is a necessary task in order to make it successful. It is an art of
initiating, maintaining, controlling and closing the tasks in order to complete them with accuracy
and in specific time (Managing a project, 2018). In this report, hotel communication Ltd is being
hired by hotel City Tower which is going to be constructed within Dockland area of London to
install the IT services. Hotel communication is going to install CCTV cameras which have 360
degree view. In order to accomplish the tasks, characteristics, scope statement, project Gantt
chart, project budget, project management and quality methods are being explained by the
project manger of hotel communication Ltd. Apart from that, skills and competencies, leadership
styles, project life cycle stages and and administration and control problems are also discussed in
this report.
TASK 1
1. Characteristics of a project
In order to install CCTV camera, the project manager should identify some of the
characteristics of project. This will help it in identifying the specification of project. The
characteristics of project are stated as below:
ï‚· A project is always made for a client or customer (Carley and Christie, 2017). The need
and requirement of customer are identified and plan is made accordingly.
ï‚· The existence of project is temporary in nature. It has specific start and end.
ï‚· A specific set of requirements are present in a project so as to fulfil the demand of
resources in boundaries of project.
ï‚· A project can be cross functional and cross organization.
ï‚· A project can not have repeated aspects frequently.
2. Scope of project
Scope of project defines the its area where it can be used. The scope of project is also
used to identify the areas where it is going to use. The stakeholders and employees should agree
with the scope of project before starting of it. Apart from that, the allocation of resources is done
with the help of scope of project. In case of implementing the CCTV cameras in City Tower, the
scope of project defines the area in which it is going to serve. The cameras were used to secure
the environment of hotel so that any suspected human being can be identified. As a result of

which the camera quality used in this hotel is 360 degree view. Therefore defining the scope,
helps in installing the project including its requirements.
3. Identification of critical path and Gantt chart
Gantt chart is used to represent the completion of activities with respect to time. There
are two types of scale in Gantt chart (Duffield and Whitty, 2015). Horizontal scale denotes time
span and vertical zone denotes activities of project. The Gantt chart in completing the project is
given below:

Critical path is sued to denote the shortest way to complete the project. This path helps
project manager to identify the shortest path of going to manage perform the activities. The
critical path of project is defined as under.
4. Project budget
Project budget is the need of capital to complete the project within time. The use of
capital will be for purchasing the resources etc. Therefore, with the help of project budget
following are the needs of project budget.
ï‚· Project budget includes the labour cost.
ï‚· The needs of labour also be considered such as shelter etc.
ï‚· The project budget should also include travelling cost in case of having distance from the
site and headquarter.
ï‚· The cost of machineries should also be identified so as to put the cost of budget as much
as accurate (Dutta and Bose, 2015).
ï‚· Administration cost is also one of the major concern so as to deliver the project on time.
ï‚· A cost of risk should also be preserved by the company in case of any failure.
This cost analysis will help project manager to analyse the cost of project so as to develop
project budget in implementing the CCTV cameras in City Towers.
5. Response to risk
In this step, different types of risks to be eliminated at the time of completing the project
on time. In case of completing the project there could be many types of risks be implemented
such as risk of lack of funds, risks of strategies etc. All these risks can hinder the progress of
project. In case of implementing CCTV cameras in City Tower hotel, these risks can delay the
project (Jensen, Thuesen and Geraldi, 2016). Therefore, the project manager should keep some
capital in case of managing the risks from short of capital. Apart from that, to meet the objective

