Answer to question 1
In order to implement any project successfully within assigned time and budget it is
mandatory for the project supervisor and project team associates to follow the primary project
scope document followed by the project management prcatices. Documentation of a scope
management plan is an important issue for Lan and other committee members while shaping the
project objectives. Lan has decided to change the early agenda for conducting the conference.
The responsibility of the organizing committee is to develop the scope plan to identify how
information are gathered, validated and managed as well. The scope changes are also part of the
document thus if this is not identified then the entire project would fail to meet the clinet’s
expectation.
Answer to question 2
Exclusion is referred to as description or details of any task, activity those are excluded in
the project scope document. It has been determined that project scope inclusion and exclusion
are very much important because it is essential to effectively limit the conference project and
deliver it actually. It is also recognized that some of the project requirements were not met at the
early conference. There were some unwanted activities which causes major risks and issues as
well. It is essential for the project supervisor and leaders to make sure that none of the unwanted
activities are still part of the project. It is important to cite the exclusion in all scoping
documentation to make the activities much clear and transparent to the associates.

Before changing rather improving the primary agenda, Lan found that the previous
conference failed to meet the expectation of some of the stakeholders in context with the
expertise, breakout session and also registration procedures. In order to improve the overall
process the data gathering technique that Lan needs to use is primary data collection. In this
specific case feedback of the stakeholders are much essential. Therefore, Lan should conduct
interview session for gathering their opinion about the previous faults. It will help Lan and others
to improve the overall technique in context with the stakeholders availability.

Throughout the project design and development life cycle it is essential for Lan and the
committee to conduct the project side by side along with their clients and stakeholders as well.
The committee and Lan must ensure that the handed over scope statement is not jeopardized.
During this period, the members should use open communication for sharing ideas, skills and
knowledge as well. Lan must act as a leader beside a project manager. He must motivate the
other committee members so that they can keep selves engaged to their job roles and
responsibilities.

continuous or uncontrolled growth of project scope. This issue occurs when a project is not

It has been determined that this project must produce innovation and continuous
improvement over changing time period. If project requirements changes, the respectively the
time and budget for the project also changes which may also cause overrunning time and over
allocation of budget related issues. The project scope control is referred to as one of the keys for
effectively managing projects. Scope control is important because it changes constantly therefore
time and budget can be change accordingly. If the project is found to be way behind schedule
then, that issue will also be resolved with scope control approach.