there should be two or more strategies which can help the manager to choose any one of them at
the time of risk.
6. Quality methods to ensure the success of projects
Quality methods are used by the project manager so as to confirm whether the project has
meet its objectives or not. So as to ensure the quality of project following are the methods used
in implementing the CCTV in City Tower hotel.
Project Evaluation
Project evaluation is done to check each stage of project so as to confirm whether its is
meeting its goals or not. This will allow the project manager to promote the project towards the
way of successful completion. In case of implementing the CCTV cameras, project manager has
to evaluate the location and equipments so as to confirm the accurate stability of cameras.
Monitoring
Monitoring is the process of surveillance of tasks and performance of employee on site.
This helps the project manager to set right path for completing the project on time. In case of
CCTV camera, the project manager should inspect the site and than provide guidance to the
employees.
Controlling
It is the method in which any type of risks or issues can be handled so as to complete the
project with accuracy (Khan, Flanagan and Lu, 2016). The risks could be shortage of funds and
strategies etc. These risks will be handled by the project manager at the time of inspecting the
site of hotel City Tower.
TASK 2
As per the above scenario of implementing the CCTV cameras within City Tower
requires to have specific skills and competencies at the workplace. These skills not only help the
employee to work effectively but also help the company to have more chances of successful
completion of project. The cameras within hotel are 360 degree which have sensors also. These
cameras will provide maximum security into the premise of hotel City Tower. The skills and
competencies required by the employee are stated as follows:
Document Page
Skills and competencies
Skills and competencies are the necessary resources for an employee to complete any
task. These skills provide necessary knowledge so as to put more efforts. Apart from that, the
knowledge allow the employees to work effectively at the workplace (Kivilä, Martinsuo and
Vuorinen, 2017). The skills required by employees are:
Time management
This skill is necessary for the employees of hotel communication Ltd to complete the
tasks on time. If the tasks will not complete on time, the project will no longer remain on worth.
In case of implementing CCTV cameras, the company should divide the tasks into short span.
This allows them to complete the small tasks easily and thus the completion of project will be
done on time. The project manger should identify all the resources required to complete the
project so as to eliminate the delays.
Communication
Each and every tasks of project is done with the help of team. Therefore a team should
have proper communication between themselves so that they can coordinate with each other.
This will help them to apply their expertise on the specific task. As a result, the accuracy of the
project will be high. In case of implementing the CCTV cameras in City Tower hotel,
communication is necessary among the employees to complete the project on time.
Leadership
This skill should be present in leader of the project. The project manager should inspect
the site where the installation of CCTV cameras is going to be done (Lei and et. al., 2017). This
will allow it to develop the strategies according to the location of site. The project manager has
the responsibility to guide each and every employee according to their tasks. Tasks should also
be divided among the employee with respect to their skills. This allows the project to be
completed with accuracy.
Problem solving
In case of working with each other sometimes the employees engaged themselves in
conflict-ion. In order to improve collaboration among the employees the project manager should
solve the problem so that they will work in favour of the company (Loufrani-Fedida and
Saglietto, 2016). Apart from that, the leader can face problem related to shortage of funds, risks

etc. In order to complete the project the leader solve the issues as soon as possible. This results in
taking the project on the way of success.
All these skills are necessary for the employees and leader of hotel communication Ltd.
This allows them to complete the project within time and with accuracy. The employee having
such skills can progress the project and work with its full potential. Therefore skills and
competencies are necessary for the employees to complete the project.
Leadership
It is one of the important role in the organization in order to complete any project.
Without leadership the employees cannot lead the project towards its successful completion.
Leader has the role of acting like a pioneer to the employees and show them the way by which
they can work with their potential. There are many leadership styles which can help the leader in
making decision in favour of company and project. Following are the leadership skills:
Situational leadership style
This leadership style suggests that there is not specific leadership style in every situation.
Sometimes the leader can face serious issues while having decision-making. In that situation it
cannot use any specific type of leadership style (Marinho, Sampaio and Moura, 2018). Therefore
the leaders should take decision of its own. In case of implementing the CCTV cameras,
situational leadership will help the leader to take effective decision in favour of the project.
Hence the project can be completed within time and with accuracy.
Autocratic Leadership style
In this leadership style, the leaders have the power to make the decision of its own. It
should not need any senior of employees to take advice from them. This leadership style help the
leader to make quick decision-making. In case of any issue, the leader can provide quick solution
to the employees. This will help them to speed up the project completion and thus the project
will be completed on time. In case of implementing the CCTV cameras, the employees ca
complete the project on time with the help of this leadership style.
Transformational Leadership style
This leadership style focuses on to motivate the employees so as increase their
productivity. The leader motivate the employee with the help of rewards, promotion etc. The
expectancy of leader also increases by increasing the motivation. It sets target for the employees
and expect to achieve those target (Masys, 2015). This helps the employees to improve their
Document Page
skills so as to achieve the targets. In case of installing CCTV camera on hotel City Tower, this
theory allows the employee to work with their potential and thus helps them to complete the
target within time.
Democratic leadership style
This leadership style is just opposite of autocratic leadership style. In this style, the leader
can take assistance from its employees so as to take the effective decision. This helps the leaders
to protect the rights of employees also. The decision made at this leadership style is effective on
each of the employee because the employees which are engaged in project also involved in
decision making. The main benefit of this style is to feel the employee important itself for the
organization. This helps it to motivate and do for its best in the project. Thus the chances of
succession of project increases. In case of implementing the CCTV cameras in hotel, this
leadership style focuses on to engage all the employees in decision making. Therefore in order to
protect their decision they work for the successful implementation of the strategy made by them.
The leader in the organization should have democratic leadership style because it helps
them to engage the employees also. This results to allow the employee to feel important for the
organization. For implementing the CCTV cameras in City Tower hotel, this leadership style will
help the employees to complete the work on time and with accuracy.
Project Life cycle stages
Every project has some life cycle i.e. it is followed by some specific set of stages which
help in its successful completion. Without the use of project life cycle, the success of project
cannot be determined (McEvoy, Brady and Munck, 2016). Apart from that, collection of
resources, proper planning, execution of tasks all are managed properly by the project manager.
This cycle help manager to inspect the current running of phases. Therefore chances of error also
reduces within it. The structure of project life cycle is stated as below:

Initiation phase
This is the starting phase of any project. In this step, the project manager is liable to
identify the required resources, feasibility of the project, opportunity in future and the ways
through which different problems can be solved in future. In addition to this, project objectives
and the value which are going to be delivered in the end are also identified within this stage.
There are some aspects also which are necessary before starting the project. The stakeholders
including employees are also discussed about the project schedule and timeliness. Including the
cost and benefit, the risks which are associated with project are also identified in this stage. In
case of implementing CCTV camera in hotel, the project manager should identify all the above
aspects so that they can implement all the security systems easily.
Planning phase
This is the second phase which has come after initiation phase. In this step, the project
manager has to identify the planning of executing the project (Pearlson, Saunders and Galletta,
2016). Planning includes dividing the tasks into smaller ones, formulation of strategies and
deciding the time schedule of project. The tasks are formulated into smaller ones so that they can
be completed within time. In case of implementing the CCTV cameras, planning phase help in
making the proper strategies so to complete the project.
Execution phase
Now is the time to execute the planing process of project. In this phase the plan is turned
into action and thus the leader focuses on keeping the work on track and applying the plans and
strategies. In addition to this, the manager has to keep an eye over the work of each team
member and organizing the timeliness of the project. This results in performing the tasks with
accuracy and meeting the objectives of project. In case of implementing the CCTV in hotel, this
phase is helpful in doing so.
Closure
After the completion of work, the main work of project manager is to put the final
deliverables in the project and evaluate it whether it has reached towards its objectives or not.
Although the work has been done by the employees but still leader has to evaluate the
performance of employees and progress of project (Rowe, 2015). In case of installing the CCTV,
manager should check all the activities of project and also take feedback from City Tower hotel
so that any changes can be implemented if required.

Administration and Control problems
The issues which affect the successful completion of project are known as administrative
problems. These are the issues which can altered before starting of the project. The problems
regarding the project includes:
Undetermined goals
Goals are the real objectives in which the project is moving further. If goals are not
specified by the project manger than the outcome of project will not remains the same. Without
having proper goal the tasks are also not recognised to reach the objectives. Therefore the project
manager should identify the project goal so as to find the objective of project. In case of
installing CCTV, if the quality of CCTV is not specified such as 360 degree or normal than it
would not be possible to reach towards the objective of project.
Lack of Skills
Skills are the most necessary resources required for the employees. The employees
should have proper knowledge about their work and the project manager has the responsibility of
providing proper training to the employees (Wearne and White-Hunt, 2016). This will help them
to develop their skills as per the requirement. Before starting the project, if employees were
having proper skills than the success of project can be determined.
The above problems can create a big challenge for the project manager to complete the
project successfully. In order to complete the project, manager has to identify the employees
which have proper skills and knowledge according to the project. Otherwise it has to provide
proper training session to its also so to develop the skills according to the need of project.
CONCLSUION
In this report, it can be concluded that managing projects is an essential part of making it
successful. In order to accomplish any task of project, different characteristics, scope, Gantt
Chart, project budget, response to the risk and quality methods help the manager to identify the
properties of project. These properties will allow it to understand the whole concept of managing
a project. Apart from that, different skills and competencies required to do a project and
leadership styles help both the employees and leader to adopt the needs and requirements of
project. In the end, project life cycle and quality methods also allow the manager to understand
the flow of completing the project.
